The right workflow depends on whether the PDF contains selectable text or scanned page images, how much the layout matters, and which features your software and plan include.
Choose a workflow that fits the PDF
Before making changes, keep an untouched copy of the original. If the PDF came from a Word, Excel, or other source document that you still have, editing that source and exporting a fresh PDF is often the safer choice for substantial revisions. Direct PDF editing and PDF-to-Word conversion are alternatives, but either can alter layout; review the saved result against the original.

- Need a different file type? Convert the PDF or convert a supported source file to PDF.
- Need one packet from several files? Combine them, then check page order and remove pages you do not need.
- Need a smaller attachment? Compress a copy and check readability as well as file size.
- Need to change words in a scan? Run OCR first, then compare recognized text with the page image.
- Need a signature? Use a fill-and-sign or e-signature workflow suited to the recipient’s requirements.
Convert files to or from PDF
Adobe lists Word, Excel, PowerPoint, common image formats, HTML, and other supported file types among its conversion workflows. Some conversions depend on having the corresponding application installed or meeting another setup requirement. Check Adobe’s supported file formats and requirements for your specific extension before starting; support for one format does not guarantee that every file can be converted in every environment.
For a conversion, open the conversion tool in your PDF application or service, select the input file and target format, and save the output under a new name. Open the converted file and inspect page breaks, tables, fonts, images, and any special formatting. Conversion can preserve much of a document’s structure, but it is not a guarantee of a pixel-for-pixel match.

Merge PDFs and organize pages
Combine files in Acrobat
Acrobat can combine PDFs and other supported files into one document. Add the files, preview the combined material, arrange pages in the intended order, and remove unwanted pages before saving the merged PDF. For an illustrated workflow, see Adobe’s instructions for merging files into one PDF.
- Open Acrobat’s combine-files workflow and add the PDFs or other supported files.
- Preview the pages and drag them into the order you want.
- Remove pages that should not be included.
- Save the combined document as a new PDF, then reopen it to confirm the order and contents.
Merge or extract pages in SharePoint or OneDrive
Microsoft documents merging two or more PDFs and extracting pages in qualifying SharePoint or OneDrive environments. Availability depends on the organization’s setup and license or subscription; it is not a universal feature of every Microsoft account. Check Microsoft’s merge and extract PDF guidance and your organization’s access before relying on this route.
Compress a PDF without losing needed detail
Compression reduces file size, but the result depends on the document and settings. Adobe’s tutorial, updated April 23, 2026, describes choosing a compression level in web Acrobat; its advanced optimizer is documented for Acrobat Pro, Premium, or Studio. Options and plan names can change, so check the current interface and plan details. Adobe explains the sharing rationale in its compression and optimization guide.
- Keep the original PDF and make a separate copy to compress.
- Open the compression feature, choose a level appropriate to the intended use, and save the smaller copy.
- Check the resulting file size against the recipient’s limit.
- Inspect small text, fine lines, photographs, and diagrams at a useful viewing size. If detail is too soft or text is hard to read, try a less aggressive setting or use the original.
A small file is not automatically a better file: for archival, print, or detailed technical documents, preserving legibility may matter more than reaching the smallest possible size.

Sign or fill a PDF
PDF software can let you fill form fields, add a signature, or send a document for others to e-sign. Adobe’s overview covers filling and signing forms and collecting e-signatures. In general, open the file in the chosen tool, fill the requested fields, use its signing or send-for-signature option, and save or send the resulting document as directed.
Do not assume that every click-to-sign method will be accepted for every transaction. The required signature method can depend on the recipient, document, organization, and applicable rules. Confirm requirements with the party requesting the signature before choosing a workflow; the cited software guidance does not establish legal acceptance for every jurisdiction or use.
Edit PDF text and images
When you have the source file
For PDFs made from Office documents, Microsoft recommends returning to the original file for text changes: “To add or edit text in a PDF that was made in an Office program like Excel or Publisher, start with the original Office file.” Make the revision in the Office document and export a new PDF, then check that the layout still works. See Microsoft’s guidance on editing PDF content in Word.

Adobe describes direct editing of PDF text and graphics, while Microsoft also describes converting a PDF to Word or using a third-party converter. Make scanned PDFs searchable or editable with OCR
A scan is usually a page image rather than ordinary selectable text. OCR (optical character recognition) analyzes the image and creates a text layer that can be searched and, in some workflows, edited. Adobe’s OCR guidance explains how to turn scanned pages into searchable, editable PDFs.
- Run OCR on a copy of the scanned PDF using a tool that supports recognition for the document’s language.
- Search for a few words that are clearly visible in the scan to check that recognition worked.
- Compare recognized text, especially names, dates, amounts, and numbers, with the page image.
- Correct errors before using the text for editing, searching, or data entry.
OCR can misread faint, skewed, handwritten, or low-resolution material. The page image remains the reference when recognized text is uncertain.
Check access and output before choosing a tool
Adobe and Microsoft document different workflows across desktop software, browsers, and organizational storage services. Before committing to one, check the input and output formats, scan/OCR support, page extraction or reordering, compression controls, signature process, supported platform, and any plan or license requirement. Feature names and availability may change, and official product documentation describes capabilities rather than an independent comparison across vendors.
