Start by matching your books to an organization whose readers and collection needs fit them. Before you transport anything, check that recipient’s current policy and confirm what it accepts, how much it can receive, when and where to deliver, and whether you need an appointment. Acceptance does not guarantee that books will be added to a library collection; the recipient may sell, redirect, recycle, or discard items it does not select.
1. Sort books before you contact a recipient
Group books by condition, age, subject, language, format, and intended reader. This helps an organization quickly judge whether the material suits its collection, curriculum, or programs.

Set aside books that are damp, moldy, musty, dirty, stained, torn, missing pages or covers, or heavily marked. These are common reasons for refusal. Offer only clean, dry, intact books; do not pass along damaged items as usable donations.

Libraries may restrict dated material, particularly in advice and reference categories. Schools assess whether titles support their students and curriculum, and may decline materials that do not meet collection standards.

2. Find the right recipient and check its current policy
Look up the specific library, school, or community organization rather than relying on a general assumption that it accepts books. Donation rules differ and can change. Use the organization’s official website or contact its staff directly, especially if you have a large quantity or a specialized collection.
For a public library
Ask whether the library accepts gifts and whether it considers them for the permanent collection, a Friends group sale, or another use. Libraries often retain discretion over which books they keep. For example, Kent Free Library says donated materials are not guaranteed entry into its circulating collection; unselected items may go to Friends book sales, be offered to other organizations, or be recycled.

For a school
Contact the school librarian or an appropriate staff member before delivering books. Ask which ages, subjects, languages, and formats are useful. School guidance emphasizes checking relevance, quality, condition, and gift terms against the school’s collection standards. The 2018 Kenya School Libraries Policy and Guidelines, for example, says schools may refuse donations that do not meet those standards. It is a national policy example, not a rule for every school.

For a community group
Identify the group’s actual readers and activities before offering books. A youth program, neighborhood center, literacy organization, or community book exchange may have different needs, but acceptance cannot be assumed. Contact the group, describe the subjects and approximate quantity, and confirm that it currently has a use for them.
3. Check condition, age, and subject limits
Policies range from broad requests for books in good condition to stricter standards and publication-date limits. These examples show why the receiving organization’s own rules matter:

These are local examples, not universal thresholds. Do not treat a rule at one institution as permission to deliver the same books elsewhere.

Before loading a car or leaving a box, ask about quantity limits, the approved drop-off location, receiving hours, and appointment requirements. Follow the organization’s directions exactly. Do not leave books unattended or put them in a book return unless the recipient expressly instructs you to do so.

- Ames Public Library says it accepts up to ten boxes at a time.
- Austin Public Library has a gift policy effective January 2, 2026. It permits routine donations of up to two grocery bags or standard-sized boxes at a library location during business hours; larger donations require an appointment at a specified facility.
- Pasadena Public Library specifies receiving arrangements as well as its donation criteria.
Those limits and arrangements belong to the named libraries and may change. Confirm the current instructions before you go.
5. Ask what happens to books the recipient does not keep
Clarify the likely disposition before handing over books, particularly if you have a large donation or care about how it will be used. A recipient may select some titles and handle the rest through a sale, transfer, recycling, or disposal process.
For example, Austin Public Library’s gift policy says gifts are selected for the collection and may instead be transferred to Recycled Reads, sent to another suitable agency, or discarded or recycled. Ames Public Library says donated items may be added to its collection, sold, given away, or responsibly discarded. The specific outcome depends on the recipient’s policy and its assessment of each item.
6. If the first organization cannot use the books
Ask whether staff can suggest another suitable recipient, or contact a different library, school, or community organization that serves the books’ intended age group or subject area. Confirm that the next organization currently accepts donations and that your books meet its requirements before transporting them. Do not assume that a referral or another organization’s general mission means it can take the books.
