How to Connect a Printer to a New Wi-Fi Router: Choose the Right Setup Method

Reconnect a printer to a new router using its screen, manufacturer software, WPS, or supported USB-assisted setup—and troubleshoot common connection failures.

When a router change also changes your Wi-Fi name or password, you’ll usually need to enter the new network details in the printer. If the new router kept the old network name (SSID) and password, the printer may reconnect automatically—but router transfer features do not always carry every setting. Canon cautions that replacing a router alone does not make computers and printers connect to the network; see its router replacement guidance.

Before you start: check the network and printer

  • Find the new Wi-Fi network name (SSID) and password. Enter them exactly, including capitalization.
  • Connect a phone or computer to the new router and confirm that it can access the network.
  • Turn on the printer and place it close enough to the router for setup.
  • Check the printer’s manual or manufacturer support page for the setup method and menu names for your exact model.

Brother identifies the SSID and network key as setup prerequisites in its wireless setup instructions; Canon’s troubleshooting guidance also starts by checking that another device can use the router.

Choose a way to connect the printer

Method Best fit What to know
Printer screen and wireless setup wizard The printer has a display and network controls. Menu labels and steps vary by model; select the new SSID and enter its password. HP and Brother document this general approach in their wireless setup instructions and Brother setup instructions.
Manufacturer app or computer utility The printer has no useful display, or the manufacturer directs setup through software. Some models must first be placed in Wi-Fi setup mode. Use the app or utility specified for your printer model; HP explains how to restore Wi-Fi setup mode in its setup guidance.
WPS push button Both the printer and router support WPS, and their instructions describe how to use it. Start WPS on the printer and press the router’s WPS button within the specified window. The cited HP and Epson instructions use a two-minute window; check the instructions for your own devices: HP and Epson.
USB-assisted setup The manufacturer documents temporary USB configuration for your printer. Some setup software can send Wi-Fi details while the printer is connected to a computer by USB. This is model- and port-dependent, not a general requirement. HP and Brother describe supported workflows in their HP instructions and Brother instructions.

Connect through the printer’s screen

  1. Open the printer’s Setup, Network, or Wireless settings.
  2. Start Wireless Setup Wizard or the similarly named network setup option.
  3. Choose the new router’s SSID from the list. If it is not listed, check the signal and the printer’s network compatibility before continuing.
  4. Enter the Wi-Fi password carefully, then confirm or save the settings.
  5. Wait for the wireless status to show that the printer is connected. Menu names and confirmation steps differ by model.

Connect with an app, WPS, or USB-assisted setup

Manufacturer app or computer utility

Install or open the software specified for the exact printer model. If prompted, put the printer into its Wi-Fi setup mode, then follow the discovery and network prompts to select the SSID and enter its password. HP’s wireless setup guidance explains its app-based setup path; other manufacturers may use different software.

WPS push button

Check that the printer and router both support WPS. Start WPS mode on the printer as its manual directs, then press the router’s WPS button within the stated time window. Watch the printer’s wireless indicator for confirmation. If WPS is unsupported or does not complete, use the control-panel wizard or manufacturer software instead. HP’s WPS guidance and Epson’s model-specific instructions describe a two-minute window for the cited guidance.

USB-assisted setup

Use a USB cable only if the setup procedure for your model calls for one. Confirm the printer’s USB port and the manufacturer’s instructions before connecting it; disconnect the cable only when the software says configuration is complete. Wi-Fi setup does not generally require USB.

Confirm the printer is reachable

  • Check that the printer’s wireless status indicates a successful connection. If available, print its network status or connection report.
  • Make sure the phone or computer you want to print from is connected to the intended home network, not a guest network that blocks communication between devices.
  • If the printer appears connected but printing still fails, check the router for client isolation or a privacy-separator setting. Canon explains this issue in its network troubleshooting guidance.

If the printer will not connect

  1. Re-enter the network details. Verify the SSID and password, then run wireless setup again if either was mistyped. Brother’s setup guidance identifies the network name and key as required information.
  2. Check the router and signal. Confirm a phone or computer can reach the new router and that the printer has adequate signal where it is located. Canon’s troubleshooting steps cover these checks.
  3. Switch methods if WPS fails. Confirm WPS support on both devices and follow the model instructions. If it still does not connect, try the manual setup wizard or manufacturer utility. See the relevant HP or Epson guidance.
  4. Check router security compatibility. If the printer can see the network but rejects the connection, its supported security modes may not match the router’s configuration. Canon notes that some printers may not use WPS with a WPA3-configured router and describes manual setup as an alternative in its router settings guidance. Consult both manuals before changing security settings; do not weaken router security without understanding the consequences.
  5. Check band and isolation settings only when relevant. Some printer/router combinations can have trouble with band steering or a shared 2.4/5 GHz network name. Client isolation can also stop a connected printer from communicating with your computer or phone. Check the exact model’s support guidance and router documentation before changing these settings; Canon discusses network configuration in its settings guidance.
  6. Use a connection report or model-specific utility. If the printer offers a network report, use it to identify the connection problem. Epson documents report-based troubleshooting for supported products in its connection guidance.

When the old Wi-Fi name and password are unchanged

A printer may reconnect automatically if the new router uses the same SSID and password as the old one. Do not assume every router replacement feature transfers all wireless settings: Canon specifically warns that transfer behavior can vary in its router replacement notes. If the printer stays offline, run its wireless setup with the network details currently in use.
