Choose diagramming software by testing how it fits your team’s diagrams, collaborators, apps, files, integrations, and data rules—not by comparing feature labels alone. Real-time editing and file compatibility can depend on the product tier, client, storage location, permissions, and diagram type. Start by defining those needs, then test each viable option with representative diagrams and users.
Start with the team’s workflow and constraints
Before comparing vendors, write down what the team needs to create and how diagrams move between people and systems. This keeps an attractive collaboration feature or a familiar file extension from overshadowing a blocker.

- Diagram types: List the diagrams used in practice—such as flowcharts, UML, network diagrams, or BPMN—and identify specialized shapes, connectors, labels, comments, and embedded content that must remain usable.
- People and roles: Identify authors, reviewers, occasional viewers, administrators, and external collaborators. Note who needs to edit, comment, or only view.
- Editing clients: Specify whether people work in desktop apps, browsers, or both, and which operating systems or managed devices they use.
- Existing files: Inventory actual formats, including Visio VSD and VSDX, and note whether the requirement is to view, edit, import, export, or round-trip each file.
- Integrations and storage: Record required connections to productivity tools, identity systems, and the team’s existing document repositories.
- Data sensitivity: Classify the information in diagrams and identify applicable rules for sharing, identity, data location, retention, deletion, and contractual commitments.
Separate must-haves from preferences. A tool that cannot edit a critical diagram type or satisfy an access policy is not a viable option, however convenient its other features may be.

Compare viable tools against the same scenarios
Run every candidate through the same practical cases. A useful comparison records the exact plan, app, storage location, permissions, and file involved, because these can change what a feature means in practice.

Capture the result for each scenario, including workarounds and plan dependencies. This makes trade-offs visible and avoids treating marketing terms such as “collaboration” or “Visio support” as proof that a specific workflow will work.
Check collaboration at the app, storage, and permission level
Microsoft Visio
Microsoft says people can work on a Visio diagram simultaneously, but coauthors must use the same type of app: desktop or web. In the desktop workflow, the file must be on OneDrive for Business or SharePoint Online; Microsoft says Windows desktop authors need Visio Plan 2. In the web workflow, users need edit permission and a Visio for the web license. External viewing or sharing can also depend on an administrator enabling external SharePoint sharing. These conditions are a useful reminder to test the actual combination of client, storage, account, and collaborator permissions. A general statement that a product supports coauthoring does not establish that every mix of clients or accounts can edit the same file simultaneously.

Other collaboration checks
For any candidate, verify whether the collaboration workflow covers the people who actually participate: internal editors, occasional reviewers, and guests. Check whether roles can be administered centrally and whether external access can be restricted or observed in ways your policy requires. Do not assume that editing, commenting, viewing, and sharing are interchangeable permissions.
Verify diagram and file compatibility, not just extensions
Visio support varies by plan and diagram type
Microsoft says Visio in Microsoft 365 supports VSDX, but not the older VSD format. Support for diagram types also differs by tier: basic flowcharts are supported in Visio in Microsoft 365, while UML, detailed network diagrams, and BPMN are listed for higher plans. A drawing with unsupported specialized shapes may be viewable and commentable in the basic web product without being editable. Microsoft’s Visio version and feature comparison should be checked against the team’s specific diagram types.
Imports and exports can change a diagram
Miro documents importing Visio VSDX, Lucidchart and diagrams.net files through VSDX, and OmniGraffle GRAFFLE files, with imported shapes converted into Miro Diagram format. Its help documentation lists image export as JPG, PDF, or SVG. That is not the same as proving that every source object remains editable or visually identical after conversion. Miro documents VSDX export as an Enterprise feature. It warns that fidelity is not guaranteed: font substitution can change line breaks; connector labels have limitations; freehand strokes may be redrawn; and prototypes, data tables and other views, comments, embedded content, and sticky-note reactions are not exported. Lucid’s team page describes Visio import of VDX, VSD, and VSDX and export to Visio, along with revision history and team administration. Because the current page presents broader team information rather than a detailed format reference, confirm current supported formats and limitations with Lucid’s documentation before making them a migration requirement. Make round-trip fidelity a test, not an assumption
A matching extension does not prove that shapes, connector behavior, labels, comments, or embedded items will survive a conversion as editable objects. For each important format path, test opening, editing, saving or exporting, and reopening in the destination application. Record any flattening, omissions, layout shifts, or loss of editability.
Assess privacy and administration with policy-specific questions
Compare privacy in four layers: who can access diagrams, what administrators can manage or observe, how the service handles data, and what the contract commits the vendor to do. Public product pages can describe available features, but they do not by themselves establish that a particular deployment meets an organization’s requirements.

- Sharing and identity: Ask about roles, group administration, external sharing controls, identity integration, and access logs.
- Data handling: Confirm applicable data location, retention and deletion rules, subprocessors, encryption, and how any AI features use customer data.
- Contract and jurisdiction: Obtain current terms and commitments that apply to the team’s region, plan, and deployment. Escalate unresolved requirements to procurement, security, or legal reviewers.
- Configuration: Confirm which controls are included in the exact tier and how administrators must configure them.

A short evaluation using real files is more informative than a feature checklist alone. Use a controlled set of diagrams and the collaborators, clients, permissions, and destination applications that the team expects to use.

- Select representative files. Include the team’s common diagrams and at least one file whose specialized shapes, connectors, labels, comments, or embedded content are important.
- Invite real user roles. Test with intended editors, reviewers, administrators, and external collaborators where policy permits—not only the person evaluating the software.
- Exercise collaboration. Have collaborators open and edit using the planned desktop or web clients, storage location, licenses, and permissions. Record any restriction or extra setup.
- Test format paths. Import or open each relevant source format, make a representative edit, save or export it, and open the result in the intended destination tool.
- Inspect for changes. Check layout, fonts, line breaks, connectors, specialized shapes, comments, and embedded content. Note anything missing, flattened, or no longer editable.
- Resolve governance questions. Match the proposed configuration and contract to the organization’s access, data-handling, and jurisdictional requirements before approving broader use.
This method is a practical response to documented differences in coauthoring conditions, plan support, and conversion fidelity; it is not a claim that any particular product has passed a hands-on test.
Make the decision against hard requirements and trade-offs
Remove candidates that fail a mandatory scenario, then compare the remaining options on the work the team actually does. A compact scorecard can use pass, partial, or fail, with a note identifying the tested plan and configuration.

- Are integrations, sharing roles, and administrative controls adequate?
- Can the vendor and the proposed configuration meet the team’s privacy and contract requirements?
Choose the option with the fewest unacceptable compromises for those requirements. If a key answer—such as an external-sharing control, data location, or lossless-enough handoff—is not established, treat it as an open procurement condition rather than assuming it is supported.
