There is no single switch that turns off every generative-AI feature across Microsoft 365, Google Workspace, and other office suites. The right setting depends on whether you use a personal or managed account, whether you want to disable a standalone assistant or AI embedded in an app, and whether you are changing access or merely hiding a button.
First identify the account and AI feature you want to disable
Before changing settings, make a list of the places where AI appears: for example, a standalone chat app, an assistant inside Word or Gmail, or a button on an app ribbon. Then establish whether the account is personal or managed by an employer or school. A control for one surface may leave another available.

- Personal account: You may be able to change a setting in each supported app yourself.
- Work or school account: Some controls are managed by an administrator, and available options depend on the tenant’s licenses and configuration.
- Button visibility: Hiding or removing an icon does not necessarily revoke access to the feature.
Menu labels and available controls can change. The steps below reflect the vendor documentation checked on October 9, 2026; confirm the current instructions and settings in your own account or admin console.

How do I turn off Copilot in Microsoft 365?
Personal Microsoft account
- Open Word, PowerPoint, or Excel while signed in with your personal Microsoft account.
- Find and clear the Enable Copilot checkbox in that app.
- Repeat for each of the three apps where you want Copilot disabled.
- If you use more than one device, repeat the change on each device.
Microsoft Support’s “Turn off Copilot in Microsoft 365 apps” instructions describe this setting for Microsoft accounts and say it does not apply to work or school accounts. It is per app and per device, not a global switch for every Microsoft app or platform. Microsoft also cautions that removing the ribbon icon does not turn Copilot off: it may remain available through other methods, such as a shortcut menu.

Microsoft account privacy settings may also affect other connected experiences. If you rely on those features, review what else the privacy change controls before using it as a way to disable Copilot.
Work or school Microsoft account
An administrator should use the Copilot controls available in the tenant’s Microsoft 365 admin center and check which services are licensed there. Microsoft Learn’s “Manage Microsoft Copilot Chat” documents controls for managing access to Copilot Chat, including removing user access. Available controls and their scope can vary, so identify the specific Copilot experience, license, users or groups, and tenant setting you intend to change.

Microsoft identifies the AI Administrator role for least-privilege governance of Copilot and related AI controls. Use an appropriately authorized administrator rather than assuming a user-level icon setting changes organization-wide access. The documented controls do not establish one switch that disables every Copilot feature in every Microsoft app.

How do I disable Gemini in Google Workspace?
Turn off the standalone Gemini app
- In the Google Admin console, go to Generative AI > Gemini app.
- Change the service status for the organization, or apply the setting to the relevant organizational unit or configuration group.
- Allow time for the change to take effect; Google says it can take up to 24 hours.
This setting controls access to gemini.google.com and the Gemini mobile apps. Google’s Admin Help explicitly says it does not affect other AI features in Workspace services, so it will not by itself remove Gemini from Gmail or Docs.

Control Gemini features inside Workspace apps
Google documents separate controls for Gemini features in Gmail; Drive, Docs, Sheets, Slides, and Vids; Meet; and Chat. These controls are listed for Google Workspace Enterprise Standard and Enterprise Plus. An administrator should review the settings for each service where the organization wants to restrict embedded features and apply them to the intended users or groups.
Disabling Gemini in one service does not necessarily stop a user from asking Gemini in another service about content from the first service. Review cross-service access and the underlying data permissions as well as the setting next to the app where a button appears.

Understand the separate smart-features settings
Google Workspace smart features are a different setting family, not a universal Gemini off switch. Google says the relevant smart-feature defaults are off in the European Economic Area, Japan, Switzerland, and the United Kingdom, and on in other regions; administrators can set defaults, and users may be able to override them. These controls cover more than generative AI, so consider their broader effect before changing them.

LibreOffice is a free, open-source office suite, but that alone does not establish that every version or configuration is free of AI capabilities. If you are considering it, check the current version, installed extensions, and integrations you use rather than assuming the suite is AI-free.
For Apple iWork, ONLYOFFICE, and other suites, the instructions here do not establish current, universal controls. Check the vendor’s documentation for the exact version, account type, and feature you use. Removing a desktop assistant, blocking a button, or uninstalling a standalone app should not be treated as proof that in-suite AI features are disabled.
How to check whether the change worked
- Test the exact surface: Check the standalone assistant and each in-app feature separately; disabling one does not imply the others are off.
- Test with an affected account: For an organization setting, sign in as a user in the targeted group or organizational unit and check what is actually available.
- Check access, not just appearance: A missing button is not sufficient evidence that a feature can no longer be opened by another route.
- Allow for propagation: For Google’s Gemini app service setting, allow up to 24 hours before judging the result.
- Recheck scope and licensing: If the feature remains available, verify the account, license, app, group or organizational unit, and setting you changed.
Because suite controls are separate and can change, consult the current vendor help for the specific feature and verify the outcome in the account or tenant you need to manage.
