To create linked records in Airtable, add a Link to another record field, choose the table it should connect to, and then select records in the new field’s cells. Creating the field sets up the relationship; it does not link existing rows automatically. Airtable also creates a reciprocal field in the other table, so the connection can be viewed from either side.
Plan the relationship before adding a field
Use separate tables for different kinds of things—such as clients, projects, and action items—and link records that belong together. For example, a client record can be connected to its projects, while each project can be connected back to its client. If the records are all the same type, a self-link can represent relationships such as parent tasks and subtasks, managers and direct reports, or related projects.

Decide which table should contain the link field and whether each record should be able to connect to one record or several. That choice shapes how people will enter and view the relationship.

- Open the Airtable base and table where you want the relationship field.
- Add a field and search for or select Link to another record.
- Choose the table to connect. Select the current table to create a self-link.
- Name the field, choose whether it can link to multiple records, and configure any available picker options that suit your workflow.
- Create the field.
Airtable adds a corresponding reciprocal field to the connected table. The field establishes the relationship structure, but the records remain unconnected until you select them.

Connect records manually
- In the new linked-record field, click the plus icon in the cell for the record you want to connect.
- Choose the target record from the picker. If the field allows multiple links, repeat this for each record to connect.
- Check the reciprocal field in the other table to confirm the association is visible there too.
Manual selection is a practical choice when there are only a few links to make and a person can identify the right record. For repeated links, consider automation—but only when there is a reliable rule for matching records.
Show information from a linked record with a lookup
A linked-record field stores the relationship. To display a value from the connected record—such as a client’s email address in a projects table—add a lookup field and choose the linked-record field and the target field whose value you want to show.
A lookup needs both the lookup configuration and actual record connections. If the linked-record cell is empty, there is no connected record from which the lookup can return a value. Airtable’s lookup-field guide explains the field’s setup.

Link records with an automation
Automation is useful when links should be made repeatedly according to a defined match—for example, connecting an incoming record to a client with the same unique email address. A robust pattern is to find the target record first, then write its Airtable record ID into the linked-record field.
- Set a trigger for the event that should create or update the relationship.
- Add a Find records step that searches the target table using a unique matching value, such as an email address.
- Add a Create record or Update record step and map the found record’s ID to the linked-record field.
- Test the automation with representative records, including a case where no matching record is found, before relying on it.
Matching by a primary-field value requires an exact match. Airtable’s automation guidance also notes that a formula primary field cannot be used as the automation’s linking value; use the found record’s ID instead. Finding a record by a unique value before updating the link helps avoid connecting the wrong record. See Airtable’s update-record action documentation and its Find records action documentation.
| Approach | Best fit | What to check |
|---|---|---|
| Manual selection | A small number of deliberate links | A person can identify the correct record in the picker. |
| Automation | Links that should be created repeatedly by a consistent rule | The match is reliable, ideally based on a unique value, and the workflow handles missing or ambiguous matches. |
Picker restrictions can narrow the options shown in supported editing flows, but they are not universal validation. Depending on the write path, automation, pasted values, scripts, or API writes may still create links outside the picker’s selection. If a rule must always hold, enforce it in the automation or other process that writes the link. Airtable documents these picker behaviors in its guides to conditional linked records and limiting record selection to a view.

Convert an existing field into linked records carefully
Converting a populated field can create a linked table from its existing values and preserve relationships to the original table. Values that do not match a target record can result in new records being created, so review the source data and the new table after conversion.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteAirtable treats commas as separators during conversion. If a value contains a comma that should remain part of one record’s value, quote that value before converting. For the conversion workflow and details, see Airtable’s guide to converting an existing field to a linked-record field.

Check dependencies before deleting a link field
Deleting a linked-record field removes its connections. The reciprocal field becomes plain text, and features that depend on the relationship—such as lookups, rollups, counts, automations, filters, sorts, or interface elements—may stop working. Before deleting the field, identify those dependencies and update them if necessary. Airtable describes the consequences in its linked-record field guide.
How many records can one cell link?
Airtable Support’s linking guide, current in October 2026, reports a hard limit of 100,000 linked records in a cell. It also lists lower workspace-plan limits: 50,000 for Team and 1,000 for Free. These product limits can change, so check Airtable’s current linking guide before planning around a specific limit.
