If you need a designed report built from form values rather than a picture-like rendering of the app, use a Power Automate flow to populate a Word template instead.
Choose the right PDF method

Use PDF() when the PDF should reflect what the user sees on the canvas. Use a Word template when page layout should be designed independently of the app screen and populated from named fields. These are different output models: one renders app content, while the other composes a document from template controls.
Convert a canvas screen or form with PDF()
Enable the experimental function
- Open the canvas app in Power Apps Studio.
- Open Settings > Upcoming features > Experimental.
- Enable PDF function, then save the app. Microsoft says the feature is disabled by default because it is experimental.
Because the function is experimental, confirm that its status and behavior are acceptable for your app before relying on it in a production workflow. Microsoft does not describe it as a generally released production feature in the cited documentation.
Add a PDF button
Insert a button on the screen and set its OnSelect property to a formula such as:

PDF(SubmitInspectionScreen)
Replace SubmitInspectionScreen with the name of your screen. The function generates a PDF of the currently visible screen or supported control; it does not export a data record independently of the app’s rendered interface. The result is initially held in memory rather than automatically saved as a file.
Keep the generated PDF in a variable
To retain the result for another action in the app, set a variable:
Set(myPDF, PDF(SubmitInspectionScreen));
You can then pass myPDF to an action connector, a flow, or another supported use. Use the exact screen or control name in your app.
Capture only the content you need
PDF() can target the currently visible screen and can also be used with a container or gallery to limit what is included. For example:

If the screen contains navigation, buttons, or a PDF viewer that should not appear in the output, put the desired document content in a separate container and target that control. Microsoft notes that an experimental PDF viewer included in a captured screen can appear as a black shape in the generated PDF.

Save the PDF to SharePoint
The generated content must be handed to a flow or connector if you want a persistent file. Microsoft’s documented SharePoint pattern uses a Power Apps (V2) flow trigger with a File input and a Text input for the filename, followed by SharePoint’s Create file action.
- In Power Automate, create a flow with a Power Apps (V2) trigger.
- Add a File input for the PDF and a Text input for the filename.
- Add SharePoint’s Create file action. Select the site and document library where the maker has permission to create files.
- In Power Apps, add the flow to the app and call it from the button’s
OnSelectformula, passing the PDF output and a filename using the flow’s generated argument interface.
Microsoft’s documentation describes passing the generated PDF and filename from the app into this flow pattern. The exact formula arguments depend on the inputs you define in your flow; use the names and types shown for your flow rather than assuming a universal signature.
Email the PDF as an attachment
You can also pass the PDF to the Office 365 Outlook connector as an attachment. Microsoft’s example uses the PDF output as the attachment’s ContentBytes, together with a filename and the connector’s attachment table. A common sequence is to generate the PDF, then call the email action with the recipient, subject, body, and attachment fields. Make sure the app connection and recipient permissions are configured for the account that sends the message.

When the PDF should be a report or letter rather than a capture of the screen, create a Word document with content controls and populate it through Power Automate’s Word Online (Business) connector. The template can be stored in OneDrive for Business, SharePoint, or an Office 365 Group library. Microsoft’s connector provides the Populate a Microsoft Word template action; later flow actions can store or send the result.

The Word Online (Business) connector documents a maximum input file size of 10 MB for both of its actions. It also lists nested image content controllers and SharePoint On-Premises as unsupported. Check the connector documentation for current behavior and the complete set of requirements before building around a particular template.

The connector page documents template population and use of the result in later actions. It is not a complete step-by-step guide to every possible Word-to-PDF flow variation, so confirm the specific conversion and output actions available in your Power Automate environment.
Other connector-based conversion options
Microsoft lists PDF4me actions for HTML-to-PDF conversion, office-file conversion, and document generation using Word, HTML, or PDF templates. The connector listing also marks some older generation actions as deprecated, so inspect the exact action you intend to use rather than relying on an old flow tutorial.
Microsoft also lists a Plumsail Documents action to convert HTML to PDF. These are third-party connector options, not prerequisites for using Power Apps or the Microsoft-documented approaches above. Their availability, service terms, and fit depend on the connector and the environment in which you use it.
How to choose between screen capture and a template
- Choose
PDF()if the output should reflect the app’s visible canvas arrangement and you accept the function’s experimental status. - Choose a Word template if you want a page-oriented document assembled from named fields and a layout maintained in Word.
- Choose a conversion connector if its current actions match a specific file-conversion or generation requirement that the Microsoft paths do not meet.
For formal documents, a template gives you a document layout separate from a particular app screen. For a screen-faithful capture, the native function follows the canvas layout. Those distinctions follow from the documented mechanisms, not from a performance or output-quality comparison.

The formula does not recognize PDF()
Check that the feature is enabled under Settings > Upcoming features > Experimental in Power Apps Studio, and confirm that the app is a canvas app using the feature in the documented context. The function is off by default and experimental.

The output contains the wrong screen or misses content
The function targets the currently visible screen or a supported control. Call it while the intended screen is visible, and use a container or gallery target when only a portion of the screen belongs in the PDF. Verify the target control name.

The PDF contains a black rectangle
If the captured screen includes the experimental PDF viewer, Microsoft notes that the viewer can render as a black shape in the output. Keep the content to capture in a separate container or gallery and target that instead of the whole screen.
The PDF is generated but nowhere to find
The result is held in memory. Store it in a variable and pass it to a flow or connector that creates a file or sends an attachment. For SharePoint, configure the Power Apps (V2) inputs and SharePoint Create file action, and verify that the flow’s connection has permission to write to the selected library.
The Word template action does not expose a control
Confirm that the template uses one of the supported content control types. Rich Text, Building Block Gallery, Date Picker, Check Box, legacy form controls, nested image content controllers, and SharePoint On-Premises are listed as unsupported by the connector documentation.
The Word connector rejects the input file
Check that the input is within the documented 10 MB maximum and stored in a supported location: OneDrive for Business, SharePoint, or an Office 365 Group library.

A third-party action is missing or deprecated
Inspect the current connector listing in Microsoft Learn and the actions available in your environment. PDF4me’s listing identifies some older generation actions as deprecated; do not build a new flow on a deprecated action without verifying its status and a supported replacement.
