Tell the client in writing what your new rate will be and the date it takes effect. First check the agreement for renewal, notice, or rate-change terms; then give a brief, truthful reason tied to your work. If the client cannot meet the new price, offer a clearly defined change in scope or service rather than the same work at the old rate.
Before you tell a client, check the numbers and the agreement
Set a rate you can explain
Recalculate your rate using your business costs, income needs, available working capacity, relevant platform fees, and the scope of the client’s work. There is no evidence-based percentage that applies to every freelancer or client, so do not treat a figure from an online script as a developer-rate benchmark. The appropriate change depends on your business and the arrangement.

Choose a date the contract allows
Review the signed agreement, renewal date, purchase order, and any retainer terms before announcing an effective date. A notice or rate-change clause may determine when a new rate can apply. General freelancer guidance does not replace the terms you agreed to, and contract rules vary by jurisdiction.
Recommended Free Tools
For an active fixed-price project, do not change the price midway without a scope reason. If the client requests additional features or other work beyond the agreed deliverables, discuss the expanded scope and its budget. Otherwise, apply the new rate to a future project, renewal, or other billing boundary agreed with the client.

What to include in the rate-increase message
- The effective date: Name the date or the next project or renewal to which the rate applies.
- The new rate and unit: Specify the amount and whether it is hourly, daily, per project, or a retainer.
- A short, genuine reason: Refer to a change in scope, relevant expertise, or a documented result you can substantiate. Do not invent metrics or imply that an outcome was caused by your work if you cannot support that claim.
- A practical next step: Invite the client to plan upcoming work or review priorities and scope.
- Existing commitments, if applicable: Say what happens to work already agreed only after checking the contract.
Keep the explanation concise. A clear notice gives the client the terms and a way to respond; a long defense can obscure the decision they need to make.

Subject: Rate update for work starting [date]
Hi [Client],
I appreciate our work together. For work beginning [date], my rate will be [new rate] [per hour/day/project]. This reflects [brief, true reason tied to the current scope, expertise, or a documented result]. [If accurate under our agreement: I’ll honor the terms already agreed for [current project/contract].] If useful, we can review upcoming priorities and adjust scope to fit the new budget.
Best,
[Name]
Use the sentence about honoring existing terms only if it accurately describes your agreement. If the change applies at renewal or to future work, name that boundary instead of implying the price changes immediately.
Respond to budget concerns with real choices
First clarify whether the issue is the total budget, the timing, or the amount of work. Then offer a trade-off that changes what the client receives. For example, you could reduce deliverables, hours, meetings, or the service level, or schedule the work for a later date. Avoid offering the same scope at the old rate unless you have deliberately chosen that arrangement.
Rank #3
Decide your minimum acceptable rate and scope before negotiating. If no option fits both your limits and the client’s budget, you can decline future work courteously rather than leave the terms ambiguous.

Upwork’s scheduled rate-increase feature is optional and, for eligible hourly contracts, must be proposed when the contract starts; it cannot be added to an existing contract. Upwork says, “Scheduling a rate increase is optional for you and your client.” Once both parties agree, the scheduled increase is permanent for that contract’s duration; negotiating a new rate requires a new contract. See Upwork’s help documentation on scheduling a rate increase. These details apply to the platform and contract types it identifies, not to freelance agreements generally.
