A useful screenshot appendix makes interface evidence traceable: each image shows a relevant page or interaction state, records the conditions needed to interpret it, and points to the finding it supports. Build the appendix around research findings—not around a target image count—and do not let screenshots stand in for what participants did or what the observation means.
Decide which screenshots belong
Start with a task, observation, or finding in the report. Include a screenshot when the visible state helps readers understand a control, page layout, error, interaction step, or responsive difference. Omit decorative, redundant, or unrelated captures. Google for Developers advises using images when they explain something usefully and being selective about which interfaces to capture (Google’s image guidance).
A screenshot documents what was visible in a particular state; it does not by itself establish that a design caused a problem or prove how a participant experienced it. Explain the participant’s action, what you observed, and how that evidence supports the finding in the report text.
Capture a state readers can interpret
Record enough context to understand or reproduce the image. Depending on the finding, that may include the page or URL, task or interaction that produced the state, capture date, browser, operating system, viewport or device, locale, and account or test-data state. These details are a practical reporting method, not a mandated schema. Include the fields that could affect interpretation; omit details that do not matter.

Be careful with URLs: they can expose private information. Include one only when it is appropriate for the report’s audience and distribution. NIST’s publication on website interaction logging discusses the challenges of capturing and analyzing usability-test behavior and the value of deliberate, common representations for processing and research (NIST SP 500-248). It concerns interaction logging, not a prescribed screenshot-appendix format.
Prepare consistent, useful figures
Keep capture treatment consistent
Use a consistent operating-system chrome and capture style across the report when those elements are visible. Consistency helps readers focus on meaningful differences rather than incidental presentation changes. Google’s guidance specifically recommends consistency in operating system and screenshot appearance within a document.
Crop without losing context
Crop toward the relevant control or state, but leave enough surrounding interface for a reader to tell where it appears. A close crop that removes the page context may make the evidence harder to interpret. Google recommends cropping screenshots to relevant information.

Annotate only when it helps
Numbered callouts can direct attention to several related details, but use them only when they make the image easier to follow. Explain each marker in the caption or nearby report text, and connect the figure number to the finding, task, or report section. There is no universal callout standard established by the cited guidance.

Protect private and confidential information
Before sharing, inspect each capture for names, email addresses, postal addresses, account IDs, customer records, access tokens, private URLs, browser notifications, and confidential content. Remove or cover information that the report does not need. Google for Developers says, “Don’t include personally identifiable information (PII) in screenshots.” If a source image contains PII that must be masked, Google recommends a fully opaque solid-color overlay; blur or mosaic may be reversible. Flatten exports that preserve separate image layers so the underlying content cannot be recovered from the distributed file.
Record in the figure note when content has been masked, cropped, or otherwise changed for privacy or legibility. That lets readers distinguish the original interface state from the version prepared for the report.

Caption and make each figure accessible
Introduce each image with a complete sentence in the report. Give meaningful screenshots concise, descriptive alt text. Use the caption to identify the state shown and explain its relevance; for a complex image, put a longer explanation in the surrounding text rather than trying to pack every detail into alt text.
Keep the description factual. State what is visible and how it relates to the finding; do not claim that the screenshot proves more than it shows. Google distinguishes alt text, captions, and longer descriptions, and recommends complete introductory sentences.
Use a per-figure record
This practical record keeps the appendix traceable without implying that every field is obligatory. Record only the context needed to interpret or reproduce the capture.

- Figure number and title: a stable number and concise description.
- Page, task, or interaction state: what the image depicts and how that state was reached.
- Capture context: date and relevant viewport or device, browser, operating system, locale, and account or test-data state.
- Report connection: the finding, task, or section the figure supports.
- Caption and alt text: a factual account of the visible evidence and a concise accessible description.
- Changes made: any masking, cropping, or other alteration that affects interpretation.
Make comparisons fair
When comparing responsive layouts, versions, or interaction states, state the conditions that make the comparison fair. Depending on the claim, relevant axes may include viewport or device, browser and operating system, page version, user or account state, locale, and interaction state. Keep capture style consistent as well. These comparison axes are method advice, not a formal standard established by the cited sources.

- Check that every screenshot cited in the findings is present and has the correct figure number.
- Confirm that each image supports the wording around it and preserves enough context to understand the point.
- Review privacy and confirm that any masking or edits are noted.
- Add a brief method note if capture conditions or redactions could affect interpretation.
- Verify that each meaningful figure has appropriate alt text and that complex explanations also appear in surrounding text.
Published papers sometimes include screenshots of study materials in an appendix. For example, the 2020 USENIX paper Blind and Human: Exploring More Usable Audio CAPTCHA Designs includes images of its experimental test-bed and questionnaires, alongside an explanation of the web platform participants used (USENIX paper). It is an example of documenting study materials, not evidence that every UX report needs an appendix or should copy that study’s design.

Does every UX research report need a screenshot appendix?
No. An appendix is useful when it helps readers inspect interface states behind findings; it is not a requirement established by the cited sources.
