What you can and cannot correct as the recipient
GSTR-2B is a read-only statement generated from documents reported by suppliers and other filing entities. GSTN’s FAQ answers the recipient’s most common question this way:
“No, you cannot make any changes or add document in your Form GSTR-2B, in case there are any errors or omission in the details uploaded by your supplier taxpayers?”

- Two-Part Carbonless Invoice Book: Each invoice book has 50 sets of invoices, each with a white/light yellow section, with the yellow section retained in the invoice book to maintain detailed records.
- Consecutively Numbered: Enlarged red 6-digit numbers in the upper right corner of each invoice receipt book help you quickly navigate through your orders.
- Wraparound Divider Flap: A thick folded cardboard divider is integrated into the back of each invoice book for use between each two-part sales order to prevent the written content from rubbing off on subsequent copies of the invoice, resulting in wasted invoices.
- 2 Packs/50 Sets (100 Sets Total): Each invoice book provides 50 sequentially numbered carbonless sets of 2 invoice books for long-term use.
- Customizable Space: Each invoice book for small business has space at the top to add a company seal or sticker.
That means the recipient cannot type over an invoice number, change a GSTIN, add a missing document or repair a tax amount inside GSTR-2B. The supplier owns correction of supplier-filed invoice data. You can review records in the Invoice Management System (IMS), where that workflow is available, but an action on an IMS record does not rewrite the supplier’s return.
Send the supplier the invoice number and date, both GSTINs, the filed value and the correct value, and a clear request to amend the relevant outward-supply record. Then monitor the next applicable GSTR-2B and perform your own ITC checks.
GSTN explains the read-only nature of GSTR-2B in its GSTR-2B FAQ. The supplier’s filing process is described in the GSTN GSTR-1 guide.

Why a bad or missing invoice blocks an ITC claim
GSTR-2B is a statement of documents reported by suppliers, but it is not the legal test for entitlement. Section 16 of the CGST Act requires the applicable tax document and other conditions, including communication of invoice details by the supplier, receipt of the goods or services, and use or intended use in the course or furtherance of business. Other restrictions, reversals, place-of-supply rules and payment-related conditions can also affect the claim.
Therefore, two questions must be kept separate:
- Record status: Was the supplier document reported, amended, accepted, rejected or left pending in the portal workflow?
- Eligibility: Does the underlying purchase satisfy section 16 and all applicable restrictions for the period in which you intend to claim ITC?
A missing or rejected record is not automatic proof that the supply did not happen. Conversely, a document that appears in GSTR-2B does not cure an incorrect invoice, non-receipt, a blocked credit or another statutory defect. Read the consolidated CGST Act provisions with later amendments and notifications before filing.
Reconcile the invoice before contacting the supplier
Start with the original tax invoice, your purchase ledger and the relevant GSTR-2B period. Compare each field rather than looking only at the total tax. CBIC’s invoice rules list the core particulars that should be checked.
| Field to compare | What to look for | Why it matters |
|---|---|---|
| Supplier GSTIN | Exact 15-character registration number and the supplier’s legal identity | A document reported under another GSTIN will not normally appear against your registration. |
| Recipient GSTIN | Your GSTIN, including the correct state code | An incorrect recipient GSTIN can route the document to another registration or make the data unusable for your books. |
| Invoice number and date | Exact number, series, date and document type; check duplicate entries | These identify the original document for an amendment and help detect duplicate claims. |
| Taxable value | Line totals, discounts and the taxable base | An incorrect value can change the credit and may require a note if the commercial value really changed. |
| Tax type and amount | IGST versus CGST/SGST, rate and amount | The wrong tax type can affect both the amount and whether the tax is creditable in that state. |
| Place of supply | Especially for an inter-State supply, compare the state code and transaction facts | Place-of-supply errors can change whether IGST or intra-State tax applies. |
| Document presence | Whether the invoice is absent, duplicated, filed in a different period or replaced by an amendment | The remedy depends on the reason, not merely on the fact that GSTR-2B differs from your ledger. |
Save a copy of the invoice, purchase order, goods-receipt or service-acceptance evidence, payment records and your reconciliation. Do not edit the supplier’s invoice in your own system to make the mismatch disappear; retain the original and record any correction trail.

Choose an amendment, credit note or debit note
The correction route depends on what actually happened commercially. GSTN’s IMS FAQ specifically advises amending an incorrect invoice in GSTR-1 instead of issuing a credit note merely to correct a data error.
| Situation | Appropriate supplier action | Typical recipient action |
|---|---|---|
| Invoice particulars were entered incorrectly, but the underlying supply and tax should remain the same | Amend the invoice details in the supplier’s outward-supply return. Use the original invoice reference required by the current GSTR-1 interface. | Ask for the amendment, retain the original evidence, and wait for the corrected record to flow into the applicable GSTR-2B. |
| Taxable value or tax was excessive, goods were returned, or the supply was deficient | Issue a credit note for the genuine reduction or return, and report it as required. | Adjust or reverse credit as applicable and reconcile the note with the original invoice. |
| Taxable value or tax charged was lower than payable | Issue a debit note for the additional amount, with the required linkage to the original supply. | Record the additional tax document only after verifying receipt, business use and other section 16 conditions. |
| Invoice was never reported | File the original document in the supplier’s return, subject to the supplier’s filing and statutory time limits. | Do not claim unsupported credit solely because an invoice exists in your purchase ledger. |
A note is not a general-purpose replacement for an amendment. Ask the supplier to describe the real tax or commercial event and use the document type that matches it. The IMS FAQ and the CGST Act provide the governing framework.
Step-by-step correction workflow
1. Identify the exact GSTR-2B period
Download or view the statement in which the invoice should appear. Record the document number, supplier GSTIN, filing period and whether the item is absent, duplicated or shown with different values. Keep a screenshot or exported file with your reconciliation working papers.
2. Confirm the mismatch against source documents
Compare the portal data with the signed or electronically issued invoice, purchase order, receipt evidence and ledger entry. Check whether the supplier used a different invoice series, reported a later amendment, or filed the document under another GSTIN. Ask your accounts-payable team whether a duplicate or a credit note has already been posted.
3. Classify the error
- Missing document: no matching supplier record is visible.
- Wrong GSTIN: supplier or recipient registration is incorrect.
- Wrong period: the supplier filed after the cut-off or in a later return.
- Wrong particulars: number, date, value, tax type, tax amount or place of supply differs.
- Duplicate: the same supply appears more than once.
- Genuine value change: return, deficiency, excess charge or short charge requires a note.
Document the filed value and the correct value in a two-column comparison. That makes it easier for the supplier to locate the record and reduces a second round of emails.
4. Send a precise correction request
Contact the supplier’s GST or finance team, not only the sales contact. Include the invoice identifier, both GSTINs, the filing period, the exact field that is wrong, the correct value and the reason. Ask the supplier to amend its filed outward-supply record or issue the appropriate note, as the facts require.
5. Ask for filing evidence
Request the supplier’s acknowledgement or return-period confirmation after it files. An email promise is not the same as a filed amendment. Keep the correspondence with the invoice and reconciliation file.

6. Monitor the portal cut-off
GSTN states that supplier and ISD documents are included in GSTR-2B according to the applicable cut-off. Details filed after that cut-off are reflected in the next open GSTR-2B. Under the workflow described in the FAQ, the monthly statement is generated on the 14th of the succeeding month. Portal schedules can be revised, so confirm the current calendar before relying on a particular date.

Subject: GST correction required – invoice [Invoice number], [Invoice date], recipient GSTIN [Your GSTIN]
Hello [Supplier GST team],
Our reconciliation of invoice [Invoice number] dated [Invoice date] shows this difference in the GST data filed for [Return period]:
Filed detail: [Value currently visible, or “not visible”]
Correct detail: [Correct invoice number/date/GSTIN/value/tax type/place of supply]
Supplier GSTIN: [Supplier GSTIN]
Recipient GSTIN: [Your GSTIN]
Please verify the original document and amend the outward-supply record in the applicable return. If the taxable value or tax genuinely changed because of a return, deficiency, excess charge or short charge, please issue and report the appropriate credit or debit note instead of using an amendment. Please confirm the filing period and share the acknowledgement after submission.

Do not ask the supplier to create a credit note solely because a GSTIN, invoice number or other field was typed incorrectly. The requested action should follow the cause of the discrepancy.
Using IMS when the workflow applies
IMS adds an action layer for records made available by the portal, but it does not transfer responsibility for supplier-filed data to the recipient. Follow the current portal instructions and the GSTN IMS FAQ.
Accepted records
GSTN states that accepted records enter the ITC-available portion of the relevant GSTR-2B. Acceptance does not remove your duty to verify receipt, business use, document particulars and statutory restrictions.
Rejected records
Rejected records do not auto-populate into GSTR-3B. Rejection is a portal action, not a finding that the underlying purchase never occurred; resolve the supplier data and commercial evidence before deciding whether any claim is legally available.

Pending records and amendments
For original and amended records, the action on the amended record can prevail. The FAQ describes cases in which the original record’s pending state must be resolved before acting on its amendment. Read the current on-screen instruction for the specific document rather than applying a blanket rule to every amendment.
What IMS cannot do
IMS cannot correct the supplier’s filed invoice, change your books, establish receipt of goods or services, or override blocked-credit and time-limit provisions. Use it to record your response to a portal record, then complete the accounting and legal review outside the statement.

For the general section 16(4) rule quoted in CBIC Circular 237/31/2024-GST, the time limit is 30 November following the end of the relevant financial year or the filing of the relevant annual return, whichever is earlier. This is a general rule, not a guarantee that every invoice can be claimed until that date.
The same circular discusses retrospective relief under subsections (5) and (6) for specified cases. Those provisions are fact-specific and do not create universal relief for a late or defective invoice. Check the exact statutory text, amendments, notifications and circular conditions applicable to your financial year, return and registration.
If a correction is still outstanding as the deadline approaches, escalate to the supplier and your tax adviser promptly. Keep a dated record of requests, filed responses and the reason for any decision to defer, claim, reverse or exclude the credit.

The invoice is completely missing from GSTR-2B
Ask the supplier to verify whether the document was filed, under which GSTIN and in which return period. A late filing may move it to the next open statement. Until the document is correctly furnished and the other section 16 conditions are met, do not treat your purchase ledger as a substitute for supplier communication.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsThe supplier used the wrong recipient GSTIN
Provide the incorrect and correct GSTINs and request an amendment. Check whether the mistaken GSTIN belongs to another registration of your business; if so, coordinate the accounting and tax treatment for both registrations. Do not claim the document in the correct registration while the supplier’s filed data still points elsewhere.

The invoice number or date is wrong, but the tax amount is right
This is generally a particulars error. Ask for an invoice amendment, not a credit note created only to change the identifier. Preserve the original invoice and the supplier’s amendment trail so the corrected record can be matched without creating a duplicate.
The taxable value or tax was genuinely reduced
For returned goods, deficient supply or an excess charge, obtain the appropriate credit note and reconcile it with the original invoice. Adjust credit as required by the note and the applicable return period; do not leave the original full credit untouched when the commercial value has fallen.
The taxable value or tax was genuinely increased
Ask the supplier to issue and report a debit note for the additional amount. Verify that the extra goods or services were received or otherwise satisfy the relevant conditions before recording additional ITC.
The supplier says the portal will not allow an amendment
Request the exact filing-period reason and the supplier’s return acknowledgement. Some changes are constrained by statutory or portal cut-offs. Escalate with a complete document trail to a GST professional rather than asking the supplier to disguise a data correction as a different transaction.
The record was rejected in IMS by mistake
Review whether the current portal permits a subsequent action and whether an amended record has been issued. Coordinate the action with the supplier’s filing and your next GSTR-2B. A rejected status should trigger reconciliation, not an assumption that the supply is fictitious.
Records and controls that prevent repeat errors
- Reconcile each supplier GSTIN and invoice number to the purchase register before the monthly return is prepared.
- Maintain a mismatch log with invoice date, error type, supplier contact, request date, promised filing period and resolution date.
- Use separate categories for missing, wrong-GSTIN, wrong-value, duplicate, pending, accepted and amended records.
- Retain the original invoice, delivery or service evidence, payment support, supplier correspondence, portal downloads and amendment or note references.
- Set an internal escalation date well before the 30 November general cut-off so unresolved items are not discovered at year-end.
- Review inter-State transactions for place-of-supply and IGST issues instead of relying only on tax totals.
- After every supplier amendment, match the revised record to the original purchase and prevent duplicate ITC in the ledger.
Reconciliation software can compare ledgers with downloaded statements and track follow-ups, but it cannot amend supplier-filed data or decide whether a credit satisfies section 16. Treat automated matches as control evidence, not as a substitute for tax review.

A supplier correction fixes the reported data; it does not by itself prove that goods or services were received, that the purchase was for business, that tax was paid where required, or that no blocked-credit or reversal rule applies. Preserve evidence and obtain transaction-specific professional advice when the amount, deadline or dispute is material.
