If a font is restricted, use an authorized production arrangement or replace it with a font licensed for embedding, then export and inspect the PDF again. Export settings cannot override a font’s license.
What font embedding does—and why it matters
Embedding includes font data in the PDF so the typeface used in the source document is available when the file is viewed or printed. That reduces the chance that a recipient’s system will substitute another font. Substitution can change how text looks, especially when the original typeface has unusual character shapes. Embedding is not a guarantee of identical output in every viewing or printing environment, but it helps preserve the document’s intended typography. It is especially useful for commerce materials that must remain recognizable across customer devices and print providers.
Check permission before choosing an export setting
A font’s license to use it is not necessarily permission to embed it in a PDF. Fonts include embedding-permission flags, and applications that support embedding use those flags to determine whether and how they can include font data. A restricted or no-embedding setting can prevent embedding. See Microsoft’s font redistribution FAQ.

Microsoft also notes that a license may permit display and desktop printing while restricting embedding in a saved publication. In a commercial-print workflow, a printer may need to obtain the font under an appropriate license or use a permitted substitute. Do not assume that being able to install, display, or print a font means you may embed it. See Microsoft’s guidance on font license restrictions.
Inventory fonts across the whole document
Before exporting, identify every font used—not just the main body typeface. Check headings, prices, symbols, logos, and imported brand elements, including artwork or layouts supplied by an outside designer. A PDF can have the expected body font embedded while still relying on a restricted display or symbol font elsewhere.

For each font, review its current license and embedding permissions. If the wording or permissions are unclear, ask the font vendor or rights holder. Treat any alternative the same way: verify that its license permits document or PDF embedding rather than assuming a particular font is universally safe.

For fonts that are permitted to embed, the practical choice is usually between including the full font and embedding a subset containing only characters used in the document. Subsetting can reduce file size; full embedding may be useful when the document needs characters beyond those currently used. Both options remain subject to the font’s permissions.

Adobe’s PDF settings guidance describes Embed All Fonts, subsetting, and per-font include or exclude controls. Adobe also identifies font embedding as a requirement for PDF/X compliance.
Export, then inspect the PDF you will deliver
- Set embedding options in the export workflow. In Adobe PDF settings, review Embed All Fonts, subset options, and any per-font always-embed or never-embed controls. The exact controls depend on the software and export path.
- Open the exported PDF in Adobe Acrobat or Reader. Inspect the file that recipients or the print provider will receive, not only the original document or the export dialog.
- Open Document Properties > Fonts. Adobe’s font-embedding instructions identify this panel as the place to review fonts in the PDF. Look for each expected font to be marked as embedded or embedded subset.
- Resolve missing or substituted fonts before sending. Check the font’s permissions and the export settings. If embedding is prohibited or unavailable, use a properly licensed replacement or an authorized production arrangement, regenerate the PDF, and inspect the new file.
When the deliverable must be PDF/A
PDF/A is an ISO-standardized PDF subset intended to reduce risks to long-term reproducibility. The PDF Association says valid PDF/A files generally require fonts to be embedded, with an exception for glyphs that are not rendered, such as invisible OCR text. Use software that exports to the required PDF/A profile and validate the resulting file; a standard PDF fonts-panel check alone does not establish PDF/A conformance. The PDF Association’s PDF/A FAQ discusses the format and validation.

Keep platform-specific behavior out of assumptions
Font embedding depends on the font’s permissions and the PDF creation or export software. No general conclusion about a particular storefront, invoicing service, catalog tool, or ERP system follows from those principles alone. If a commerce platform generates the PDF, check its current documentation or inspect an actual output file to determine whether it embeds the fonts you need.
