How to Fix a Slow Excel Workbook: Formulas, Formatting, and Cleanup

Identify whether Excel is slow to open, edit, recalculate, save, or scroll, then test formula and formatting fixes on a backed-up copy.

To fix a slow Excel workbook, first identify whether the delay happens when opening, editing, recalculating, saving, or scrolling. Then test formula calculation and workbook contents separately from formatting and unused cells. Work on a backup, change one thing at a time, and verify important results after every cleanup.

Find out which Excel operation is slow

A pause while typing points to a different part of the workbook than a long wait during a full recalculation or a slow save. Note the exact action that triggers the delay before changing anything:

  • Opening: the workbook may contain extensive content or links that Excel must process.
  • Typing or editing: changing an input can trigger recalculation of dependent formulas.
  • Recalculating: formula volume, data tables, or links to other sheets and workbooks may contribute.
  • Saving: workbook contents or size may be relevant, but file size alone does not prove complex formulas are the cause.
  • Scrolling or selecting: inspect workbook contents and formatting as well as formulas.

More than one cause can be present. Microsoft’s guidance identifies patterns to investigate, not proof that any single feature is responsible for every slow workbook.

Check formulas and calculation settings

Excel normally recalculates formulas when cells they depend on change. Microsoft explains that formulas, data tables, and links to other sheets or workbooks can make calculation take longer. Its guidance says: “To avoid unnecessary calculations that can waste your time and slow down your computer, Microsoft Excel automatically recalculates formulas only when the cells that the formula depends on have changed.” See Microsoft Support’s calculation guidance.

Look for broad or problematic formula patterns

Inspect formulas that refer to entire columns when only a smaller data range is needed. Also review array formulas whose argument ranges contain uneven numbers of elements. Microsoft lists both as possible performance concerns, along with unnecessary or invalid defined names, hidden or zero-size objects, and very large collections of shapes. These are checks to investigate; they do not establish that a given workbook will be slow.

Where practical, narrow formula references to the actual data needed, then compare results with known outputs. For Microsoft 365, Microsoft says XLOOKUP and XMATCH offer flexibility and performance improvements compared with older lookup functions. That does not guarantee a speedup in every workbook or make a rewrite appropriate without checking compatibility and results. See Microsoft’s Excel performance tips.

Use manual calculation only as a controlled test or deliberate workflow

In Excel for Windows desktop, calculation settings are available at File > Options > Formulas, or from Formulas > Calculation Options. With manual calculation selected, formulas update only when you request recalculation—for example, by pressing F9 or choosing Calculate Now. This can help test whether recalculation is causing a delay, but it is not a safe permanent speed fix unless you have a routine for recalculating and confirming that displayed values are current. The desktop calculation setting affects all open workbooks, not only the one being diagnosed. Feature labels and availability can vary by version and platform.

Inspect excess formatting and unused cells

Formatting copied far beyond the data—including formatting applied to entire rows or columns—can increase workbook size and slow Excel. Repeated copy-and-paste can also contribute to excessive styles. Extra formatting may cause printing problems as well. Back up the workbook before cleanup.

Compare the two Microsoft cleanup options

Option Availability and scope Important trade-off
Inquire: Clean Excess Cell Formatting Available in supported Windows editions, including supported Microsoft 365 enterprise plans. It targets formatting beyond the last nonblank cell. Microsoft says the cleanup cannot be undone and may sometimes increase file size. Make a backup first.
Review > Check Performance In Excel for Microsoft 365, opens a pane identifying cells that may be optimized; you can optimize all sheets or an individual sheet. Microsoft warns not to use it on pixel-art sheets because intentional artwork cells could be removed along with unnecessary cell data.

Availability depends on Excel edition and platform. Choose based on which feature your edition provides, what formatting or cell content must be retained, and whether you have a recoverable backup—not on an assumed speed advantage. For Inquire details, see Microsoft’s instructions for cleaning excess cell formatting and its Inquire comparison guidance.

Review conditional-formatting rules

Rules applied to unnecessarily broad ranges or rules that are no longer needed can be worth reviewing. In Excel, open Home > Conditional Formatting > Manage Rules. Inspect the rule scope and ranges; the manager lets you review rules for a selection or for the sheet. Delete obsolete rules or limit a rule’s range if appropriate, but retain rules that communicate information users need. You can also clear rules from selected cells or an entire worksheet. See Microsoft’s instructions for managing conditional formatting.

Test changes without losing track of results

  1. Save a separate copy before cleaning formatting, deleting rules, or changing formulas.
  2. Make one change at a time so you can tell which change affected the symptom.
  3. Repeat the same slow operation under similar conditions and compare the delay informally; there is no universal improvement threshold.
  4. Check key formulas and outputs against values you know should be correct.
  5. If calculation is manual, explicitly recalculate before treating displayed results as current.

Microsoft’s cited guidance describes diagnostic patterns and cleanup features, but does not establish a guaranteed percentage improvement for an individual workbook. A particular workbook’s cause and speed change cannot be determined without examining and testing that file.
