Choose an enterprise AI assistant by matching its contractual and technical controls to your organization’s data, regions, identity systems, and support needs—not by relying on a universal vendor ranking. The practical test is whether the exact product plan, configuration, contract, and region meet your requirements, and whether a pilot confirms that the assistant behaves safely with your data and workflows.
Compare the documented product, not just the vendor
Enterprise protections vary by product, subscription, geography, and feature. The table summarizes what the cited product documentation describes; it is a starting point for due diligence, not a substitute for reviewing the offer and contract you would actually buy.

Data use, retention, and deletion
Get the current data-processing terms and confirm how prompts, uploaded files, responses, and connector-retrieved content are treated. Establish whether any of that data may be used for model training, how long it is retained, whether retention can be configured, and what happens after deletion or account termination. A feature page or a general statement about business data is not proof that every product tier, feature, or data path has the same terms.

Identity, permissions, and auditability
Map the assistant to your identity provider and access-management model. Confirm SSO and SCIM availability, role-based administrative access, group provisioning, audit-log coverage, and how quickly access changes take effect. For retrieval from connected systems, test whether the assistant enforces the source document’s permissions for each user; do not assume connector availability means permissions are preserved.
Also establish what administrators can inspect and export, whether logs cover relevant user and agent activity, and whether sensitivity labels, retention policies, and key-management controls apply to the selected plan. Ask for evidence scoped to the service and region you are evaluating, rather than relying on a general corporate certification.

Connectors, agents, and prompt-injection safeguards
Each connector, agent, web-grounding feature, and API can introduce a separate route for data access or processing. Inventory the data each can read or send, the permissions it receives, and the terms that govern it. Require a clear account of how the product limits unauthorized actions and handles malicious instructions found in retrieved content. Then test those boundaries with safe, representative data before granting access to production systems.

Data location is not a single answer. Evaluate separately where content is stored, where model inference occurs, and where related processing—such as search grounding, connectors, agents, and subprocessors—takes place. A residency commitment for stored data does not by itself establish that every inference or connected service runs in the same region.

- Storage: Which content is covered by the residency commitment, and which regions are available for the exact product and plan?
- Inference: Where is the model processing your prompts and files? Is in-region inference available to your organization, and under what eligibility conditions?
- Additional services: Do web search, grounding, agents, or connectors use separate services, regions, privacy terms, or commitments?
- Regulated workloads: Does the exact deployment and data path meet the applicable contractual and regulatory requirements? Confirm the scope directly; a general compliance statement is not enough.
For example, Microsoft documents separate handling for Bing web queries and specific EU Data Boundary and HIPAA limitations. Google documents region-related limits for some controls and exceptions when Grounding with Google Search is enabled. OpenAI distinguishes eligible data-at-rest residency from eligible in-region inference. Claude Enterprise’s cited plan article describes US-only inference. These are product-specific qualifications, not interchangeable definitions of “hosted in-region.”

Security certifications do not tell you how quickly a vendor will respond when your deployment is unavailable or an incident affects your data. Request the support plan and service terms that apply to the product, edition, and region in your quote. Put the commitments in writing rather than inferring them from a vendor’s general security or operations material.

Use a requirements-led selection process
- Inventory the environment. Record data classes and regulated workloads, approved regions, identity systems, and the collaboration, document, and ticketing platforms the assistant may need to access.
- Set pass-or-fail requirements. Decide which protections and operating capabilities are mandatory, which are preferred, and what evidence will prove each one.
- Map each requirement to the offer. For every shortlisted product, identify the exact plan or SKU, region, configuration, contract term, and feature dependency. Request current legal terms, security evidence, support terms, and service commitments.
- Run a controlled pilot. Use representative tasks and safe test data. Measure task quality and latency, and verify permission boundaries, audit evidence, retention and deletion behavior, integration reliability, web or agent handling, and user adoption.
- Model the operating cost. Compare quoted seat charges with any usage-based billing, included allowance, overage, and administrative spend controls. Claude Enterprise’s cited article, for example, describes a platform seat fee plus usage billed separately at API rates; do not assume other products use the same structure.
- Record the decision. Document exceptions, owners, mitigations, and a date to review the decision again. Recheck terms and feature availability when the product, contract, or deployment changes.
Keep the shortlist to products that satisfy the organization’s non-negotiable controls and can demonstrate the required behavior in the pilot. Among those, compare workflow fit, support commitments, and total operating cost rather than treating a vendor feature list as a ranking.
