Select the calendar item and choose the action that matches who owns it: delete an appointment, cancel a meeting you organized, or remove an invitation from your own calendar. For a repeating item, check whether Outlook is changing one occurrence or the series before you confirm.
Choose the right action before deleting
Outlook distinguishes between an appointment, which is on your calendar without invitees, and a meeting, which has attendees. If you organized a meeting, cancel it so Outlook can notify attendees. Deleting an appointment removes it from your calendar. If someone else invited you, delete or decline the invitation from your own calendar; that does not cancel the organizer’s meeting for everyone. Delete an item in Outlook on the web
- Open Outlook and go to Calendar.
- Select the calendar item.
- Choose Delete for an appointment. If you organized a meeting, choose Cancel so attendees receive the cancellation.
- If it is part of a recurring series, select the scope you want to change before confirming.
Microsoft documents separate instructions for the newer Outlook on the web experience and classic Outlook on the web. Use the section on its support page that matches the interface you see; labels and available choices can differ. [Microsoft Support]

Delete a meeting or appointment in desktop Outlook
In desktop Outlook, open the item from your calendar and use the delete or cancel action appropriate to your role: cancel a meeting you organized, and delete an appointment or an invitation from someone else. For an invitation, remove it from your own calendar rather than attempting to cancel the organizer’s meeting. The Microsoft instructions cover Microsoft 365 and the perpetual Outlook versions listed on that page. [Microsoft Support]

Delete one occurrence or an entire recurring series
When Outlook asks what to delete, choose based on the change you want. Current web instructions include these scopes:
- This occurrence: Remove only the selected date.
- This and following occurrences: Remove the selected date and later events while leaving earlier occurrences.
- The entire series: Remove all occurrences in the recurring item.
Classic web instructions and desktop Outlook may show a shorter choice such as deleting an occurrence or the series. Read the confirmation carefully. If you organized the recurring meeting, cancel the appropriate scope rather than simply deleting it, so the cancellation can be sent to attendees. [Outlook on the web] [Desktop Outlook]

Remove a calendar, not just an event
Deleting a calendar item is different from removing or deleting a calendar. Microsoft says the primary Outlook calendar cannot be deleted. In classic Outlook, you can clear its entries, but that is a separate, potentially permanent operation described below. [Delete a calendar in Outlook]
If a shared calendar is merely cluttering your view, remove it rather than deleting its source. In classic Outlook, removing a shared, team, group, or SharePoint calendar removes its copy from the folder pane; the source calendar remains intact. [Microsoft Support]
Remove a shared calendar from Outlook mobile
- Open Calendar.
- Tap the menu, then tap the gear icon beside the shared calendar.
- Choose Remove Shared Calendar.
This documented mobile option removes the shared calendar from the app; it is not a procedure for deleting an individual event. [Microsoft Support]

Warning: Microsoft says this bulk procedure permanently deletes calendar items and includes automatically added holidays. It is for classic Outlook; do not assume these steps apply to other Outlook versions. Confirm you truly want to clear the calendar before proceeding. [Microsoft Support] [Microsoft Support]
- Open Calendar.
- Select View > Change View > List.
- Select an item in the list, then press Ctrl+A to select all listed items.
- Press Delete and confirm if prompted.
Try recovery if you deleted an item by mistake
First check Deleted Items. Depending on your Outlook version and the organization’s retention settings, the item may also be recoverable through Recoverable Items. Recovery is not guaranteed: retention policies vary, and an administrator may need to confirm whether an item can still be restored. Microsoft’s example retention periods describe possible administrator policies, not standard recovery windows for every Outlook account. [Microsoft Support]
