What Claude for Excel can do
Claude for Excel is an add-in that brings Claude into a sidebar in Microsoft Excel. Anthropic describes capabilities to read, analyze, modify, and create workbooks, as well as explain changes and link explanations to referenced cells. Those features can make variance analysis easier to inspect, but they do not validate the accounting logic or guarantee correct calculations. Anthropic’s October 27, 2025 launch announcement introduced the add-in as a beta research preview. The current Claude for Microsoft 365 page lists Claude for Excel, Word, and PowerPoint as generally available on paid plans; Outlook remains in beta.

Prepare the workbook for a meaningful comparison
Make the comparison explicit
Use a structured table with one row per account or metric and clear columns for actual and budget, or actual and prior period. Include useful dimensions such as department, product, and month when they are needed to explain differences. In your prompt, identify the worksheet and relevant range so Claude knows which data to analyze.

State the subtraction order. For example, actual minus budget makes positive values over budget and negative values under budget. Favorability depends on what is being measured: higher-than-plan revenue may be favorable, while higher-than-plan expenses are usually unfavorable. Tell Claude how to label each type rather than relying on the word “positive” to imply “good.”

Define percentage variance
Specify the denominator, commonly budget, and say what to do when budget is zero or negative. A percentage calculated against zero is undefined, and a percentage based on a negative budget can be hard to interpret. Ask for those rows to be flagged separately instead of allowing them to distort the comparison.
Ask Claude to analyze the variances
A prompt can set the rules, request useful outputs, and limit unsupported explanations. For example:

Compare actual with budget on the Summary sheet. Use actual minus budget; for expenses, label positive differences unfavorable and negative differences favorable. Calculate dollar and budget-based percentage variances, and flag zero-budget rows separately. Rank the five largest absolute contributors and cite the cells you used. Do not infer causes that are not supported by the workbook.

Depending on the columns available, you can also ask Claude to separate price or rate effects from volume effects. Only request that breakdown when the workbook contains the inputs needed to calculate it; otherwise ask Claude to identify what data is missing. Ask it to flag anomalies and inconsistent records rather than filling gaps by assumption.

Verify the result before using it
- Follow the cell references. Open the cited cells and confirm they contain the intended actuals, budget values, periods, and dimensions. Anthropic describes cell-linked explanations and formula debugging as product capabilities, but a reference is a way to audit an answer, not proof it is correct.
- Recheck the arithmetic and formulas. Confirm the subtraction order, percentage denominator, and treatment of zero or negative budgets. Compare requested totals with the workbook’s own formulas or an independent calculation.
- Check business context. Confirm that periods, units, currencies, account classifications, and favorable/unfavorable labels match your reporting rules. A mathematically correct difference can still be misleading if the inputs are misaligned.
- Keep a recoverable copy. Preserve the original workbook before asking an add-in to make broad changes, and review edits before using them in a report.
Anthropic cautions that Claude can process equations and perform calculations, but complex or mission-critical calculations should be verified with specialized mathematical software or manual methods. See its calculation guidance. No verified statistic in the cited materials measures Claude for Excel’s accuracy specifically on budget variance analysis.
