Takeout makes a separate copy; it does not erase anything from Google’s servers. Do not take the deletion step until you have downloaded the archive, opened it, and confirmed that it is usable.
“Delete Gmail” can mean three different actions: removing selected messages, removing the Gmail service while keeping the Google Account, or deleting the entire Google Account. The export process is similar, but the consequences are very different.

Decide what you are deleting
Your first decision is the scope of the change. Exporting is always a copy operation, so you must separately perform whichever deletion you intend.

| Intended action | What changes | What to do before it |
|---|---|---|
| Delete selected messages | Only the messages you select are removed. The Gmail service and the rest of the Google Account remain. | Export first if you want a complete, independent copy or may need the deleted messages later. |
| Remove the Gmail service | The Gmail address and Gmail data are removed, while other Google services can remain in the account. | Download the archive, provide an alternate non-Gmail address, and complete Google’s verification step. |
| Delete the Google Account | Gmail and other associated account data, such as files, calendars, and photos, are deleted. You also lose access to Google services signed in through that account. | Review and download every type of data you want to keep, not just Gmail. |
If you are unsure which path applies, pause before deleting anything. Removing Gmail is not the same as deleting the Google Account, and a Takeout download does not trigger either action.

What a Gmail Takeout archive can contain
Google’s Gmail export guidance says the download can include far more than the visible message text. Depending on the account and the data available to it, the archive may contain:
- Message content, full headers, and attachments.
- Gmail labels and IMAP keywords.
- Settings such as signatures, vacation responses, delegated sender addresses, other account addresses, forwarding addresses, filters, and blocked addresses.
- Messages carrying labels such as Inbox, unread, sent, starred, drafts, important, Trash, Spam, archived, muted, and snoozed.
Labels are preserved in an X-Gmail-Labels header in the downloaded mail file. Google notes that no mail client currently recognizes this header, although an extension could use it. In practical terms, the messages and their label information are present, but your usual mail application may not automatically recreate Gmail’s label view.
Encrypted messages remain encrypted in the download. You will need the appropriate key or application to read them; exporting does not decrypt them.
For work, school, or group accounts, some Gmail data may not be available for download. An administrator may have disabled Takeout or may need to perform an organizational export or migration. If the Gmail product is missing from your list, contact the account’s administrator rather than repeatedly retrying a personal export.
Step-by-step: create the Gmail export
- Sign in to the Google Account. Use the account whose Gmail data you intend to preserve. If you have multiple accounts open, check the profile indicator before continuing.
- Open Google Takeout, Google’s Download Your Data tool. The page presents the Google products that can be exported. Google says products holding data are selected by default.
- Choose the products to preserve. Keep Gmail selected. If you are deleting the entire Google Account, select other products you may need, such as files, calendars, photos, contacts, or other services that contain personal data. You can deselect products you do not want and, where Google offers a product-specific subset, select only the relevant data.
- Continue to the archive options. Review the delivery destination, whether the export is one-time or scheduled where that choice is available, the archive format, and the maximum archive size.
- Select a delivery destination. Choose the destination offered by Takeout that you can access and secure. An emailed download link is useful when you want to save directly to a computer; a cloud destination can be convenient if it has enough free space and is protected by an account you will continue to control.
- Select the archive format. ZIP is the broadly compatible choice and opens on almost any computer. TGZ can be useful in Unix-like environments, but Windows may require additional software to unpack it.
- Set the maximum archive size. If the export exceeds the size you choose, Google creates multiple archive files. Pick a size that your computer or destination can handle without running out of space.
- Create the export. Confirm the settings and submit the request. Google says archive creation can take from a few minutes to a few days, although most people receive the download link on the same day.
Do not delete mail while the archive is being prepared. Google warns that changes made between the request and archive creation may not appear in the finished archive. If you send, edit, or delete messages after starting Takeout, those changes can create a difference between the live mailbox and the downloaded copy.

Understand the archive settings
| Setting | Choice | Practical consequence |
|---|---|---|
| Delivery | A destination offered by Takeout, such as a download link or supported storage destination. | Use a destination you can still access after the Gmail or Google Account deletion. |
| Export frequency | One-time export, or a scheduled option where Takeout makes it available. | For a deletion, a one-time archive is normally the relevant choice. A scheduled export does not replace your final download and verification. |
| File type | ZIP or TGZ. | ZIP has the widest desktop compatibility. TGZ may need extra Windows software. |
| Archive size | A maximum size selected in Takeout. | Exceeding the limit produces multiple archives. Download every part before deleting anything. |
Takeout does not currently support exporting Gmail for only a selected date range, according to Google’s help guidance. You cannot rely on a “last five years” or “messages from one month” setting unless the interface explicitly changes and provides one for your account. If you need a date-limited copy, create the complete Gmail export and organize or filter the downloaded files afterward.
Download and inspect the archive
When Google finishes preparing the export, use the link or destination you selected. The archive can be large, and a slow connection or limited local storage can interrupt the download, so plan for enough free space for all archive parts plus temporary extraction files.

If Takeout split the export, keep all files together. A partial set is not a complete backup.
- Save the original files before extracting. Keep an untouched copy in a safe location in case extraction fails or you later need to verify a file.
- Extract a working copy. Use your operating system’s ZIP tool for ZIP archives. Use a compatible archive utility for TGZ, particularly on Windows.
- Open
archive_browser.html. Google includes this file to explain the formats in the export and how to view them. Read it before assuming that a mail application will import every folder, label, or setting automatically. - Check the Gmail data folder. Confirm that mail files exist and that their size is plausible for the account. Open several representative messages, including one with an attachment, one from Sent, and one carrying a label.
- Check the settings export. If filters, forwarding addresses, signatures, or other settings matter to you, confirm that the corresponding files are present.
- Test a second copy. Copy the archive or extracted working folder to another safe location, such as an external drive you control. Open files from that second location so you know the backup is not dependent on one failing disk.
Google says storing the data anywhere safe with enough room is acceptable and that direct computer storage is easiest in most cases. An external hard drive is optional, not a requirement. If you use one, protect it from loss and unauthorized access just as you would the original mailbox.
Verify the backup before deletion
Google’s help page explains how to open and view an archive but does not prescribe a formal verification test. A practical check should answer four questions:
- Can you open the archive without an extraction error?
- Are all archive parts present when Takeout created more than one?
- Can you read several message files and open at least one expected attachment?
- Is the archive stored somewhere you will still control after removing Gmail or the account?
Record the folder location and, if useful, the archive’s file size and creation date. Do not treat the presence of a download notification as proof that the data is usable. The verification is complete only when you can open representative content.

Removing individual messages after the export
If your goal is only to delete selected emails, the Takeout archive remains separate from Gmail. After you have verified the copy, delete the chosen messages in Gmail using the normal message-selection controls. This does not remove the Gmail service, change your address, or delete other Google services.
Takeout itself never performs this cleanup. You must identify the messages, move or delete them, and handle Trash according to your own retention decision. If you later discover that a message was omitted from the archive, do not assume that running a new export will restore a message already deleted from Google’s servers; Takeout exports data that has not been deleted.
Removing only the Gmail service
Removing Gmail leaves the broader Google Account available, but it is still a destructive operation for Gmail. Google requires an alternate non-Gmail email address and verification before the Gmail service can be removed.
Complete the Takeout download and verification first. Then use the account settings path for removing Gmail, enter the alternate address requested by Google, and complete the verification message. Google states that Gmail emails and settings are deleted after 30 days when the Gmail service is removed. The Gmail address can no longer send or receive mail, and recovery may become impossible after some time.
For work, school, or group Gmail, the personal removal flow may not apply. Contact the administrator, who may control retention, migration, or deletion of the organization’s mail.

Deleting the entire Google Account
Deleting the Google Account has a much wider scope than removing Gmail. Google says associated Gmail data and other account data, including files, calendars, and photos, are deleted, and you lose access to Google services signed in through that account.
Before using the account-deletion control, return to Takeout and make sure every product you want to keep was selected and downloaded. A Gmail-only archive does not preserve non-Gmail services. Check subscriptions, sign-in dependencies, recovery methods, and any third-party service that uses this Google Account for authentication; deleting the account can prevent those sign-ins even when the third-party service’s own data is not stored in Google.
Once the archive is verified and any account dependencies are resolved, follow Google’s account-deletion flow. Read the confirmation screen carefully because it describes the data and services affected by the particular account.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. What Takeout cannot guarantee
- It is not a live mirror. The archive reflects data available when Google creates it. Changes made between the request and completion may not appear.
- It is not a date-range export. Google’s current help guidance says timeframe exports are not supported for Gmail.
- It does not recreate your mailbox automatically. The files preserve messages and label information, but mail clients may not interpret the
X-Gmail-Labelsheader. - It does not decrypt encrypted messages. The downloaded copies remain encrypted.
- It may be restricted on managed accounts. Administrators can limit availability or need to handle the export themselves.
- It does not delete anything. Deletion, Gmail removal, and account deletion are separate actions.
Troubleshooting common export problems
Gmail is not listed in Takeout
Confirm that you are signed in to the intended account. If it is a managed work, school, or group account, an administrator may have disabled export or reserved it for an organizational process. Contact that administrator.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsThe archive is split into many files
This is expected when the export exceeds the maximum archive size. Download every part, keep them in one labeled folder, and verify that each file can be opened. Do not delete Gmail after downloading only the first part.

The download fails or the archive will not extract
Check available storage, download the missing part again, and preserve the original files before attempting repair or re-extraction. If you selected TGZ on Windows, use software that supports that format or request a new export in ZIP.
A message or recent change is missing
Google warns that changes made between the request and archive creation may not appear. Compare the archive’s creation timing with the message’s date and status. If the message still exists in Gmail, create a new export after allowing current changes to settle.
Labels do not look right in the mail program
Inspect the raw exported mail and its X-Gmail-Labels header. Google says no mail client currently recognizes that header automatically, so the data can be present even when the application does not display Gmail’s label structure.
You cannot complete Gmail removal
Check that you supplied a non-Gmail alternate address and completed verification. If the account is managed by an organization, ask the administrator which removal or migration process applies.
Security and long-term storage
A Takeout archive can contain years of private correspondence, attachments, addresses, and account settings. Treat it as sensitive personal data.
- Store it in a location protected by a strong password and device security.
- Limit access to the archive and avoid leaving it on a shared or public computer.
- Keep at least one additional copy if the messages are important, but do not create untracked copies on devices you no longer control.
- Remember where the archive is stored before deleting the Google Account; a destination tied only to that account may become inaccessible afterward.
- When you eventually dispose of a drive or computer containing the archive, erase it using the device’s secure disposal process.
The safest workflow is deliberately conservative: request the export, wait for completion, download every part, inspect representative content, store a second copy if appropriate, and only then perform the selected deletion action.
