How to Connect Google Workspace to Outlook

Use Outlook’s Google sign-in for Workspace email, or GWSMO for a dedicated profile with broader synchronization. Here are the requirements and differences to know.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose the connection method based on what you need: add your Workspace Gmail account to Outlook with Google sign-in for email, or use Google Workspace Sync for Microsoft Outlook (GWSMO) for a dedicated Outlook profile that synchronizes mail, calendar, contacts and other supported data. Your organization’s administrator may need to enable or deploy either option.

Choose the right way to connect

Your goal Use What to know
Read and send Workspace email in Outlook Outlook’s Google account sign-in (OAuth) Requires a compatible Outlook edition and IMAP enabled by your Workspace administrator. Google documents the route as Gmail access through a third-party email client. Google’s Outlook setup guidance
Use a dedicated Outlook profile with broader Workspace synchronization Google Workspace Sync for Microsoft Outlook (GWSMO) For work or school Workspace accounts, with administrator setup and a Windows installation. It does not support personal @gmail.com accounts. GWSMO overview
Move older Outlook data into Google while setting up GWSMO import Import is optional; review the scope carefully because importing all data can create duplicates or overwrite calendar data. GWSMO import guidance

Adding Gmail directly with OAuth is not equivalent to GWSMO: Google’s cited guidance does not promise that the direct mail-account route synchronizes Calendar, Contacts, Drive, Notes or Tasks. Choose GWSMO when broader Outlook synchronization is the requirement.

Before you start

  • Use Google sign-in, not an old password-based setup. As of May 1, 2025, Workspace accounts no longer support third-party apps or devices that ask users to sign in with their Google username and password. Use an OAuth-capable client. Google’s third-party email client guidance
  • Check your Outlook edition for direct Gmail setup. Google lists Microsoft 365 Outlook desktop, Outlook 2019 and Outlook 2016 as supporting OAuth; Outlook 2016 volume-licensed Windows Installer (MSI) is an exception. Google’s Outlook setup guidance
  • Ask your administrator about policy. Direct third-party Gmail access requires IMAP to be enabled for Workspace users. GWSMO may also require administrator setup or deployment. Enable or disable POP and IMAP for users GWSMO overview

Option 1: Add your Workspace Gmail account to Outlook

This is the simpler route when email is your main need. Exact screens vary by Outlook edition and platform, so Google links Windows and Mac users to Microsoft’s current Outlook instructions rather than giving one universal click sequence.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Ask your Workspace administrator to confirm that IMAP is enabled for your account or organization.
  2. Confirm that your Outlook edition supports Google OAuth sign-in. Avoid Outlook 2016 MSI for this method.
  3. In Outlook, open its add-account flow and choose the Google account option when offered.
  4. Sign in on Google’s authorization screen and grant the requested access, then complete Outlook’s setup flow.

If the Google option is missing or sign-in fails, check Outlook version support, your organization’s access policies and the administrator’s IMAP setting. Do not switch to entering your Workspace username and password into a legacy manual setup. Start from Google’s setup page for the current Microsoft-specific instructions.

Option 2: Set up GWSMO for broader synchronization

GWSMO creates a Workspace profile in desktop Outlook and synchronizes supported data. It is intended for organizational Workspace accounts, not personal Gmail, and runs on Windows. Your administrator may manage the installer or need to complete setup before you can sign in.

  1. Confirm eligibility and deployment. Check with your Workspace administrator that GWSMO is configured or allowed for your account and find out whether you should download it or use a centrally deployed installer. GWSMO overview
  2. Close Outlook and install GWSMO. Follow the installer path provided by your organization or Google’s GWSMO setup instructions.
  3. Sign in and authorize access. Enter your organizational Google account when prompted and approve access. If you cannot sign in or the tool is unavailable, contact your Workspace administrator.
  4. Optionally import old Outlook information. GWSMO can import from an existing Outlook profile, an Exchange profile or a PST file. You can skip import if you only want to start using a new Workspace profile. Import Outlook data
  5. Create or open the Workspace profile in Outlook. Select the profile and allow synchronization to begin. Timing varies by data type.

Importing Outlook data safely

Choose the import scope according to whether you are continuing an earlier import or starting fresh. Google distinguishes importing only data that has not already been imported from importing all data.

  • Import all data only when that is genuinely the desired scope. Google warns this can duplicate contacts, tasks, notes and email, and may overwrite existing calendar data.
  • If import controls are missing, Google notes that some users may need a separate Google Workspace Migration for Microsoft Outlook (GWMMO) installation, including cases involving older GWSMO versions or administrator-provided installations. GWSMO import guidance

GWSMO is for continuing to use Outlook with Workspace synchronization. If your aim is to move Outlook data into a Google Account and then work in Google rather than Outlook, Google points users to GWMMO instead. GWSMO overview

What GWSMO synchronizes—and how quickly

Google’s “What’s synchronized?” documentation gives these refresh intervals. Some changes trigger synchronization sooner, as noted.

Differences from Outlook behavior to expect

  • Folders and labels: Outlook folders map to Gmail labels. Nested folders under Inbox can appear with names such as Inbox/folder_name.
  • Flags: Outlook message flags correspond to Gmail stars, but follow-up dates and reminders associated with flags do not appear in Gmail.
  • Rules and signatures: Outlook rules and signatures are not imported or synchronized. Gmail filters can provide corresponding filtering behavior.
  • Contact folders: Personal contact folders do not remain separate in Google Contacts; contacts are brought into Google Contacts, where labels can be used to organize them.
  • Message edits: Editing the body or subject in Outlook of a message already received or sent does not update that message in Gmail.

Google documents additional feature and data differences; GWSMO should not be treated as a byte-for-byte mirror of Outlook. See Google’s synchronization details and GWSMO feature differences.

If the connection does not work

  • Google sign-in is rejected: Confirm you are using the Google OAuth sign-in flow, then ask your administrator whether third-party access is restricted.
  • Outlook cannot connect directly to Gmail: Verify that your Outlook edition supports OAuth and ask the Workspace administrator to check IMAP settings.
  • GWSMO is missing or you cannot authorize it: Check whether your administrator has deployed or permitted GWSMO and contact them if your account is not accepted.
  • Calendar, contacts or other data are absent: Confirm that you chose GWSMO rather than simply adding Gmail as a mail account; the direct OAuth route is documented for Gmail/IMAP access.
  • Imported items are duplicated or calendar data changed: Avoid repeating “Import all data”; review the import scope and consult your administrator before another import.
