How to Connect Gemini Gems to Apps and Automations

Connect services through Gemini’s Connected Apps settings, then ask Gemini to use them. Gems guide repeatable tasks but do not create integrations or background automations.

Short answer: Connect services in Gemini’s Connected Apps settings, then ask Gemini to use the relevant app in a conversation. A Gem can give that task a reusable set of instructions, but it does not create the connection, expand the app’s permissions, or make a prompt run as a background automation.

What a Gem does—and what the app connection does

A Gem is a customized version of Gemini built around reusable instructions for recurring tasks. It can help keep a task’s goals, format, and guidelines consistent. Google describes Gems as a way to create specific, repeatable instructions for Gemini to follow: How to use Gems.

Connected Apps are a separate layer. They let Gemini access particular services and perform the actions Google supports for them, subject to your account’s access and permissions. A Gem can tell Gemini how to handle information from Gmail or what to include in a Calendar event; it cannot connect those services on its own or authorize actions that the connected app does not support.

For example, a Gem might instruct Gemini to turn a request into a concise list of follow-up tasks. You still need an eligible connected service, a prompt asking Gemini to use it, and any required confirmation. Google’s documented Connected Apps flows are initiated through Gemini prompts; they do not establish a general promise of always-on, event-triggered automation.

How to connect Google apps such as Gmail, Drive, and Calendar

  1. Sign in to Gemini with the Google account you want to use. For Workspace services, use the same account that has access to that Workspace data.
  2. Check the prerequisites. Keep Activity must be on. For a work or school account, the Workspace edition must qualify and an administrator may need to enable Connected Apps. Gmail Smart features in other Google products may also need to be enabled. Google lists the current requirements in its Workspace connection guidance.
  3. Start a prompt that needs the service. Ask Gemini to do something with Workspace data—for example, find an email or summarize a document. If the app is not connected, Gemini should offer a connection flow. Follow the on-screen steps and grant the access requested.
  4. Name the app in the conversation. In a new conversation, mention the relevant service, such as Gmail, Drive, Calendar, Tasks, or Keep. You can also type @ and select a service when that option is available. In follow-up prompts within the same conversation, you generally do not need to repeat the connection request.
  5. Review the result and its sources. Gemini may show sources used to answer. Check those sources, especially for time-sensitive details: Google warns that responses can be outdated or inaccurate.

Depending on the service and available actions, examples include finding or summarizing Workspace information, adding a reminder in Tasks, saving a note or list in Keep, and creating or managing Calendar events. For the current setup steps and service-specific capabilities, see Google’s Connect the Google Workspace app to Gemini Apps.

Can a Gem use Gmail or Google Calendar?

Yes, if the relevant service is connected and your account has permission to use it. Put the repeatable guidance in the Gem—for example, how to format a meeting brief—then ask Gemini in a conversation to use Calendar or Gmail for the specific task. If you want Gemini to act on a connected service, be explicit about the requested action rather than assuming the Gem will initiate it automatically.

The available actions are limited. For work and school accounts, Google documents that Connected Apps cannot create or delete Gmail drafts, access Gmail or Docs comments and images, access non-document media in Drive, or create or move Drive folders. Supported actions can differ by service and account; consult the current work and school Connected Apps guidance rather than assuming every task is supported.

How to connect or manage other apps

Built-in Connected Apps

Open Gemini’s settings and choose Connected Apps to see which integrations are available to your account. Review an app’s details and supported actions before connecting it; use the same area to disconnect it later. Google’s list can vary by account type, device, country, and Gemini app. See Use and manage Connected Apps in Gemini for current details.

Custom third-party apps using MCP

When custom apps are available, Gemini can connect to some third-party services through an MCP server. You need the server URL from the provider. In Gemini, open Settings & help > Connected Apps, choose the option to add a custom app, enter the MCP server URL, and follow the prompts. Labels and availability may vary by account and app version; use the current instructions in Google’s custom apps help page.

This is a connection to a third-party server, not a Google-managed integration. Google says it does not control, monitor, or secure these servers, and information sent to one is subject to the provider’s privacy practices. Check who operates the server, what information it requests, and what actions it can take before connecting. Google’s help page also says Gemini requires manual confirmation for write actions. The page lists eligibility conditions—including account, age, location, activity, and language limits—that may change; check the live requirements in Gemini and the help page before relying on this option.

Which connection method should you use?

Approach Best for What to check
Gem instructions Repeating a task pattern, preferred format, or set of guidelines A Gem is not an app connector; it cannot grant access or add unsupported actions.
Built-in Connected App Using a Google or other listed service that appears in your Gemini settings Account and administrator eligibility, available actions, and requested permissions.
Custom app via MCP Connecting a supported third-party service that provides an MCP server Feature eligibility, server operator, data handling, available actions, and confirmation requirements.

These options can work together: a Gem can supply the repeatable instructions while a Connected App supplies access to the service. If you need a workflow to run on a schedule or react to events without a prompt, confirm that a separate service actually provides that automation; a Gem alone does not.

Why an app may be missing or a task may not work

  • Workspace does not appear: Verify you are signed in with the account that has Workspace access, Keep Activity is on, and Gmail Smart features are enabled if required. For a work or school account, ask the administrator whether the edition qualifies and Connected Apps are enabled.
  • The app or feature is unavailable: Connected Apps are not available identically to every user. Account type, Workspace edition, location, language, device, and Gemini app can affect availability. Check the current Connected Apps list for your account.
  • A requested action fails: The app may not support that action, or the account may lack permission. Google notes that if an organization disables one of the required services in a multi-service request, none of the requested actions in that example will complete. Break the task into supported steps or ask the administrator about access.
  • The answer looks stale or wrong: Review the sources Gemini shows and verify important information in the original app. Gemini can return outdated information, including an older email when a newer one exists.
  • A custom app will not connect: Recheck the current eligibility requirements and confirm the MCP server URL with its provider. Do not enter sensitive information into a server unless you trust its operator and understand its privacy terms.

What happens to Gems in 2026 and 2027?

Google has announced that Gems will transition automatically to skills, with timing varying by account type. Its published schedule says personal accounts transition in November 2026, Workspace business, enterprise, and nonprofit accounts in March 2027, and Workspace education accounts in June 2027. These dates are future-facing and could change; check Google’s Gems-to-skills transition information for the latest schedule and compatibility details. The announcement concerns the transition of Gems; it does not mean Connected Apps permissions or supported actions are expanded.
