How to Choose Between Self-Hosted Zammad and Managed Help Desk Software

Self-host Zammad when you can operate Linux infrastructure and need control; choose managed service when you want the provider to handle more of the stack.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose self-hosted Zammad if your team can operate Linux infrastructure and wants control over the server environment. Choose Zammad Hosted or another managed help desk if you want the provider to handle more of the hosting, maintenance, updates, and backups. The right choice depends less on whether the software itself is free and more on who will do the ongoing operational work.

What changes when you self-host Zammad?

Zammad describes its self-hosted software as free to install on your own server. That removes a software charge, not the costs of running it: your organization must provide infrastructure and take responsibility for its operation.

In Zammad’s hosted-versus-self-hosted comparison, Zammad handles hosting, updates, machine maintenance, and nightly backups for its hosted service. With self-hosting, those responsibilities sit with your team. You still need to administer the help desk’s users, workflows, and configuration whichever deployment you choose.

Zammad particularly recommends its hosted service when an organization has no in-house Linux operating expertise. Support and full functionality may depend on the hosted package or a support arrangement, so check the current terms for the option you are considering.

Compare the operational trade-offs

Decision factor Self-hosted Zammad Managed help desk or Zammad Hosted
Hosting and maintenance Your team manages the server, updates, machine maintenance, backups, and secure deployment. Zammad’s comparison says it handles hosting, updates, machine maintenance, and nightly backups for its hosted service.
Internal skills Requires capacity for Linux operations and ongoing system administration. Less server administration is required from your team, though you still manage the service and its workflows.
Control and location You operate the software in an environment you choose and remain responsible for protecting it. Verify current hosting location, technical controls, and contractual terms against your requirements; do not rely on a general product description for a compliance decision.
Features and support Core functionality is available, but support may require a separate arrangement. Check current options. Available functions and support can depend on the selected package. Confirm the current plan details.
Cost There is no software charge for self-installation according to Zammad, but infrastructure, staff time, maintenance, backup, and support may cost money. Compare the current subscription and included service with the internal labor and infrastructure you avoid. Current plan prices are not established here.
Capacity Hardware needs depend on agents, ticket volume, channels, and deployment choices. Check current plan limits and capacity against your actual agent and ticket needs.

Check whether your team can operate a self-hosted deployment

Zammad’s published hardware figures are starting points, not guarantees for a particular workload. Its System Documentation gives these rough examples; the page does not state a publication date:

  • Minimal PostgreSQL deployment: 2 CPU cores and 6 GB RAM. Add 4 GB RAM if Elasticsearch runs on the same server.
  • Basic example for up to 40 agents: 6 CPU cores and 6 GB RAM. Add 6 GB RAM if Elasticsearch runs on the same server.
  • Documented Docker Compose setup: at least 4 GB RAM.

Actual requirements vary. Use the figures to begin sizing, then assess your expected workload and deployment design. A single server that suits a small installation may not suit a busier help desk.

For a package installation, the documented dependencies include PostgreSQL 15 or newer and Redis 7 or newer. Docker and Kubernetes handle package dependencies differently. Requirements can change, so check the live prerequisites for the exact Zammad release you plan to install or upgrade.

Plan for secure access, backup, and recovery

A production deployment needs more than a working installation. Zammad’s Docker guide says internet-facing stacks need HTTPS, and its webserver guidance warns against exposing the application directly without secure proxy configuration. Your team must therefore plan secure access as part of deployment rather than treat it as an optional finishing step.

For self-hosting, decide who will apply updates, monitor the server, validate backups, and restore service if something goes wrong. A backup that has never been checked through a restore is not a demonstrated recovery plan. These recurring duties are part of the operational cost of choosing your own environment.

Choose based on your situation

Small team without a Linux administrator

Start by evaluating managed service, including Zammad Hosted. Zammad particularly recommends hosted when in-house Linux operating expertise is absent. Check the current package’s feature and support terms before choosing it.

Team with platform staff and a control requirement

Self-hosting may fit if your staff can budget time for updates, backup validation, hardware maintenance, secure access, and recovery work. Define the control requirement precisely—such as environment ownership or a specific location—and verify that the deployment and its protections meet it.

Team choosing mainly to save money

Build a total-cost comparison before treating self-hosting as the cheaper option. Include infrastructure, staff time, maintenance, backup and restore work, upgrade windows, security operations, and any support arrangement. Compare that with the provider’s current price and included service; current hosted prices are not established here.

Organization with strict location or data-control requirements

Check the provider’s current technical and contractual terms directly against the requirement. The label “self-hosted” does not by itself establish that a deployment meets a security or compliance obligation, and a general product page is not a substitute for verifying service terms.

Questions to answer before committing

  • Who will own upgrades, server maintenance, monitoring, and incident response?
  • Who will test backup restoration, and how quickly must service be recoverable?
  • What workload should the system support—agents, ticket volume, and channels—and what hardware or managed-plan capacity does that require?
  • Which features and support arrangements are included in the exact hosted package or self-hosted support option?
  • What location, security, or contractual requirements must the deployment satisfy?
  • Have you compared recurring internal operating costs with the provider’s current subscription and included work?

Product prices and availability are accurate as of the date/time indicated and are subject to change. Any price and availability information displayed on Amazon at the time of purchase will apply.
