How to Export Tasks to Calendar for Precise Time-Blocking

"Export tasks to calendar" can mean four different workflows. Here is how to pick one that puts real, timed blocks on your calendar, with Todoist, Outlook, and Motion steps and limits.

To put a task on your calendar as a timed block, use a live integration or an in-app drag onto the calendar, not a file export. “Export tasks to calendar” can describe four different workflows, and only three of them create calendar events or time blocks. Choose by what the calendar needs to show: a synced, timed block; a read-only overview of scheduled tasks; or a copy of your task records.

Choose the workflow that matches your goal

Each option below behaves differently in the calendar. The table compares them on the points that matter for time-blocking: what appears in the calendar, which direction changes travel, whether a start time and duration are required, and how updates reach the calendar.

Why a due date is not a time block

A due date tells you when something must be finished. A time block tells you when you intend to work on it. Most calendar integrations need the second kind of information to create an event: a start time and a duration. A task with only a date can sync as an all-day item, or not appear as a timed block at all, depending on the tool. If your goal is precise time-blocking, set the scheduled time in the task app itself, not only the deadline.

Todoist native calendar sync

Todoist’s native integration is the most direct route when your calendar is Google Calendar or Outlook Calendar. It connects one calendar provider at a time, can show that provider’s events inside Todoist, and sends time-blocked tasks to the connected calendar.

Set up the integration

  1. Open Todoist settings.
  2. Choose Calendars.
  3. Connect Google Calendar or Outlook Calendar.
  4. Enable Sync tasks to calendar.
  5. Give each task you want to block a future date, a time, and a duration. Open the task, set the date and time, and add a duration.
  6. If you also want date-only tasks to appear, enable Sync all-day tasks.

Plan requirements are a moving target. The Todoist Help Center page on the calendar integration (last updated September 4, 2026) lists the integration on Beginner, Pro, and Business plans and places the in-app calendar layout on Pro and Business. Check your plan’s current feature list before relying on either.

What syncs, and where it breaks

  • Initial sync includes tasks from yesterday, tasks due today, and future scheduled tasks.
  • Calendar-only events do not create tasks. Adding an event to the Todoist calendar does not create a Todoist task.
  • Recurring tasks generally sync as recurring events. Some recurrence patterns are not supported; those are represented one occurrence at a time.
  • Rescheduling one occurrence of an unsupported recurring task does not sync that change to the recurring event in the calendar.

Todoist calendar feed for read-only visibility

If you only need the calendar to show what is scheduled, a subscription feed is simpler than a native integration. Todoist provides an account feed, which contains scheduled tasks across all projects, and per-project feeds, which create a separate calendar for each subscribed project.

Subscribe to the account feed

  1. In Todoist’s web or desktop settings, copy the account calendar feed address.
  2. In Google Calendar, Outlook Calendar, or Apple Calendar, open the subscription option (for example, “From URL” in Google Calendar, “Subscribe from web” in Outlook, or “New Calendar Subscription” in Apple Calendar) and paste the address.
  3. Confirm the new calendar appears and shows your scheduled tasks.

How the feed displays tasks

  • Tasks with only a date appear as all-day events.
  • Tasks with a date and time appear as one-hour events by default.
  • Tasks with a set duration use that duration.
  • Completed tasks are removed from the feed.
  • Refresh timing belongs to the receiving calendar app. Todoist’s feed page (last updated August 28, 2026) says refresh rates vary from as often as every five minutes to once per day, so a change may take a while to appear.
  • Recurring tasks show only their first seven occurrences at a time.

Treat the feed as a view, not a sync. Rescheduling a block in the subscribed calendar will not move the Todoist task.

Dragging an Outlook To Do task into a calendar slot

In new Outlook and Outlook on the web, you can turn a To Do task into a calendar event by dragging it onto a time slot. This is a manual scheduling method, so it works well for a few deliberate blocks rather than a full day of automated placement. Microsoft’s support page “Drag a task to your calendar with To Do in Outlook” lists the applicable Outlook versions; confirm your version is listed there before following these steps.

  1. Open Calendar.
  2. Display My Day.
  3. Select the To Do tab.
  4. Drag the task to the calendar time you want, and drop it there.

Microsoft’s general guide “Manage tasks with To Do in Outlook” covers due dates, reminders, repeat schedules, and My Day. Those settings organize the task list, but dropping a task onto a time slot is a separate action that creates the calendar event.

Motion: automatic scheduling with one-way task sync

Motion is the option to consider if you want the scheduler to find open time for tasks rather than placing them yourself. Its help documentation, “Scheduling models (Uni & Bi-directional sync),” separates calendar events from tasks:

  • Calendar events sync in both directions.
  • Tasks scheduled in Motion appear as time blocks in the connected main Google or Outlook calendar.
  • Creating or editing a task in the external calendar does not flow back into Motion.
  • If you drag a Motion block to a new time in the calendar, Motion’s schedule for that task stays the same. Reschedule it inside Motion to change it.

Google Tasks archive export: records, not blocks

Google Calendar Help’s page “Export your data from Google Tasks” describes downloading an archive of your task data. The archive includes fields such as task titles, due dates, descriptions, recurrence data, IDs, list fields, and timestamps. It is useful for keeping records or moving data into another service. It does not create calendar events, and it does not keep a calendar in sync. Deleted data cannot be exported.

If your goal is to see Google Tasks as time blocks, use a different workflow, such as a tool that supports a live calendar connection.

Troubleshooting checklist

  • No timed event appears? Confirm the task has a future date, a start time, and a duration. A date alone may only produce an all-day item, or nothing, depending on the tool.
  • Deadline and block confused? Set the scheduled time separately from the due date.
  • All-day tasks missing in Todoist? Enable Sync all-day tasks, but only if you want them in the calendar.
  • Feed not updating? Check the refresh setting of your calendar app and allow for delays of up to a day; the Todoist feed page gives refresh rates from every five minutes to once per day.
  • Recurring task looks wrong? Check whether the pattern is supported. Unsupported patterns sync one occurrence at a time, and rescheduling one occurrence will not change the recurring event.
  • Unsure whether a calendar edit changes the task? Make a test change to one block and check the source task. Feeds and Motion’s external calendar blocks do not change the task; native integrations may behave differently, so confirm yours.

Once your calendar shows the right blocks, the remaining work is keeping the schedule in one place, either the task app or the calendar, so changes are not made in both.
