Choose task management software by first defining how your team works and what is failing today, then compare a short list against weighted requirements. Pilot the finalists on a real project with representative users before rolling anything out. There is no universal best platform: the right fit depends on workflow, team scale, governance, and how much complexity people will actually use.
Start with the work, not the product list
Before comparing vendors, describe the work the software must support. PMI recommends letting a needs analysis drive the specification rather than starting with product appeal or vendor claims. Identify who will use the system, what kinds and sizes of projects they manage, how work is planned, and where the current process breaks down.

- List the project types, methods, stakeholders, and approximate scale the team handles.
- Write down current pain points, such as unclear ownership, missed deadlines, duplicate updates, or poor status visibility.
- Note scheduling, resource, cost, and reporting needs, along with systems that must exchange data.
- Ask who will administer the tool and which security or governance requirements apply.
Rank each requirement as required, very important, or preferred. PMI’s suggested evaluation criteria include scheduling, resource availability and assignment, cost planning and tracking, baselines, import and export, subprojects, summary and reporting views, and ease of use. A priority ranking helps distinguish a genuine deal-breaker from a feature that is merely attractive.

For routine work, test whether people can create tasks, assign clear owners, set priorities and due dates, update status, and see what is overdue. Then check for capabilities that matter to your workflow rather than assuming every team needs every feature.

Involve IT and security stakeholders before selecting a tool. Confirm role-based permissions, identity controls, audit logs, encryption and data-protection expectations, and any standards the organization requires. Slack’s selection guidance highlights integrations, reporting, and security or compliance controls as comparison areas; the exact requirements are organization-specific.
Compare finalists against the same criteria
Keep the shortlist small and evaluate each product against the same weighted requirements. Score only evidence you can verify in the product, documentation, or pilot; do not treat a feature list as proof that a workflow will work well.

Do not compare headline entry prices alone. Work out which plan and user count unlock the required capabilities, and include support and onboarding effort in the decision. Current vendor-specific prices and plan gates are not established here, so verify them directly with each vendor before committing.
Pilot a real project before rollout
Use a real project—not a polished demo scenario—to test the top candidates. Include a mix of the people who will create, manage, and complete tasks. Slack recommends collecting feedback on usability and workflow support during a pilot.

- Ask participants to perform ordinary work in the tool, including finding their next task and updating its status.
- Observe where they need help, where information is hard to find, and whether the system supports the team’s reporting and coordination needs.
- Compare pilot feedback with the weighted requirements, including setup, training, and administration effort.
- Before wider rollout, agree on conventions for ownership, status updates, notifications, and project setup, then plan onboarding.
A tool can meet a feature checklist and still be a poor choice if the team finds routine work confusing or the rollout demands more administration than the organization can support.
Use product-fit descriptions as starting points
The University of Maryland’s guide characterizes Jira as suited to agile or software-development work, Trello to simpler workflows, and Teamwork to client-service teams. Those descriptions can help generate a shortlist, but they are not independent product tests and do not establish that a particular product is best for your team. Evaluate any named platform against your requirements and pilot it in your own workflow.

Atlassian’s article reports that its 2022 research with Foundry found 100% of surveyed enterprise leaders said employee collaboration was a moderate-to-critical priority, approximately 66% said optimizing collaboration was their top digital-transformation priority, and 88% said work-management technologies were very important to day-to-day business operations. These are findings attributed to that survey and reporting, not current universal rates or evidence that a particular product improves outcomes.
