The key choice is whether you need a forum centered on searchable discussions or a broader community platform that also handles courses, events, memberships, or payments.
Choose the kind of community you want to run
Start by writing down three things: who the forum is for, the recurring need or interest that brings those people together, and what members should be able to do. The main purpose might be answering questions in durable, searchable threads, supporting customers, encouraging peer conversation, or connecting people around paid content. That purpose determines the platform features and discussion layout you need.

No-code software removes the need to build the forum or administer its infrastructure, but it does not decide the community’s purpose, rules, or day-to-day care for you.
Compare hosted platforms against your requirements
Two broad approaches illustrate the choice. Discourse presents itself as a forum-focused service, with topics, searchable public knowledge, roles, moderation, and data export. It offers managed hosting as well as a self-hosting option; managed hosting avoids server administration, while self-hosting adds operational work that may not suit a no-code setup. Circle combines discussions with features such as courses, events, memberships, payments, and access control. These are vendor descriptions, not independent product tests.

| What to compare | Questions to answer | Evidence to check |
|---|---|---|
| Discussion style | Do you need lasting, searchable topic threads, or a mix of community content? | Discourse describes topics and a searchable public knowledge base; Circle lists discussions among its broader features. See Discourse and Circle. |
| Additional features | Will the same service need to host courses, events, memberships, or paid access? | Circle describes courses, events, payments, subscriptions, and access control on its product page. |
| Hosting and maintenance | Do you want the provider to handle hosting, or are you prepared to manage a server? | Discourse describes hosted plans that do not require server management and also offers self-hosting. Check its current plan details. |
| Control and portability | Do data export, open-source software, or choice of hosting matter to you? | Discourse says users can export data and choose managed hosting or self-hosting. Do not assume another platform offers the same terms; check its own documentation. |
| Plan and cost | Which plan includes the features, limits, and support your forum needs? | On 2026-10-07, Discourse listed Free, Pro at $100/month, Business at $500/month, and custom-priced Enterprise. Circle listed Professional at $89/month, Scale at $419/month, and custom-priced Circle Plus. These are the prices shown on the providers’ pages on that date, not a guarantee of current or recurring terms. Recheck Discourse pricing and Circle pricing before choosing. |
Before paying, confirm that the exact plan supports your must-haves, such as private areas, member roles, moderation tools, a custom domain, export, or payments. Features and limits can vary by tier.
Set up the forum in a practical sequence
- Define the purpose. Write a short description naming the intended members, the discussions that belong, and the value they should get by participating. Decide whether the forum is public, private, or a mix.
- Make a requirements list and choose a platform. Separate essential features from nice-to-haves. Compare the current plan tables against the list, especially if you need payments, courses, events, data export, or access controls.
- Create a small set of discussion spaces. Name categories around member tasks or recurring questions. Avoid sections that overlap or are likely to sit empty; add more only when actual conversations show a need.
- Configure identity and access. Set the forum’s name and description, visual identity, access rules, roles, and welcome information. Discourse describes branding, groups, and roles; Circle describes a drag-and-drop customization builder and branded landing-page templates. Verify what is available on your chosen plan.
- Write rules and decide who handles moderation. Explain what belongs in the forum, how members can report a problem, and who will review reports. Assign an owner or moderators to maintain spaces and respond to issues. Discourse advertises built-in moderation tools and an admin dashboard, but the reviewed product information does not establish a universal moderator-to-member ratio.
- Prepare the first conversations. Publish a welcome post, add a few useful prompts or questions, and make it clear how a newcomer can participate. Treat these as launch basics, not a guaranteed formula for engagement.
- Invite a first group and adjust from what happens. Watch which topics recur, where people get stuck, and what moderators are asked to handle. Add categories or features in response to demonstrated needs rather than filling the forum with unused structure.
Plan the work of keeping it active
A forum needs ongoing ownership even when the software is hosted. In CMX’s 2024 report, among 334 respondents who hosted online forums, chat rooms, or message boards, 46% said management was entirely in-house, 46% said it was a mix of in-house and community-led, and 8% said it was community-led. The report noted a shift toward mixed management compared with 2023. These survey responses can help you think about who will do the work; they do not prescribe a staffing model for a new forum.

If you are moving an existing community, confirm what can be imported, what the migration covers, and whether your plan qualifies. Circle says migration services vary by plan and eligibility; Discourse describes migration support on paid tiers. Ask each provider what applies to your specific source and destination before relying on it.
