How to Enable File and Printer Sharing on Windows

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

File and Printer Sharing lets Windows PCs share folders, drives, and printers with other devices on the same local network. It is useful at home or in a small office when you want to access documents from another computer, print from mulle devices, or move files without using email or cloud storage.

For safety, this feature should be enabled only on trusted private networks, not on public Wi-Fi in airports, cafés, hotels, or schools. Windows uses network profiles, discovery settings, and firewall rules to control whether other devices can see your PC and connect to shared resources.

When enabling file and printer sharing, Outbyte Driver Updater can optionally scan network and printer devices for missing or outdated official drivers.

This guide walks through enabling File and Printer Sharing using both Windows Settings and Control Panel, checking the required network profile, allowing the feature through Windows Firewall, and fixing common problems that prevent shared folders or printers from appearing on the network.

Check That You’re Connected to a Private Network

Before turning on File and Printer Sharing, make sure Windows classifies your current connection as a Private network. This setting tells Windows that you trust the network, such as your home Wi-Fi or small office Ethernet network, and it allows nearby device discovery and sharing features to work. If the connection is set to Public, Windows uses stricter firewall rules to reduce exposure, which is the safer choice for airports, hotels, cafés, libraries, and other shared networks.

To check the network profile in Windows 11, open Settings, select Network & internet, then choose Wi-Fi or Ethernet depending on how you are connected. For Wi-Fi, select your connected network name, then look for Network profile type. Choose Private network only if you trust the router and the people or devices connected to it. For Ethernet, open the Ethernet connection page and select Private network under the same profile setting.

In Windows 10, open Settings and go to Network & Internet. Select Status, then click Properties under your active connection. Under Network profile, choose Private for a trusted home or workplace network. If you are connected to Wi-Fi, you can also select Wi-Fi, click your connected network, and change the profile from there. The wording may vary slightly by Windows version, but the setting is typically labeled Public or Private.

When to use each network profile

  • Private: Use on trusted home or office networks where you want your PC to find other devices and allow approved sharing.
  • Public: Use on untrusted or shared networks where other users should not be able to discover or connect to your computer.
  • Domain: Used on managed business networks joined to an organization’s domain; settings may be controlled by an administrator.

If the network profile option is missing or unavailable, your device may be managed by work or school policies, or you may not have administrator permissions. You can still view the current profile by opening Settings > Network & internet and checking the active connection details. On managed computers, ask your IT administrator before enabling sharing, especially if the device connects to both office and public networks.

Do not switch a public hotspot to Private just to make sharing work. Instead, wait until you are back on a trusted network, or use a safer sharing method such as OneDrive, a secure cloud storage link, or direct USB transfer. Setting the correct profile first helps Windows apply the right discovery, sharing, and firewall behavior before you expose any folder or printer to the local network.

Enable File and Printer Sharing in Windows Settings

After confirming that your connection is set to a private network, you can enable File and Printer Sharing from the Windows Settings app. This is the most direct method on modern versions of Windows, especially Windows 11 and recent Windows 10 builds. The setting allows your PC to participate in local network sharing so other trusted devices on the same private network can access shared folders or shared printers, depending on what you choose to share later.

Open Settings, then go to Network & internet. Select your active connection, such as Wi-Fi or Ethernet, and confirm that the network profile is still set to Private network. Do not enable sharing features for a Public network, such as airport, hotel, café, school, or guest Wi-Fi, because that can make your computer more visible on networks you do not control.

Windows 11 steps

  1. Right-click the Start button and select Settings.
  2. Go to Network & internet.
  3. Select Advanced network settings.
  4. Under More settings, select Advanced sharing settings.
  5. Expand Private networks.
  6. Turn on Network discovery.
  7. Turn on File and printer sharing.

In the same area, Windows may offer an option to set up network-connected devices automatically. This can help Windows detect devices such as printers, media devices, and other PCs on your home or office network. Keep these options enabled only under the Private networks section. If you see separate sections for Public networks or All networks, avoid turning on broad sharing there unless you have a specific managed-network requirement.

Windows 10 steps

  1. Open Settings from the Start menu.
  2. Select Network & Internet.
  3. Choose Status from the left menu.
4. Select Sharing options, or go to Network and Sharing Center and choose Change advanced sharing settings.
  5. Expand the Private profile.
  6. Select Turn on network discovery.
  7. Select Turn on file and printer sharing.
  8. Click Save changes if prompted.

If you are using a Microsoft account or a local account with a password, Windows can use those credentials when another computer connects to a shared folder. For better security, avoid sharing from an account with no password. If you later share a folder, assign permissions only to the users who need access instead of giving broad access to Everyone. For printer sharing, enable sharing only for printers you intend other people on the private network to use.

Once these switches are enabled, your PC is ready for the next sharing steps, but nothing sensitive is automatically shared just because the setting is on. You still need to choose a specific folder or printer and configure its sharing permissions. If other devices cannot see your PC after enabling these settings, keep the Settings window open and verify that you changed the options under the Private profile, not the Public profile.

Turn On Network Discovery and Sharing in Control Panel

Control Panel still provides the most complete view of Windows network discovery and sharing options. Use it when you want to confirm that your PC can see other computers on the local network and that other trusted devices can find shared folders or printers on your PC. These settings should be enabled only for a Private network, such as your home or office Wi-Fi or Ethernet connection, not for airport, hotel, café, or other public networks.

To open the correct page, press Windows + R, type control, and select OK. In Control Panel, go to Network and Internet > Network and Sharing Center, then select Change advanced sharing settings on the left. On Windows 11 and newer Windows 10 builds, this may open a modern sharing settings page, but the same profiles and options are available.

Enable the private network sharing options

Expand the Private section. Turn on Network discovery so your PC can find other computers, media devices, and printers on the same local network. If available, also enable Turn on automatic setup of network connected devices. Next, turn on File and printer sharing so other devices on the private network can access items you explicitly share, such as a folder or printer.

  • Network discovery: Allows this PC to detect other network devices and be visible to them.
  • File and printer sharing: Allows access to shared folders and shared printers from other devices on the same private network.
  • Automatic setup: Helps Windows configure trusted network devices, such as printers and media devices, when discovery is enabled.

After changing the settings, select Save changes if the button appears. You may need to approve a User Account Control prompt. If the options are already enabled under the Private profile, no further change is needed on this page.

Review public and password-protected sharing

Expand the Guest or Public section and keep Network discovery and File and printer sharing turned off for public networks. This reduces the chance that your computer becomes visible or accessible on untrusted networks. If you later connect to a public Wi-Fi network, Windows should use the Public profile and apply these more restrictive settings.

Next, expand All Networks and check Password protected sharing. For most home and office setups, leave Turn on password protected sharing enabled. This means people must sign in with a valid user account and password from your PC before they can open shared folders or use certain shared resources. Turning it off can make access easier, but it also allows broader access from devices on the local network, so use it only when you understand and accept that risk.

If you are sharing with another Windows PC, make sure both computers are connected to the same router or local network, both are using the Private network profile, and both have network discovery enabled. You can then open File Explorer, select Network, and look for the other computer. It may take a minute for devices to appear after changing discovery settings.

Allow File and Printer Sharing Through Windows Firewall

Even after you turn on network discovery and file sharing, Windows Firewall can still block other devices from reaching shared folders or printers. The built-in firewall uses app and feature rules, and File and Printer Sharing must be allowed on the correct network profile. For home and office sharing, allow it only on Private networks. Avoid enabling it for Public networks such as airports, hotels, cafés, or guest Wi-Fi, where unknown devices may be connected.

To check the firewall permission, open Start, search for Windows Security, and open it. Select Firewall & network protection, then choose Allow an app through firewall. In the classic Windows Defender Firewall window, select Change settings. Scroll through the list until you find File and Printer Sharing. Make sure the checkbox beside it is enabled, then check the Private column. Leave the Public column unchecked unless you have a specific, controlled need and understand the exposure.

  1. Open Windows Security from the Start menu.
  2. Go to Firewall & network protection.
  3. Select Allow an app through firewall.
  4. Click Change settings and approve the administrator prompt if shown.
  5. Find File and Printer Sharing.
  6. Enable it for Private networks only.
  7. Select OK to save the change.

If you use the older Control Panel path, open Control Panel, go to System and Security, then select Windows Defender Firewall. Choose Allow an app or feature through Windows Defender Firewall on the left. This opens the same allowed apps list, where you can enable File and Printer Sharing for the private profile. If the options are greyed out, you are not using an administrator account or the device is managed by an organization policy.

Firewall setting Recommended choice
Private network Allow File and Printer Sharing
Public network Keep File and Printer Sharing blocked
Domain network Follow your organization’s policy

If sharing still does not work after enabling the firewall rule, verify that the current connection is actually marked as Private. A common problem occurs when users enable the firewall exception under Private, but the active Wi-Fi or Ethernet connection is still set to Public. Also check for third-party security suites, because some antivirus firewall tools override Windows Firewall rules. Temporarily review their network protection settings or add an equivalent rule for local file and printer sharing on the trusted private network.

Share a Folder or Printer on the Network

After network discovery, File and Printer Sharing, and the firewall rules are enabled, you can choose what you actually want to share. Share only the folders and printers that other people on your private network need, and avoid sharing entire drives unless you have a specific reason. For safer access, use password-protected sharing so users must sign in with a Windows account that has permission to open the shared item.

Share a folder

To share a folder from File Explorer, right-click the folder you want to make available, select Properties, and open the Sharing tab. Select Share, choose the users who should have access, and then assign a permission level. Read lets others open and copy files, while Read/Write lets them add, edit, and delete files in that shared folder. Select Share, then copy or the network path, which usually looks like \\ComputerName\FolderName.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If you need more control, use Advanced Sharing from the same Sharing tab. Select Share this folder, confirm or change the share name, then select Permissions. Here you can allow or deny Read, Change, or Full Control for specific users or groups. For most home and small office networks, granting only the access users need is the safest choice. Remember that both sharing permissions and NTFS security permissions apply; the more restrictive effective permission usually wins.

Share a printer

To share a printer, open Settings > Bluetooth & devices > Printers & scanners, select the printer, and choose Printer properties. On the Sharing tab, select Share this printer, enter a clear share name, and select OK. A simple name without spaces, such as OfficePrinter or LaserJet, can make it easier for other devices to connect.

On another Windows PC, users can connect by opening Settings > Bluetooth & devices > Printers & scanners and selecting Add device. If the printer does not appear automatically, select the option to add it manually and enter the shared printer path, such as \\ComputerName\PrinterShareName. For shared folders, users can open File Explorer and type the folder path in the address bar, or browse under Network if network discovery is working. If prompted, enter the username and password for an account on the computer hosting the shared folder or printer.

  • Use private networks only: do not share folders or printers while connected to public Wi-Fi or untrusted networks.
  • Keep names simple: short computer, folder, and printer share names reduce connection errors.
  • Limit write access: give Read/Write or Change permissions only to users who need to modify files.
  • Leave the host PC on: other devices can access the share only when the computer hosting it is powered on and connected to the network.

Troubleshoot Common File and Printer Sharing Problems

If your shared folder or printer does not appear from another PC, start by confirming that both devices are connected to the same local network and that the network is still set to Private. File and printer sharing should not be enabled for a Public profile, such as coffee shop, airport, hotel, or guest Wi-Fi networks. On each Windows PC, open Settings > Network & internet, select the active Wi-Fi or Ethernet connection, and check the network profile. If it has switched back to Public, change it to Private before testing again.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Next, verify the sharing features that allow Windows PCs to find each other. Open Control Panel > Network and Internet > Network and Sharing Center > Change advanced sharing settings. Under the Private network section, turn on Network discovery and File and printer sharing. If available, also enable automatic setup of network-connected devices. Save the changes, then restart File Explorer or reboot both computers if the shared device still does not appear.

Common checks that fix most sharing issues

  • Check Windows Firewall: Open Windows Security > Firewall & network protection > Allow an app through firewall. Make sure File and Printer Sharing is allowed on Private networks.
  • Confirm share permissions: Right-click the shared folder, choose Properties, open the Sharing tab, and review who has access. If needed, add a specific Windows user account instead of giving broad access to Everyone.
  • Check NTFS permissions: Folder sharing permissions and the Security tab both apply. A user may be allowed through the share but blocked by file system permissions.
  • Use the computer name or IP address: In File Explorer, try entering \\ComputerName or \\IP-address in the address bar, such as \\192.168.1.25.
  • Restart sharing services: Rebooting both PCs often restarts the services needed for discovery, printing, and SMB file access.

For printer issues, make sure the printer is powered on, connected, and able to print from the computer it is attached to or installed on. On the sharing PC, open Settings > Bluetooth & devices > Printers & scanners, select the printer, and check that sharing is enabled from Printer properties. On the other PC, remove any failed installation of the same printer, then add it again from Printers & scanners. If Windows cannot find it automatically, add it manually using the shared path, such as \\OfficePC\PrinterName.

If access prompts keep appearing, sign in using a valid account from the sharing computer. For example, if a folder is shared from a PC named OfficePC, use credentials for an account that exists on OfficePC. Avoid enabling password-free access unless the network is tightly controlled and only trusted devices can connect. If you use third-party antivirus or firewall software, temporarily disable only its network protection feature long enough to test, then re-enable it and add a proper Private-network sharing rule if needed.

Frequently Asked Questions

Should I turn on File and Printer Sharing on a public Wi-Fi network?

No. File and Printer Sharing should be enabled only on networks you trust, such as your home or office private network. On public Wi-Fi, keep the network profile set to Public so Windows blocks discovery and sharing from other devices nearby.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How do I know if my Windows network is set to Private?

Open Settings, go to Network & internet, select your Wi-Fi or Ethernet connection, and check the network profile. Choose Private only if you trust the network and want your PC to be discoverable by other devices. If you are in a café, hotel, airport, or shared public space, leave it set to Public.

Do I need both Network Discovery and File and Printer Sharing turned on?

Usually, yes. Network Discovery lets other trusted devices see your PC on the network, while File and Printer Sharing allows access to shared folders and printers. If Network Discovery is off, sharing may still exist, but other computers may not easily find the device by browsing the network.

What should I check if another computer cannot access my shared folder?

Confirm both PCs are on the same private network and that Network Discovery and File and Printer Sharing are enabled. Check the folder’s sharing permissions and NTFS security permissions, because both can affect access. Also make sure Windows Defender Firewall allows File and Printer Sharing on private networks.

Can I share a printer without sharing files on my PC?

Yes. You can enable the sharing features needed for printer access and share only the printer, without sharing any folders. In Windows, open the printer properties, enable sharing for that printer, and give it a clear share name so other devices can find it easily.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Bottom Line

File and Printer Sharing works best when your Windows PC is on a trusted Private network, Network Discovery is enabled, and the right sharing and firewall permissions are allowed. Avoid enabling sharing on Public networks, where your device may be exposed to people and devices you do not trust.

If sharing still does not work, verify both devices are on the same network, check Advanced sharing settings and Windows Defender Firewall rules, then restart the PC, router, and printer if needed. Once configured safely, you can share folders and printers across your home or office network with far less hassle.
