An Outlook address book is what you use to quickly find the right person (or group) when you’re composing an email. It’s built from your Outlook contacts, organized into folders and (optionally) contact groups.

This guide shows you exactly how to create and organize an address book in Outlook—whether you’re using Outlook for Windows, macOS, or Outlook on the web. You’ll also learn how to import contacts via CSV/VCF and fix the most common “why don’t I see anyone?” problems.

What an Outlook address book really is

In Outlook, the “address book” experience comes from your contact data stored in Outlook. Depending on your setup, you might also see directory results from your organization (Global Address List) alongside your personal contacts.

Practically, most people create an address book by:

  • Creating contact folders (for teams, vendors, family, etc.)
  • Adding contacts to those folders
  • Creating contact groups (distribution lists) when you email the same set of people
  • Ensuring the address book source points to your contacts

Prerequisites and where contacts live

Before you start, confirm where your contacts are stored. That determines whether your changes sync to other devices and whether import/export works cleanly.

1) Know your account type

  • Microsoft 365 / Outlook.com / Exchange accounts: Contacts generally sync across Outlook for Windows, macOS, and the web.
  • Local PST (older setups): Contacts may stay on one computer unless you migrate or export/import.

2) Have the data ready

Plan for at least one of these formats:

  • CSV (often from Gmail, a CRM export, or a spreadsheet)
  • VCF (vCard files)
  • Excel exported to CSV

Create contacts and folders (the foundation)

Folders are what make your “address book” feel organized instead of chaotic. You’ll see these folders in your Contacts view (and, depending on platform, in address book search results).

Recommended folder structure

  • People (a catch-all folder)
  • Vendors (suppliers, service providers)
  • Clients (by project or account)
  • Partners (agencies, consultants)
  • Team (internal groups if you don’t rely on the company directory)
  • Family (if you want separate contact privacy)

Use consistent fields

When you add a contact, fill in at least First name, Last name, and Email. For organizations, add Company and Job title. These fields improve search and reduce mis-sends.

Add people so they show up in the address book

There are two ways contacts appear when you type an email address:

  • Personal contacts: Added to your Outlook contacts folders.
  • Organization directory: Typically the Global Address List (GAL). You can search it, but it’s not where you store personal entries.

If your goal is “I want these people to be selectable like an address book,” you should add them to Contacts (and then search within Contacts or use the address book dropdown in the compose window).

Create a Contact Group (distribution list) for faster emailing

Contact Groups are the fastest way to email the same set of people. Instead of retyping addresses, you create a named group and then add members once.

When a group is the right tool

  • You send recurring emails to the same set of recipients
  • You need a “team” mailing list without relying on company-wide distribution lists
  • You want a controlled list that lives in your Contacts

What to expect

Contact Groups differ from Microsoft 365 distribution groups managed by your tenant administrator. In many organizations, you’ll still use directory groups for official comms, but your personal Contact Groups work for private or ad-hoc lists.

Organize contacts for quick searching

Once your address book exists, the goal shifts to retrieval speed and accuracy. Small habits matter.

Practical organization rules

  • One “main” email per contact: If someone has multiple addresses, store them in the same contact entry.
  • Use the same spelling: “Acme Inc.” vs “ACME” causes duplicates.
  • Group by intent: Clients vs vendors is clearer than alphabetical folders.
  • Sort names consistently: Avoid “Last, First” unless your team prefers it.

Add categories (optional but powerful)

If your Outlook view supports Categories, assign them consistently (e.g., Priority, Newsletter, Do Not Email). Categories make filters faster than searching.

Methods by platform

Outlook looks different across platforms, but the workflow is the same: create folders → add contacts → use those contacts in the address picker. Below are platform-specific steps with exact UI wording.

Outlook for Windows (Outlook 2016, 2019, 2021, Microsoft 365)

Use the People section to create folders and add contacts, then build groups as needed.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Open Outlook.
  2. Go to People (bottom-left icons) or Contacts if your layout shows it.
  3. To create a folder: right-click your main mailbox or an existing contacts folder → select New Folder.
  4. Name the folder (e.g., Vendors) → press Enter.
  5. To add a contact: click New Contact.
  6. Fill in First name, Last name, and Email address → click Save.
  7. To place the contact in a specific folder: open the contact → find Save to / folder chooser (depends on Outlook layout) → select your folder → save.
  8. To create a group: go to Home → select New Contact Group.
  9. Give it a name → click Add Members → choose From Outlook Contacts (or New Email Contact) → OK → Save.

Outlook for macOS

Use the Contacts tab for folder management and contact creation.

  1. Open Outlook on macOS.
  2. Click People (contacts view).
  3. To create a folder: right-click Contacts or a parent folder → choose New Folder.
  4. Enter the folder name (e.g., Clients) → press Return.
  5. To add a contact: click + or choose New Contact.
  6. Enter name and email → click Save.
  7. To choose the destination folder (if prompted): select the folder under Save to / folder field → save.
  8. To create a contact group: go to File → New → Contact Group (wording can vary by macOS Outlook build).
  9. Enter the group name → add members → save.

Outlook on the web (OWA)

This is the most consistent way to maintain a synced address book across devices.

  1. Go to outlook.office.com and sign in.
  2. Select People from the left sidebar.
  3. To create a folder: right-click My Contacts (or your top contacts node) → select Create new folder.
  4. Name it (e.g., Partners) → press Enter.
  5. To add a contact: click New contact.
  6. Enter First name, Last name, and Email → click Save.
  7. If you see a folder option, choose your folder before saving.
  8. To create a group: choose New contact group (or New group, depending on UI) → name it.
  9. Use Add members to pick from your contacts or add new entries.
  10. Save the group.

Outlook mobile (iOS and Android)

Mobile is best for adding contacts on the go and letting sync do the rest.

  1. Open the Outlook app (iOS or Android).
  2. Open the Search or People area (icon label varies by app version).
  3. Tap + to add a new contact.
  4. Enter name and email → tap Save.
  5. To create folders and groups: if your app doesn’t show them, edit folders/groups in Outlook on the web or Outlook for Windows, then sync.

Import and export contacts (Excel/CSV/VCF)

Import is how you build an address book quickly when you already have a spreadsheet or you’re moving from another email provider.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Export your current contacts (backup)

  • Windows Outlook: Use File → Open & Export → Import/Export → choose export option.
  • Outlook on the web: People view often includes Export contacts.

Export first. It gives you a rollback path if you import duplicates or wrong columns.

Import from CSV or Excel

The key to a clean import is column mapping. CSV works best when you control headers like FirstName, LastName, and Email.

  1. Convert your spreadsheet to CSV (UTF-8 recommended).
  2. Make sure each row is one person and the email column is filled.
  3. In Outlook, go to File → Open & Export → Import/Export.
  4. Choose Import from another program or file.
  5. Select Comma Separated Values if that’s your format.
  6. Map the CSV fields to Outlook contact fields.
  7. Finish the wizard and review the imported contact count.

Import from vCard (VCF)

If you have vCards, Outlook can import them as individual contacts. This is common when you export from Apple Contacts or another system.

  1. Collect your .vcf files.
  2. Use Import/Export on Outlook for Windows, or use web/mobile tools where available.
  3. Verify emails are present after import.

Make your address book usable across devices

If your goal is “add a contact once, use it everywhere,” focus on sync-friendly accounts (Microsoft 365, Exchange, Outlook.com). Then add contacts on one platform and verify on another.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How to verify synchronization

  • Add a test contact on Outlook on the web.
  • Wait 1–5 minutes and check it in Outlook for Windows and on macOS.
  • If it doesn’t appear, check whether your Windows app is tied to the right account and folder.

Troubleshooting: contacts don’t appear in the address book

This is the most common pain point: you added contacts, but Outlook doesn’t show them in the compose address picker. Use this checklist.

1) Confirm you added them to the correct Contacts folder

Contacts added to a different folder (or a different mailbox) won’t show when you search your main address book. Open the contact and check where it was saved.

2) Check Offline Address Book vs personal contacts (Exchange environments)

If you use an Exchange account, Outlook may show an Offline Address Book (OAB) for directory lookups. Your personal contacts should be separate and searchable under Contacts, not the OAB directory listing.

3) Update the download/cache

On Windows, Outlook sometimes needs a refresh to reflect changes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Close and reopen Outlook.
  • Verify you’re online (if connected to VPN, toggle as needed).
  • In some builds, re-sync happens after a short interval, but forcing a send/receive can help.

4) Clear the suggestion cache (when Outlook offers wrong results)

If Outlook suggests old or incorrect recipients, your “Auto-complete” cache may be out of sync with your updated contacts. Clear the auto-complete entries and retype the name to re-pick from your contacts.

5) Check duplicate email addresses

Duplicates can break your expectation of “this person shows up.” Search for the contact by email in the People view and confirm there’s only one matching entry.

6) Contact group visibility issues

If a Contact Group doesn’t appear when you choose recipients, confirm:

  • The group is saved to your Contacts (not a different mailbox)
  • Members were added successfully
  • You’re searching the correct address book source when composing

Common mistakes to avoid

  • Only adding contacts through “Recent” emails: Messages often create suggestions, not a maintained contact entry. Add a proper contact so it’s stable.
  • Inconsistent naming: “John Smith” vs “J Smith” creates duplicates and search misses.
  • Importing without mapping fields: If you import columns into the wrong Outlook fields, you’ll end up with missing emails or blank names.
  • Using folders but never using them: Create a folder structure you actually maintain. Otherwise you’ll end up with one giant folder anyway.
  • Relying on mobile for advanced organization: If folders/groups don’t behave on mobile, manage them in Outlook for Windows or Outlook on the web.

Frequently Asked Questions

How do I choose which address book Outlook uses when composing an email?

When composing, look for the recipient picker (often “To…”). Use the address picker to select the correct source (your Contacts vs directory). If your contact isn’t showing, it’s usually stored in a different folder or mailbox.

Can I create an address book folder that works like a real address book?

Outlook folders in Contacts behave like organization containers. They aren’t separate “address books” in every UI, but they’re used for search and selection within your Contacts data.

Why do my contacts show in People, but not in the email address suggestions?

Suggestions and selection can come from different sources (autocomplete cache, directory vs contacts, or the folder you saved to). Clear autocomplete if needed and confirm the contact email matches exactly what you typed.

What’s the difference between a Contact Group and a Microsoft 365 distribution group?

Contact Groups are stored in your Contacts and managed by you. Microsoft 365 distribution groups are tenant-managed objects that follow organization permissions and sometimes require admin setup.

Is there a best file format for importing contacts?

CSV is best for bulk imports from spreadsheets. VCF is best for contact-by-contact imports, especially when you already have vCard exports. For backups, export first so you can recover quickly.

Bottom Line

To create an Outlook address book that actually helps, start with a folder structure, add contacts into the right place, and use Contact Groups for recurring email lists. Once your data is in Outlook’s Contacts, you can search and select recipients reliably across Outlook for Windows, iPhone/iPad, and the web.

If contacts don’t appear, the fix is usually one of three things: wrong folder/mailbox, address picker source mismatch, or cached autocomplete/address lookup not refreshed. Verify those steps and your address book should behave predictably.
