How to Create, Apply, and Update Paragraph Styles in Adobe InDesign

Create a paragraph style from formatted sample text, apply it across a document, update its definition, and resolve local overrides without rebuilding formatting by hand.

In Adobe InDesign, create a paragraph style from a correctly formatted sample paragraph, then apply that style wherever the same formatting is needed. When you change the style definition, paragraphs using it update together. If one paragraph looks different, check for a local override before changing the style.

Create a paragraph style from formatted text

  1. Format a representative paragraph as you want it to appear, including the paragraph and character attributes you want to reuse.

  2. Place the text cursor in that paragraph or select text within it. The sample formatting will provide the basis for the new style.

  3. Open Window > Styles > Paragraph Styles.

  4. In the Paragraph Styles panel, choose Create new style at the bottom. If the style options appear, give the style a descriptive name, such as “Body” or “Section heading.”

A paragraph style is a reusable set of paragraph and character formatting attributes. Adobe says character and paragraph styles help maintain consistency throughout a document. See Adobe’s guide to creating and editing text styles, updated June 2, 2026. Menu labels can differ by InDesign release or interface language.

Apply the style to other paragraphs

  1. Place the insertion point in the paragraph you want to format, or select the paragraphs.

  2. Choose the style’s name in the Paragraph Styles panel.

Applying the style sets the paragraph to the style’s definition. If the formatting still differs, look for a local override rather than assuming the style failed.

Modify a style and update its paragraphs

  1. In the Paragraph Styles panel, select the style you want to change.

  2. Open the panel menu and choose Style Options.

  3. In Paragraph Style Options, adjust the relevant settings and select OK.

Text using the style follows the revised definition. Change the style when the intended standard has changed; do not manually reformat each paragraph that uses it.

Understand and resolve overrides

Manual formatting applied on top of a style is a local override. InDesign indicates an overridden style with a plus sign beside its name. Adobe’s instructions for clearing text style overrides, updated June 2, 2026, describe the available approaches.

Decide whether the formatting is an unwanted exception or a deliberate new standard before clearing or redefining; those actions produce different results.

Choose the right kind of text style

Style type Scope and trigger Best fit
Paragraph style Formats a paragraph; applied manually. Reusable paragraph-level formatting such as body copy or headings.
Character style Formats selected characters or a range; applied manually or used by other style rules. A recurring emphasis or treatment for only part of a paragraph.
Nested style Applies character styles according to delimiters, words, sentences, characters, or a specified number of lines. Repeated structured patterns such as run-in headings or lead-ins.
GREP style Applies a character style to text matching a pattern. Predictable text patterns, such as phone numbers, when automatic formatting is useful.

Adobe recommends configuring nested styles through paragraph styles so the rules run consistently wherever that paragraph style is used. Learn more in Adobe’s nested styles guide and GREP styles guide, both updated June 2, 2026. GREP styles depend on pattern matching, so a poorly designed expression can match unintended text.

Reuse styles in another document

To bring styles into a document, open the Paragraph Styles panel menu and choose Load Paragraph Styles or Load All Text Styles. If an imported style has the same name as one already in the document, Adobe documents Use Incoming Definition and Auto-Rename as conflict choices. For coordinated publications with several documents, Adobe points to the Books feature for style synchronization. The import and editing workflow is covered in Adobe’s text styles documentation.
