How to Dispute Inaccurate Information Found During Mortgage Verification

A U.S. guide to correcting lender-file, credit-report, employment-verification, and mortgage-servicing errors during or after a mortgage application.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Start by finding out exactly which record is wrong: the lender’s underwriting file, a credit or other consumer report, or the servicing record for an existing mortgage. Ask the lender in writing what item, source, and date it relied on. Then send a focused correction request to whoever controls that record, attach copies of reliable documents, and keep proof of everything you submit. Credit-report disputes generally involve both the reporting company and the company that supplied the data; an underwriting-file correction goes to the lender; and an existing-loan servicing error follows a separate mortgage-servicer process.

Identify which mortgage-verification record is wrong

The same inaccurate fact can require completely different action depending on where it appears. A lender’s internal application file is corrected by the lender. A tradeline, identity detail, or public-record entry on a consumer report is disputed with the reporting company and the furnisher that supplied it. A payment-posting or account-information problem on an existing mortgage is handled through the servicer’s notice-of-error or information-request process.

Problem Who controls the record Evidence that usually addresses it Written route and timing Loan stage
Wrong employment, income, assets, debt, identity detail, or other item in the lender’s application or underwriting file The mortgage lender, its underwriter, or a verification vendor used by the lender Pay statements, W-2s, tax returns or transcripts, employer letters, bank or investment statements, and other reliable third-party records Written correction request to the loan officer or designated underwriting contact; no universal federal response deadline for a pending application New loan application or underwriting
Incorrect account, balance, payment history, identity information, or other data on a credit or consumer report The reporting company and the furnisher that supplied the information The report page showing the item plus records proving the accurate status, amount, dates, or identity Dispute through the reporting company and directly with the furnisher. Reporting companies generally investigate within 30 days; furnishers generally respond to a direct dispute within 30 days, subject to exceptions. CFPB guidance Mortgage application, including information used for underwriting
Payment-crediting, payoff, escrow, servicing, or information-request error on a mortgage you already have The mortgage servicer Payment confirmations, statements, correspondence, closing or modification records, and the specific account information requested Written notice to the servicer’s designated address. Acknowledgment is generally due within five business days and a substantive response within 30 business days, excluding weekends and legal public holidays; permitted extensions can apply. CFPB servicing guidance Existing mortgage account

Do not send a servicing notice to correct an income figure used to decide a new loan, and do not assume a credit-report dispute automatically changes the lender’s own underwriting file. Those are separate records and separate channels.

Ask the lender for the exact source of the mismatch

Before arguing about a conclusion such as “income could not be verified,” identify the underlying field. Send a short written request asking:

  • Which item is considered inaccurate: employment status, employer name, income amount, bonus or commission, account balance, debt status, address, Social Security number, or another field?
  • Was it taken from a credit report, an employment or income-verification vendor, an employer, a financial institution, a tax document, or an internal data entry?
  • What date did the lender or vendor use, and can the lender provide a copy or a precise description of the information relied on?
  • Is the discrepancy blocking approval, changing a qualifying calculation, triggering a condition, or simply being documented in the file?
  • What deadline does the lender set for receiving corrected records?

Mortgage creditors must verify income or assets they rely on with reasonably reliable third-party records. Regulation Z’s official interpretation lists examples such as tax returns, W-2s, payroll statements, financial-institution records, and employer or other third-party records. Read the rule and examples at 12 CFR §1026.43 official interpretation.

Ask for the source even when the lender says the problem came from an automated verification. A vendor result may contain a stale employer record, a payroll-cycle mismatch, a name variation, or an incorrect balance. You need enough detail to match the disputed field to your own evidence.

Correct an error in the lender’s underwriting file

For an internal lender-file error, write to the loan officer and the underwriting or document-submission contact identified in your conditional-approval or loan-status messages. Keep the request factual and limited to the incorrect item.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Identify the application. Include the application or loan number, property address, and the date of the lender’s message. Use a secure portal when the lender requires one; otherwise use an email or letter that creates a delivery record.
  2. Describe the error precisely. State the field as shown, why it is wrong, and the correct value. For example, distinguish an incorrect monthly base salary from a missing bonus, or an “unemployed” status from a job change that occurred after the verification date.
  3. Attach copies of relevant records. Depending on the fact, provide the paystub covering the disputed period, W-2, tax return or transcript, employer letter, bank statement, award or commission record, or the report page containing a wrong tradeline. Keep the originals.
  4. Explain timing or name issues. Note a recent job start, payroll cut-off, legal name change, merger, leave, variable compensation, or employer correction that makes two records look different. Explain which record controls and why.
  5. Request a specific action. Ask the lender to correct the application or underwriting file, recalculate any affected figure, and confirm in writing whether the loan will be reconsidered.
  6. Preserve the complete paper trail. Save your message, attachments, portal confirmation, delivery receipt, responses, and the lender’s stated deadline in one folder.

Fannie Mae’s documentation guidance allows borrower-provided, employer-provided, and vendor-provided verification under specified conditions. Vendor methods generally require borrower authorization, and the lender remains accountable for evaluating the information. See Fannie Mae, Standards for Employment and Income Documentation. A lender may ask for updated records if the first set does not cover the relevant period; provide the requested period rather than sending an unrelated pile of documents.

When employment or income could not be verified

Employment verification often fails because the source and the borrower’s records refer to different dates or definitions. Separate base wages, overtime, bonus, commission, self-employment income, and future or contingent income instead of presenting one unexplained total.

Use records that match the disputed period

  • For wages, send pay statements showing the employer, pay period, year-to-date earnings, and deductions, plus the applicable W-2.
  • For self-employment or variable income, include the tax return or transcript and any lender-requested business or earnings documentation.
  • For an employer-record mismatch, request a dated letter on company letterhead that states job title, start date, current status, pay structure, and the contact information the lender may use.
  • For an asset-based qualification, provide the financial-institution statement covering the account and date the lender used; explain transfers or large deposits with their source records.

Do not edit a paystub, bank statement, tax document, or verification report. If an employer or bank corrected a record, submit the corrected version together with the original context and an explanation. Altering a source document can create a more serious credibility problem than the initial data error.

When a vendor supplied the result

Ask the lender to identify the vendor and the field that failed rather than trying to guess which database was used. Fannie Mae’s guidance permits several verification methods but places responsibility on the lender to identify, evaluate, and resolve discrepancies. The lender may need a new authorization or a fresh verification call; follow its secure instructions and keep a copy of the authorization you sign.

Dispute a wrong item on the credit report used for your mortgage

If the mismatch appears on a credit or other consumer report, dispute it through the reporting company that issued the report and separately with the company that furnished the information. The CFPB states that fixing an error generally means contacting both parties. Its instructions are at How do I dispute an error on my credit report?.

  1. Obtain the exact report version. Save the report supplied to you, including the date, report number if shown, and the page containing the disputed item. If the lender will not provide a copy, ask for the reporting company’s name and the specific account or factor used.
  2. List each error separately. Identify the account or identity field, the inaccurate value, the accurate value, and the reason the entry is wrong. Explain whether the problem is a mixed file, duplicate account, wrong balance, incorrect payment status, account not belonging to you, or an obsolete entry.
  3. Attach copies, not originals. Include the relevant report excerpt and documents that prove the correction. A payment confirmation, creditor letter, account statement, identity document, or court record may be useful depending on the item.
  4. Send to both recipients. Use each recipient’s stated dispute address or online process. Certified mail with a return receipt is one option for preserving delivery evidence; keep the receipt and a complete copy of the package.
  5. State the remedy. Ask for the information to be corrected or deleted, an updated report, and written results of the investigation.

Reporting companies need enough detail to investigate. The CFPB warns that a dispute can be rejected as frivolous or irrelevant when it lacks sufficient information; the company must notify you of that decision. Avoid a general statement such as “my credit is wrong.” Point to the exact tradeline and attach the proof.

For a mortgage sold to Fannie Mae, its Selling Guide tells lenders to review significant alleged inaccuracies with the borrower and request confirmation from the reporting company. When multiple tradelines or a mortgage tradeline are disputed, the guide says the lender should obtain correspondence from the borrower explaining the dispute. This is loan-program guidance, not a universal rule for every lender. See Fannie Mae, Accuracy of Credit Information in a Credit Report.

Track the investigation without losing the mortgage deadline

Credit-reporting investigations generally take up to 30 days, and a furnisher generally has 30 days to respond to a direct dispute, although statutory exceptions can change the timing. Record the date each recipient received your dispute, the delivery evidence, the response date, and every condition or deadline in the mortgage file.

A dispute does not automatically pause underwriting. Ask the lender, in writing, whether it can hold the application, underwrite with corrected records, or document a reconsideration while the investigation is pending. There is no universal rule requiring a lender to pause a decision or to accept a particular reconsideration deadline, so obtain the lender’s answer promptly. If the lender has a rate-lock, appraisal, commitment, or closing deadline, tell the lender how the disputed item affects that date.

If the reporting company says the information was verified but it remains wrong, send the result back with new, more specific evidence and identify what the investigation failed to address. Keep the original dispute and the follow-up together; do not discard an earlier response.

If the mortgage application is denied

Read the adverse-action notice instead of relying on a verbal explanation. A creditor must give the principal reasons for the denial or tell you how to obtain them. If the decision relied on a credit report, the notice identifies the reporting company, provides the credit score and key factors used, and explains your right to request a free report from that company within 60 days. CFPB’s explanation is available at What can I do if my credit application was denied because of my credit report?.

  1. Request the named report within the 60-day period and compare the adverse-action reasons with the actual tradeline, balance, dates, and identity information.
  2. Dispute factual errors with the reporting company and furnisher using the evidence procedure above.
  3. Send the dispute confirmation and corrected records to the lender and ask whether it will reconsider, reopen, or accept a new application.
  4. Save the denial, the report, your disputes, and every response. They establish what information was used and when.

A denial that appears to involve discrimination warrants individualized legal advice. CFPB identifies protections under the Equal Credit Opportunity Act for race, color, religion, national origin, sex, marital status, age when the applicant can legally contract, receipt of public-assistance income, and good-faith exercise of rights under the Consumer Credit Protection Act. The notice and the facts of the decision matter; do not assume that an ordinary verification error proves discrimination.

Escalate an unresolved credit-report dispute

When a reporting company’s investigation is inadequate, you can ask that a brief statement describing the dispute be added to your file, seek legal advice, contact your state attorney general, or submit a complaint to the CFPB. The CFPB’s explanation of post-dispute options is at What if I disagree with the results of my credit report dispute?.

For a CFPB complaint about inaccurate or incomplete credit reporting, first dispute directly with the reporting company or furnisher. The CFPB complaint notice says the dispute must no longer be pending or must be more than 45 days old before you submit the complaint. See CFPB credit and consumer reporting complaint notice. Include the original dispute, delivery proof, response, report excerpt, and a concise explanation of the remaining error.

A regulator or attorney cannot guarantee that a lender will approve the loan. Their role is to address inaccurate reporting or unlawful conduct; the lender still applies its underwriting rules to verified information.

Do not confuse underwriting disputes with mortgage-servicing errors

The special notice-of-error and information-request process described by the CFPB applies to an existing mortgage account. Use the servicer’s designated address, not a general payment address, and include your name, property address, account number, and the exact error or information requested. The servicer generally acknowledges the notice within five business days and responds substantively within 30 business days, excluding weekends and legal public holidays; an allowed extension can change the response date. Continue making scheduled payments while the servicer investigates.

This route can address a payment credited to the wrong loan, an incorrect payoff or escrow figure, or a request for account records. It does not replace the lender-file or credit-report dispute used to correct information in a pending mortgage application. The CFPB’s instructions are at How do I dispute an error or request information about my mortgage?.

A concise evidence-and-deadline checklist

  • Write down the exact field, account, report page, source, and date the lender used.
  • Identify whether the issue is a lender-file error, consumer-report error, or existing-loan servicing error.
  • Send a dated, specific correction request to the party controlling that record.
  • Attach legible copies of records that prove the correct value; retain originals.
  • Explain timing, name, employer, payroll, transfer, or account-history differences that could confuse an automated check.
  • Use a delivery method that preserves proof and save the complete submission.
  • Tell the lender about any underwriting or closing deadline and ask in writing how it will handle a pending dispute.
  • Read an adverse-action notice immediately and obtain the named report within its 60-day free-report period when applicable.
  • Escalate only after the direct dispute is complete, and include the full paper trail.

Bottom line

Mortgage-verification disputes are fastest when you challenge the correct record with proof tailored to the disputed field. Get the lender to identify the source, correct internal-file errors with the lender, dispute consumer-report errors with both the reporting company and furnisher, and reserve the servicer notice process for an existing mortgage account. Keep every document and deadline; a well-documented correction gives the lender a usable basis to reconsider the underwriting decision.
