How to Choose an Insurance Virtual Assistant for Your Agency

Evaluate insurance virtual assistants against one real agency workflow, verify their security and experience, define licensed-staff boundaries, and test results under supervision before committing.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose an insurance virtual assistant by testing one clearly defined agency workflow—not by comparing hourly rates or accepting vendor claims at face value. Compare candidates on insurance and system experience, permitted task boundaries, security, communication, quality control, continuity, contract and E&O terms, and total operating cost. Keep coverage advice, recommendations, binding, and negotiating policy terms with appropriately licensed staff, and confirm the rules for the states where your agency operates.

Start with the work, not the provider

Pick one recurring, bounded workflow to evaluate, such as renewal preparation or routine information gathering. Define it so each candidate is responding to the same job rather than describing a vague promise to “help the agency.”

As an Amazon Associate I earn from qualifying purchases.

  • Trigger: What event starts the work, and what information should be available?
  • Steps and systems: Which actions are expected, and which agency management system (AMS), carrier portals, or communication channels are involved?
  • Exceptions: What missing information, unusual request, or uncertainty requires a pause?
  • Approval and escalation: Which tasks require licensed review, and who makes the decision?
  • Definition of done: What record, handoff, or completed output shows the task is finished?

A provider guide recommends bringing a recurring workflow to discovery and evaluating providers against the same real task. Use a sanitized example or otherwise protect client information when sharing it. Provider workflow guidance

Compare candidates on the same criteria

Use the workflow you defined to compare each candidate. Ask for examples and evidence rather than relying on general claims of insurance expertise.

Criterion What to check
Insurance experience Experience with your lines of business and tasks such as renewals, endorsements, certificates, and billing requests. Ask for relevant examples and references from agencies with a similar book of business.
Systems fit Familiarity with the AMS and carrier portals your workflow uses, plus how the candidate will record actions and manage access.
Task boundaries A written list of permitted work, prohibited decisions, licensed review points, and escalation steps.
Security and access Evidence of access controls, multifactor authentication (MFA), device and workstation practices, encryption, monitoring, documented access policies, and prompt access removal.
Training and onboarding A training outline for your procedures, systems, security expectations, and escalation rules.
Communication and availability Working hours, time-zone overlap, response expectations, client-facing responsibilities, and backup coverage.
Quality and continuity How work is reviewed, errors are corrected, handoffs are reported, and service continues during absences or staffing changes.
Contract and risk terms Data handling, confidentiality, access, responsibility for errors, termination and offboarding, and evidence of the assistant’s E&O coverage.
Total operating cost Fees plus onboarding, technology, security, supervision, quality checks, rework, and licensed staff time spent reviewing or correcting work.

There is no neutral, independently verified provider price table or published market-wide scoring threshold established for these criteria. Request written quotes based on the same task volume and scope; provider claims about savings, performance, or security are not independent comparison data. Provider guide on evaluating a VA

Set licensing boundaries and client-service rules

“Administrative” is not a universal legal category. A provider-authored guide identifies coverage advice, policy recommendations, binding, and negotiating terms as work for licensed staff, and notes that boundaries vary by state. Treat those examples as prompts to confirm the rules for your jurisdiction and actual procedures—not as a complete legal determination. Have responsible licensed staff and the agency’s compliance process approve the task list. The NAIC’s consumer guidance concerns checking an insurance agent and insurer’s licensing; it is not a virtual-assistant licensing ruling. Ask for security evidence and control access

Agencies handle personal, policy, and financial information. Ask how the candidate protects the entire working environment, including the AMS and carrier portals—not just the assistant’s computer. Request documentation or demonstrations of relevant controls, and establish how access is approved, monitored, changed, and removed.

If a vendor cites SOC 2 Type 2 or another certification or control report, review the underlying report’s scope, period, exceptions, and relevance to the specific entity, service, workforce, and systems involved. An assertion alone does not establish that the controls cover your arrangement. Account for E&O exposure and the contract

Delegating work does not remove the agency’s need to supervise it. Utica Mutual’s 2022 paper describes an E&O claim involving a virtual assistant who prepared a certificate of insurance that incorrectly said the policy included Products Completed Operations coverage. The underlying carrier denied the related claim; the agency’s E&O and underlying claims were resolved for $165,000. This is one case, not a typical or predictive loss figure, and Utica notes that outcomes depend on claim facts and policy terms. Utica Mutual, Virtual Assistants: E&O Concerns (2022)

Before work begins, Utica advises checking references and work, having counsel review the contract, asking for proof of the assistant’s E&O coverage, and informing the agency’s E&O carrier about the vendor and delegated services. Put the approved scope, prohibited decisions, review responsibilities, data handling, access, and offboarding obligations in writing. The actual contract and policy terms determine how risk is allocated and covered.

Run a supervised pilot before deciding

  1. Give each finalist the same workflow. Use a sanitized or appropriately protected example. Ask the candidate to explain where the assistant acts, records the work, pauses, and escalates.
  2. Review evidence. Request a training outline, sample work product, security policies and control evidence, access-removal process, references, service schedule, continuity plan, proposed contract, and E&O insurance evidence.
  3. Limit access and supervise. Run a time-limited pilot with least-privilege access and a named agency reviewer. Keep licensed decisions with licensed staff.
  4. Track useful measures. Record accuracy, turnaround, missed handoffs, escalation quality, rework, and licensed employee time spent reviewing. These are practical pilot measures, not published industry standards.
  5. Make the decision on the full workflow cost. Consider pilot results alongside onboarding, technology, security, supervision, correction time, availability, and backup coverage. Document the final task scope, escalation rules, access, quality checks, and offboarding responsibilities.
