How to Export Prompts and Workflows Before Switching AI Assistants

An account archive is only one part of an AI assistant migration. Save reusable instructions and files separately, check destination import limits, and test rebuilt workflows before leaving the old service.

Exporting your account data is a useful first step, but it does not necessarily carry your assistant setups into another AI service. Before switching, save the archive, copy reusable instructions and workflow definitions into readable files, and check what the new service can actually import. Rebuild and test important workflows before you close the old account.

What to save before you switch

“Prompts and workflows” can live in several places, and an account archive may not include every configuration in a form you can reuse. Make an inventory before exporting so you can spot gaps.

  • Chats and saved memories: conversations you may need to refer to, plus any saved context the service maintains.
  • Global instructions: response preferences or custom instructions applied across conversations.
  • Reusable prompts: templates, recurring tasks, and examples of outputs you want to reproduce.
  • Custom assistants: GPTs, Gems, or similar setups, including their instructions, conversation starters, capabilities, connected tools or actions, and uploaded knowledge files.
  • Projects: project-specific instructions, chats, and reference documents.
  • External dependencies: source files, connected apps, permissions, or other tools a workflow relies on.

Keep the items separate and clearly named. A plain-text or document copy is easier to review and adapt than relying on an archive whose structure may be specific to the original service.

Export each provider’s data and configurations

ChatGPT: request an account archive and save setups separately

For eligible personal ChatGPT accounts, go to Settings > Data controls > Export data, or use the [OpenAI Privacy Portal and export instructions]. OpenAI says an export can take up to seven days to arrive, and the download link expires after 24 hours. Check the ZIP after downloading it. Deleted chats cannot be restored by requesting a new export.

OpenAI confirms that custom instructions are included in the export. Still, save a readable copy so you can inspect and reuse the preferences without depending on the archive format. For each GPT, separately record its instructions, conversation starters, uploaded knowledge, capabilities, and relevant connected actions or apps. For each Project, preserve its instructions, chats, and reference files. These are distinct parts of the setup, not interchangeable with a chat archive. See OpenAI’s [Project guidance] and [GPT creation guidance].

Claude: export account data separately from memory

Individual Claude users can request account data and chat history from Settings > Privacy on the web or desktop app. Claude says the export link expires after 24 hours and that the export cannot be imported into another personal Claude account. Its separate memory-transfer flow supports importing or exporting memory; Claude recommends asking the current service for a comprehensive context snapshot. Treat that memory flow as distinct from the account-data export. See [Claude’s data export instructions] and [Claude’s memory import and export instructions].

Gemini: select both relevant Takeout categories

Google Takeout separates Gemini content into categories. Choose Gemini to export Gems, and separately choose My Activity > Gemini Apps for chats, generated media, and uploads. Selecting only one can leave the other out. Choose a delivery method, download the archive, and verify that it contains the expected items. Google lists email delivery and cloud destinations including Google Drive and Dropbox. Follow [Google’s Gemini data export instructions].

Check what the new assistant can import

An export is a backup; an import is a destination feature. Neither automatically recreates the behavior of a custom assistant. Before reorganizing your files or closing the old account, check the destination’s current import options, accepted archive formats, account eligibility, and any limits on chats or attachments.

Google’s Gemini import guidance says that a ZIP from another AI provider can be used to import chat history, but project files cannot be imported. Treat project instructions, custom instructions, assistant definitions, and attached knowledge as manual reconstruction unless the destination explicitly confirms it can import them. Claude likewise treats personal account-data export and memory import/export as separate processes. Read the destination’s [Gemini chat history import instructions] before assuming the ZIP will transfer more than chat history.

Google also says Gems are transitioning toward skills and recommends copying instructions manually and re-uploading knowledge files to verify them and maintain continuity. During the rollout, check the options shown in your account and confirm that any migrated draft works as expected. See [Google’s guidance on Gems and skills].

Rebuild and test before ending access

  1. Organize the source material. Keep the verified account archive, readable copies of instructions and prompts, and source documents in clearly labeled folders. A second local copy on a portable external SSD is optional; no particular drive is required. Google Takeout also offers cloud delivery options including Drive and Dropbox.
  2. Recreate a few high-value workflows first. Add the relevant instructions, reference files, and tools in the destination instead of trying to rebuild everything at once.
  3. Run representative prompts. Test typical inputs and edge cases, then compare whether the new assistant follows the desired instructions and produces the expected output structure.
  4. Check dependencies and permissions. Confirm that connected tools or apps are available and authorized in the destination; a copied prompt alone does not recreate those integrations.
  5. Keep the old account and archive until the replacement is usable. Do not treat a downloaded ZIP as proof that the workflows have migrated.

Check workspace eligibility before following personal-account steps

Export options depend on account type and permissions. OpenAI says Business, Enterprise, and Healthcare workspaces do not offer self-service data export; eligible Edu access depends on workspace settings and permissions. If the account is managed, check with the workspace owner or administrator about export availability before relying on the personal-account instructions. See [OpenAI’s workspace export guidance].
