Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →For a file you need to send as a standalone protected item, put it in a password-protected 7z archive with 7-Zip’s AES-256 encryption. Test the archive, then send its passphrase to the recipient through a separate channel. Windows’ built-in file and drive encryption protect different things; they do not create the same portable encrypted file.
Encrypt the file in a 7-Zip archive
7-Zip is free software, and its official product information lists AES-256 encryption for both 7z and ZIP archives. For this workflow, choose 7z. Download 7-Zip from its official site, then follow these steps:

- In File Explorer, right-click the file you want to send and choose the 7-Zip command to add it to an archive. The exact wording can vary by installed version or Windows context-menu layout.
- In the archive dialog, set Archive format to
7z. - Enter a strong, unique passphrase in the encryption fields and confirm it.
- Set the encryption method to AES-256.
- If the dialog offers an option to encrypt filenames, enable it if you also want the names inside the archive concealed.
- Create the archive. Open it and verify that the passphrase works before sending it.
Encryption does not guarantee a smaller file. Compression depends on the contents: already-compressed files such as JPEG images may shrink little when archived.
Make sure the recipient can open it
Tell the recipient in advance that the archive is encrypted and that they may need compatible archive software, such as 7-Zip. Microsoft says Windows 11, version 24H2, supports the 7z format but its built-in tools cannot operate on encrypted archive files. They should install compatible software before trying to open the file.

Send the passphrase separately from the archive—for example, by phone or through a different messaging account. Do not include it in the same message or location. The official 7-Zip and Microsoft pages cited here do not establish a password-recovery method, so do not assume a forgotten passphrase can be recovered.
How Windows’ other encryption options differ
| Method | What it protects | Does encryption travel with a file sent to someone else? | Requirements and access considerations |
|---|---|---|---|
| 7-Zip encrypted archive | A portable archive containing the file | Yes; the recipient needs compatible software and the passphrase. | 7-Zip lists AES-256 for 7z archives. The cited official pages do not specify a recovery path for a lost passphrase. |
| EFS (Encrypting File System) | Files or folders protected in a Windows user-account context | No; it is not a portable encrypted archive for sharing as a standalone protected item. | Microsoft says file encryption is unavailable in Windows Home. For the documented setting, open the item’s Properties > Advanced and select “Encrypt contents to secure data.” |
| BitLocker or Device Encryption | A drive or volume, such as protection against offline access if a device is lost or stolen | No; it does not create a portable encrypted file for a recipient. | Microsoft says Device Encryption can be available on Windows Home devices; BitLocker Drive Encryption is available on Pro, Enterprise, or Education. Keep the recovery key securely accessible because losing recovery information can prevent access. |
Use EFS for account-level file protection, not a handoff archive
Microsoft’s instruction for the EFS setting is: “Select the Encrypt contents to secure data check box.” EFS is useful for protecting files in its Windows account context, but it is not the right format when a recipient needs a standalone encrypted file. Microsoft also warns that adding EFS-encrypted files to a regular ZIP can result in them being unencrypted when extracted. Ordinary ZIP compression is not a substitute for an encrypted archive.

Use BitLocker to protect a drive, not one file for sharing
BitLocker and Device Encryption protect storage volumes rather than packaging an individual file for delivery. Microsoft notes that changes interpreted by the system as possible unauthorized access can trigger BitLocker recovery. Keep the recovery key in a secure place separate from the protected device, and ensure it remains accessible to the person who may need it.
