You can use PowerPoint Copilot to create a presentation draft from an Excel workbook: start a new presentation, open Copilot, and choose its create-presentation flow with the workbook as a file reference. Access depends on your Microsoft 365 subscription and organization settings, and the result needs to be checked against the workbook before you share it.
What you need before you start
- PowerPoint Copilot access: Copilot may not appear if your Microsoft 365 subscription does not include it or your organization restricts access. See Microsoft’s Copilot in PowerPoint FAQ for access guidance.
- Permission to use the workbook: You must have permission to access and use the file you reference.
- A workbook that is easy to interpret: Make headings, units, reporting periods, and number formats clear before asking Copilot to build slides.
Microsoft documents the ability to reference an Excel file when creating a PowerPoint presentation, but the exact interface and availability can vary with app version, platform, subscription, and organization configuration. Its PowerPoint release notes describe the file-reference capability.

Prepare the Excel workbook
Clean data gives you a better starting point and makes it easier to verify the deck. Before opening PowerPoint, review the workbook as if a colleague unfamiliar with it had to understand it quickly.

- Apply consistent formats to dates, currencies, percentages, and other numbers.
- Label units and reporting periods, and remove unrelated rows or columns from the material you intend to use.
- Where it helps, structure the data as a table and use charts or PivotTables to inspect trends and comparisons.
Microsoft describes Copilot in Excel working with tables, charts, PivotTables, and formulas, but that does not guarantee it will interpret every workbook or calculation correctly. Decide what the presentation should accomplish
Before generating slides, decide who will read them and what they need to understand or decide. Note the audience, purpose, reporting period, and the main conclusion the deck should support. Then choose a few findings that matter most. A monthly sales review might focus on revenue over time, regional differences, and risks; an operating review might focus on target versus actual, variance drivers, and next actions.
This editorial planning is your job, not a result Copilot can guarantee. A clear purpose helps you judge whether the draft gives the right information prominence and whether its explanations are supported by the workbook.

Create the draft in PowerPoint
- Open PowerPoint and start a new presentation.
- Open Copilot and choose the option to create a presentation.
- When prompted, reference the Excel workbook you prepared.
- Review the generated slides and edit the draft before using or sharing it.
Microsoft documents presentation creation from a prompt or a referenced file, and says the feature produces a draft to review and refine. In the file-reference flow, you cannot add extra context within the same prompt. Follow the current in-product steps; if you need more direction, provide it in a later interaction or through supported editing steps. Create a concise presentation for the quarterly leadership review. Use the workbook’s reporting period and units. Lead with the three most decision-relevant findings, compare regions, explain meaningful changes over time, and end with risks and next steps. Do not invent causes or values. Flag unclear or missing data for review.
Use this as suggested wording, not as a guaranteed recipe. Ask for observed results to be distinguished from recommendations, and do not assume the system will calculate or interpret every statistic correctly. If the file-reference flow offers no place for extra context, create the draft first and give further direction only through supported follow-up or editing options.

Verify and edit every material claim
Copilot’s output is a draft, not an audited analysis. Microsoft says its generated presentation content should be human-reviewed and edited. Compare the slides directly with the source workbook before relying on them.
- Check numbers, calculations, chart titles, axes, units, date ranges, and comparisons.
- Confirm that an explanation does not turn a correlation into a cause.
- Separate what the workbook shows from recommendations or interpretations added to the slides.
- Replace unsupported claims, reorder or remove slides, and refine layouts as needed.
Microsoft’s guidance is explicit: “The output of the Create a presentation feature is AI-generated content and should be human-reviewed and edited accordingly.”

Apply a template and brand assets
If your organization has an approved PowerPoint template or Brand Kit, use it where available. Microsoft documents Copilot selecting layouts from templates and applying brand assets such as images, icons, and brand voice. When this workflow fits—and when it needs more work
Referencing a workbook in PowerPoint is a practical starting point when you already have eligible Copilot access, the workbook is organized, and you want a draft to refine. Plan for more manual work when the data needs substantial interpretation, the narrative must follow a strict structure, or every claim needs careful validation. The amount of checking depends on the workbook and the stakes of the presentation; Microsoft does not establish an accuracy rate or guaranteed time saving for this workflow.
