Press Windows logo key + Shift + S, choose a capture mode, and select the area you need. The image opens in Snipping Tool, where you can draw with Pen or Highlighter, add Shapes or emojis, erase and undo marks, crop the image, extract or redact text, then save or share it. The instructions below apply to Microsoft’s Snipping Tool on Windows 10 and Windows 11; individual features can vary by Windows release.
Capture a screenshot in Snipping Tool
Snipping Tool can capture part or all of a PC screen. The fastest route is the keyboard shortcut; opening the app from Start provides the same capture controls.
- Press Windows logo key + Shift + S. A capture overlay appears. If the shortcut does not respond, open Start, search for Snipping Tool, and launch it.
- Choose one of the image modes in the overlay.
- Make the selection. The resulting image opens in the Snipping Tool editor.

Snipping Tool also documents a Video snip mode. That records a clip rather than producing a still image, so use an image mode when your goal is to annotate a screenshot.
Annotate the image
The editor toolbar keeps the common markup operations next to the captured image. Make the marks before saving the final copy so the annotations remain part of that exported image.

Pen and Highlighter
Use Pen for an opaque line, arrow-like handwriting or a signature. Use Highlighter when the original text should remain visible beneath a translucent mark. Select the tool, choose its available color and size, then drag over the screenshot. A touchscreen stylus is optional; a mouse, trackpad or finger on a compatible touch display also works.
Shapes and emojis
Shapes let you call attention to an area with geometric marks. Add an emoji when a visual symbol communicates the status or reaction more clearly than handwriting. Position the object over the screenshot and resize it before exporting.
Eraser, Undo and Redo
Eraser removes individual pen, highlighter or shape marks without recapturing the screen. Use Undo to step backward through edits and Redo to restore an edit you removed accidentally. These controls are useful when several annotations overlap.

Crop
Select Crop to trim away browser chrome, empty margins or unrelated desktop content. Adjust the crop boundary around the useful area and apply it before saving. Cropping after markup can cut off a callout, so leave enough margin around arrows and labels.

Extract or redact text with Text actions
When the capture contains selectable-looking text, choose Text actions. Snipping Tool can select and copy recognized text, copy all recognized text, and quickly redact detected email addresses or phone numbers. Microsoft states that “All text recognition processes are performed locally on your device.” That statement describes the OCR handling for Text actions; it is not a general guarantee about every other Windows feature.
- Open Text actions in the toolbar.
- Choose the text you need, or use the command to copy all recognized text.
- For sensitive contact details, use the quick redaction command before sharing the image.
OCR can misread small, blurred, rotated or low-contrast text. Treat copied text as a draft and compare it with the screenshot before using it in documentation, code or a support ticket.

Save, make another copy, or share
Automatic saving and Save as
Microsoft’s support page says captures are automatically saved in the Screenshots folder by default. The automatic-save behavior and destination can be changed in Snipping Tool Settings. To choose a different filename, format or location for a particular edited image, use Save as and select the destination in the file dialog.
Saving another copy is useful when you want both an untouched capture and an annotated version. Give the edited file a descriptive name such as checkout-error-annotated.png so the purpose is clear when it is attached to a ticket.
Share
Open the See More menu and choose Share to send the edited capture through a Windows sharing destination. Review the image at full size first: annotations that look subtle in the editor can be difficult to read after a messaging service resizes the file.

Edit with Paint
For sizing, color changes, text and broader image enhancements, choose Edit > Edit with Paint. Paint is the better path when you need general image editing beyond Snipping Tool’s quick markup controls.

Feature availability and hardware notes
The cited Microsoft support page covers Windows 10 and Windows 11 but does not publish an app build number or a feature-by-feature matrix for every release. Two controls are specifically limited: Perfect Screenshot and Color picker are available only on Copilot+ PCs running Windows 11. Do not assume those controls appear on a standard Windows 10 or Windows 11 computer.
A pen is not required. Windows 11’s pen-menu documentation lists Snipping Tool as a default shortcut alongside OneNote, Whiteboard and Journal, so a compatible touchscreen stylus can be convenient on supported hardware. The documentation does not establish compatibility for a particular pen model.

Troubleshoot captures and annotations
The shortcut does nothing
- Open Snipping Tool from Start and capture from its main window.
- Check that you are pressing the Windows logo key, Shift and S together.
- If another utility has remapped the shortcut, close that utility temporarily and try again.
The wrong area was captured
- Press Esc before selecting again if the overlay is still active.
- Choose Window for a single application or Rectangle for a precise region instead of relying on a freeform outline.
- For a menu that disappears when you click elsewhere, open the snipping overlay only after the menu is visible, then select it immediately.
Text actions miss words or copy errors
- Recapture at a larger scale and avoid cropping letters at the edge.
- Increase contrast in the source application when possible, then run Text actions again.
- Proofread copied text against the image, especially for punctuation, characters such as 0/O and 1/l, and code.
Annotations are hard to see
- Use a thicker Pen or Highlighter stroke and a contrasting color.
- Leave space around the target before using Crop so arrows and labels are not clipped.
- Open the saved file at its intended display size; chat and email services may resize it.
The file is missing or saved somewhere unexpected
- Look in the Screenshots folder first, which is the documented default.
- Open Snipping Tool Settings to inspect or change automatic-save behavior and its destination.
- Use Save as after editing when you need a known path and filename.
A feature shown in a tutorial is absent
Check the Windows edition and hardware. Perfect Screenshot and Color picker require a Copilot+ PC running Windows 11, and Microsoft does not provide one universal feature matrix for all app builds. Update Windows through your organization’s normal process if policy allows, then check the current Snipping Tool interface.
Performance, quality and privacy considerations
- Capture only what is needed. A window or rectangle snip is easier to read and share than a full desktop containing unrelated notifications.
- Annotate before compression. Exporting a clear PNG and letting a recipient’s service resize it generally preserves markup better than repeatedly saving through different apps.
- Keep originals when evidence matters. Save an untouched capture separately from the marked copy so a reviewer can distinguish the screen content from your interpretation.
- Review sensitive data. Crop or redact email addresses, phone numbers and other visible personal information before sharing. Text actions’ OCR is described by Microsoft as local to the device, but sharing the resulting image or copied text is still your responsibility.
