1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteFirst confirm the invoice is genuinely overdue under the agreed terms, then keep a dated record of each contact and follow up with a clear, courteous request for payment. If the customer raises a problem, identify and document it before deciding whether to agree a payment plan or escalate. Late-payment charges and formal recovery rules depend on where you and the customer are based; the figures below apply to qualifying UK commercial debts, not invoices everywhere.
Confirm the invoice is overdue before chasing
Check the contract and invoice for the agreed payment terms and due date. If the agreement does not state a payment date, the applicable rules may determine when payment becomes late. The UK government explains how agreed dates and cases without an agreed date are treated in its guidance on when commercial payment becomes late.

Before sending a reminder, verify the amount, customer details, payment method, and any purchase-order or approval reference. A missing reference or invoice error can delay approval even when the work has been completed. The Office of the Small Business Commissioner recommends checking payment terms and possible invoice errors before chasing in its help with unpaid invoices.

- Invoice number and invoice date
- Customer name and relevant contact
- Goods supplied or work completed
- Amount due, payment terms, and due date
- Purchase-order or approval reference, where applicable
Maintain a dated contact log alongside those invoice details. For each reminder, call, or meeting, note who was contacted, what they said, any dispute or promised payment date, agreed instalments, and what happened next. This log is practical recordkeeping advice; it is not a claim about a universal legal retention period. The Commissioner’s guidance covers invoice details and follow-up steps, while the UK government lists core invoice information in its invoice requirements guidance.
Send a specific, professional reminder
There is no universal reminder interval established for every business invoice. Once you have checked the due date and invoice details, send a concise message that identifies the invoice and makes the next action clear. Resend or attach the invoice if that will help the customer process it.
What to include in an overdue invoice email
- Invoice number, invoice date, and amount outstanding
- The agreed due date and a neutral statement that payment has not arrived
- A copy of the invoice and any relevant purchase-order reference
- Payment instructions, including the correct account or payment link
- A request to confirm the expected payment date or explain any issue holding it up
Keep the tone factual and courteous. For example:
Subject: Payment reminder — invoice [number]
Hello [name],
Our records show that invoice [number] for [amount], due on [date], remains unpaid. I’ve attached a copy for convenience. Please let me know when payment is expected, or tell me if anything is preventing approval. Payment instructions are included on the invoice.
Regards,
[your name]

Follow up to find out what is holding payment up
If the customer does not reply, contact them directly. The UK export guidance advises following up promptly after a payment deadline is missed and establishing the cause; that is practical guidance for exporters, not a universal legal deadline. The Commissioner’s unpaid-invoice guidance says: “If there’s no response to the reminder, call or meet with them to discuss the issue.”
Ask targeted questions so you can distinguish an administrative delay from a genuine disagreement or inability to pay. Common causes include:

Record disputes and payment plans in writing
For a disputed invoice, log the date, the specific item the customer disputes, their explanation, supporting documents, who is handling the issue, and the next agreed action. Deal with the issue promptly and keep the disputed amount distinct from any amount the customer accepts as due.
UK payment-practice reporting guidance says that disputed invoices which fall due and remain unpaid are included in certain large-business statistics on invoices not paid within agreed terms. This reporting rule applies in that stated context; it does not by itself determine whether a particular debt is legally owed. See the UK government’s payment-practices reporting requirements.

For qualifying late commercial payments in the UK, government guidance describes statutory interest at 8% above the Bank of England base rate. A different contract rate can affect whether statutory interest applies, and the base-rate element changes over time, so check the current guidance when calculating a charge. The government says to issue a new invoice when adding interest. Read its guidance on charging interest on commercial debt.

The UK government also lists fixed recovery sums chargeable once per payment: £40 for debts up to £999.99, £70 for debts from £1,000 to £9,999.99, and £100 for debts of £10,000 or more. It describes reasonable additional recovery costs in applicable cases. Eligibility and contract circumstances matter; consult the government’s debt recovery costs guidance before adding these amounts.

These interest and recovery-cost rules are UK-specific. Do not apply them to an overseas customer or a debt governed by another jurisdiction without checking the relevant contract and local law. The sources here do not establish equivalent rules for the United States or other countries.
Escalate in proportion to the debt and the relationship
If ordinary reminders do not resolve the matter, the Commissioner’s guidance lists a final demand followed, where appropriate, by support from the Office of the Small Business Commissioner, a collection agency, or legal action. A final demand should state the amount sought, the invoice and relevant dates, how the customer can pay, and what step you may take next. Check local rules before treating a particular format or deadline as legally required.
Before paying for recovery or taking legal action, weigh the decision against the circumstances:
- How clear are the contract, invoice, and evidence that goods or services were delivered?
- Is the whole balance disputed, or only one part?
- How much is owed compared with likely recovery costs?
- Is the customer giving a credible explanation or payment history?
- How urgent is the cash flow, and how valuable is the ongoing relationship?
- What local law applies, and how old is the debt?
The Commissioner cautions that recovery agencies and legal action involve cost and can affect the customer relationship. For some UK small businesses with fewer than 50 staff and an unresolved dispute with a larger customer, the Commissioner may offer free support, subject to the exclusions on its unpaid-invoice guidance page.
Use payment-performance data as one due-diligence input
When evaluating a prospective UK customer, the government’s payment-practices reporting service publishes information for qualifying large businesses, including average time to pay and the proportion of invoices paid late by count or value. These measures can inform a supplier’s assessment, but they are not representative of every customer or sector. Review the UK payment-practices reporting service and treat reported performance as context, not a guarantee about an individual invoice.
