To keep webinar viewers engaged, design the session around what they need to learn or do, break the presentation into short sections, and give them clear ways to participate throughout—not just at the end. Assign someone to manage questions and timing, rehearse the audio and interactive features, make participation accessible, and finish with one useful next step.
1. Decide what attendees should get from the webinar
Before choosing slides or a platform, define the intended audience and outcome. Write down who the event is for and what they should understand or be able to do afterward. That outcome determines whether a presentation, workshop, or discussion is the better fit.

Choose a format that matches the task
- Presentation with Q&A or polls: A practical choice when the goal is to explain information and hands-on practice is not essential.
- Virtual workshop: Better suited to direct participation and practice in a smaller group. It may require facilitators for group activities.
- Discussion: Useful when attendees need to exchange perspectives rather than mainly receive a presentation.
Consider the audience size, the interaction the outcome requires, and the production help available. Cochrane’s July 2020 guidance describes 60 minutes as a typical webinar duration, not a guaranteed formula for engagement. Use the time needed to deliver the outcome, with breaks in presentation for participation. Cochrane’s webinar and virtual workshop guidance
2. Plan the session rhythm before making slides
Give the event a clear beginning, a sequence of focused sections, and a deliberate close. At the start, explain why the topic matters to attendees and how they can take part. A relevant opening question or a simple poll gives viewers an immediate, low-friction way to respond.

Break up long presentation stretches
Organize the main material into sections and place a prompt, poll, or Q&A opportunity at natural transitions. Cochrane advises avoiding presentation stretches longer than 15–20 minutes; if a longer stretch is necessary, insert a poll or Q&A. These are planning guidelines, not a promise that any particular cadence will retain viewers.
Choose interaction for a reason
Polls, chat, Q&A, and quizzes can all support participation. Pick the feature that serves the section: a poll can surface opinions, chat can collect quick reactions, and Q&A can address questions about the material. Adobe Marketo Engage documents these formats and recommends assigning co-hosts to help with Q&A for large audiences. A feature alone is not an engagement strategy; tell attendees what to do and make time to respond to their contributions. Adobe’s interactive webinar best practices

Vendor benchmark figures can help with context, but they are not targets or proof of cause and effect. BigMarker’s 2025–2026 B2B webinar report records an average of 87 poll responses per webinar across its benchmark group and 375 among high performers; it reports 13 submitted Q&A questions overall and 43 among high performers. Goldcast’s 2026 report describes feature usage across webinars in its report: chat 62.3%, Q&A 56.1%, resource clicks 35.1%, polls 19%, and CTA clicks 17.8%. These vendor-published figures do not establish that using a feature caused stronger attention or retention. BigMarker’s 2025–2026 benchmark report · Goldcast’s 2026 benchmark report

For a large audience, plan how questions will be triaged and answered; Adobe recommends co-hosts to help with Q&A. Agree beforehand how speakers will hand off and who will respond to technical questions.
4. Rehearse the viewer experience
Test the actual platform and the actions attendees will see, not only the slide deck. A short rehearsal can expose audio, screen-sharing, or interaction problems before the event begins.

Not everyone can or wants to speak live. Explain how to use chat and Q&A, and provide a way to contribute that does not depend on turning on a microphone. Enable captions when the chosen platform supports them, and share materials in a readable format. Microsoft’s Virtual Event Playbook emphasizes accessibility, inclusion, audience experience, and clear messaging; Vimeo also recommends enabling live captions. Verify the functions available in your own event setup rather than assuming a platform supports a particular accommodation.

6. Close with a useful next step and follow up
End by naming one concrete next step, resource, or action attendees can take. If you plan to share materials or a recording, make sure they are relevant to the event and appropriate to distribute. Ask attendees what worked and what could improve; Cochrane recommends sending an evaluation form within 24 hours and describes sharing recordings and supporting materials where appropriate. Use feedback and available engagement information to improve the next session, rather than treating one webinar’s numbers as a universal benchmark.
