To show a formula result in an Excel text box, select the text box, type = in the formula bar, select the cell that holds the result, and press Enter. The text box then displays that cell’s contents and updates whenever the cell changes. Microsoft’s support instructions for this procedure cover Excel for Microsoft 365, Excel 2024, and Excel 2021.
Link the text box to the result cell
The text box does not calculate anything itself. It mirrors a worksheet cell, so the formula has to live in a cell first. Once that cell shows the value you want, the link does the rest.

- Enter your formula in a worksheet cell and confirm that the cell shows the correct result. For example, put
=SUM(B2:B6)in cellF2. - Go to Insert > Text Box, then drag on the worksheet to draw the box.
- Click the border of the text box so that the box itself is selected, not the text inside it.
- Click in the formula bar, type
=, and then either click cellF2or type its reference. A worksheet reference looks like=Sheet1!F2. - Press Enter. The contents of
F2appear in the text box, and any later change toF2appears there automatically.
Microsoft’s support wording for this behavior is direct: the contents of the cell appear in the shape or text box that you selected.

Suppose a sheet totals a column of invoice amounts, and you want the box to read “Total: $125.00” rather than a bare number. Linking the box straight to a number-only cell would show 125, so build the label in a helper cell first.

- Keep the numeric total in
F2, for example=SUM(B2:B6). - In an unused cell such as
G2, enter="Total: "&TEXT(F2,"$#,##0.00"). The&operator joins the label to the number, andTEXTcontrols how the number is displayed. - Select the text box, type
=in the formula bar, selectG2, and press Enter.
The box now shows Total: $125.00, and it updates when the sum changes. The helper cell can be hidden or placed off the printed area if you do not want it visible on the sheet.
When to link directly and when to use a helper cell
- Link directly when the cell already displays exactly what the box should show, such as a text result or a number with the right format.
- Use a helper cell when the box needs a label, a currency symbol, a specific date format, or a combined phrase. The linked box shows the cell’s displayed contents, so formatting belongs in the helper cell.
Limitations and troubleshooting
- Typing a formula inside the box does not link it. Text typed directly into the box stays as plain text. The link must be entered in the formula bar while the text box itself is selected.
- Shape type matters. The cell-link method works with worksheet text boxes. It cannot be used on scribble, line, or connector shapes.
- Chart text is a different feature. Chart titles, data labels, and text boxes inside charts have their own linking methods, and Microsoft’s instructions for those are separate from the worksheet text box procedure described here.
- If the box shows nothing or the wrong value, check that the reference points to the intended cell and sheet, and that the cell itself displays the correct result. The box can only show what the cell shows.
- Menus may differ in other builds. The procedure is documented for Excel for Microsoft 365, Excel 2024, and Excel 2021. If you use an older version or a different platform, confirm the menu names and formula bar behavior in your own installation.
In short, the formula bar link method works across the documented versions, and a helper cell gives you full control over how the result looks inside the box.
