How to Cold Message Influencers: Email vs. DM Templates That Set Clear Expectations

A useful influencer pitch explains why you chose the creator, what the collaboration involves, and one easy next step. Adapt these email and DM templates without overstating the offer.

To cold message an influencer, make the pitch personal, explain the collaboration and its compensation honestly, and ask for one simple next step. Use the contact route the creator provides or prefers; neither email nor DM is proven to work best in every case.

How do I cold message influencers?

Build the first message around three things the creator can quickly assess: why you chose them, what you are proposing, and what you want them to do next. Name a real post, video, or project and explain its relevance to your brand or audience; generic praise alone does not show why the partnership makes sense.

Introduce yourself and your brand, then describe the offer accurately. Say whether you are proposing paid work, a product gift with no posting obligation, an affiliate arrangement, or an exploratory conversation. If the scope, timing, or budget is known, include it. If details are still open, say so rather than presenting an unconfirmed campaign as settled.

Keep the note brief enough to scan, but there is no established word-count rule. The practical test is whether the recipient can understand the fit, the offer, and the requested reply without having to guess.

Email template

Subject: [Creator name] × [Brand] — [specific collaboration idea]

Hi [Name],

I’m [your name], [role] at [brand]. I found your [specific post/video/project] about [specific topic], and [brief, genuine reason it connects to the brand or audience].

We’re exploring [specific proposal: paid post, gifted product with no posting obligation, affiliate arrangement, or other format]. The scope would be [deliverable/timing if known], and [state budget/rate approach or clearly say details are open].

Would you be open to [one next step, such as reviewing a short brief or sharing rates and availability]? If this is not a fit, no worries.

Thanks,
[Name]

DM template

Hi [Name] — I’m [name] from [brand]. I liked your [specific work] on [topic] because [real fit]. We’re exploring [plain offer and compensation status]. Would you be open to me sending details here or by email? If you prefer another contact route, I’m happy to use it.

These are adaptable starting points, not scripts with guaranteed results. Replace every bracketed detail with accurate information, and do not imply a posting obligation when you are only offering a gift.

Should I email or DM an influencer?

Choose the route the creator makes available or explicitly prefers. A listed business email is a natural place for a fuller proposal; a DM makes sense when the creator invites business inquiries there or no email is available. There is no established universal winner between the two channels.

Choice Email DM
When to use it A professional or partnership email is listed or supplied. The creator invites business inquiries on that platform, or email is unavailable.
What to expect Room for a subject line and a fuller proposal, though email can still be filtered or missed. Quick and conversational, but the message may go to requests or be overlooked.
Good first move Send a concise pitch with a clear offer and next step. Introduce yourself briefly and ask whether they prefer details in DM or email.

What should I do if there is no reply?

There is no universal follow-up interval established for influencer outreach. Allow a reasonable amount of time based on your campaign timing and any preferences the creator has shared. If you follow up, send one concise note that refers to your original message, adds useful context, and makes declining easy.

For example: “Hi [Name] — just following up on my note about [specific proposal]. If it may be a fit, I can send the brief and compensation details. If the timing or idea is not right, no reply is needed. Thanks, [Name].”

Do not imply urgency, scarcity, or a prior agreement unless it is true.

What disclosure rules apply if the creator endorses the brand?

For US-facing endorsements, Federal Trade Commission staff guidance says influencers should clearly and conspicuously disclose material connections to a brand. Connections can include payment, free or discounted products, and personal, family, employment, or business relationships. The disclosure should appear with the endorsement and be hard to miss—not buried in a hashtag pile or shown only after a reader expands the post.

In its 2017 guidance, FTC staff warned: “Vague terms like ‘Thank you,’ ‘#partner,’ and ‘#sp’ aren’t likely to explain to people the nature of the relationship between an influencer and the brand.” The FTC also said in 2017 that it had sent more than 90 letters to influencers and marketers reminding them to disclose relationships. That is a historical figure, not a current enforcement count or a measure of campaign performance.

Instagram’s Help Centre describes branded content as creator or publisher content featuring or influenced by a business partner in exchange for value, and says a paid partnership label is required when payment is exchanged for posting. Platform guidance can change, so check Instagram’s current instructions when planning a campaign. These points summarize US FTC staff guidance and Instagram guidance; they are not jurisdiction-specific legal advice, and other countries may have different requirements.
