How to Choose an AI Journaling App for Sensitive Personal Notes

An “encrypted” label does not answer what happens when AI reads an entry. Use this checklist to assess storage, processing providers, retention, deletion, and portability.

Choose an AI journaling app by tracing what happens to your words—not by relying on an “encrypted” label. Check where your journal is stored, what text or audio leaves your device when you use AI, which companies process it, and what happens to requests, backups, and deleted data. Use AI only with entries you are comfortable sending through the app’s disclosed processing route; keep the most sensitive notes out of AI features when possible.

Start with the privacy questions that matter

Before creating an account or importing years of writing, find clear answers to these questions in the app’s current privacy policy, help pages, and settings:

As an Amazon Associate I earn from qualifying purchases.

  • Where are entries stored? Is there a local-only option, or does using the app require an account or cloud sync?
  • What does encryption protect? Distinguish encryption in transit and at rest from end-to-end encryption, and check who holds the keys and how account recovery works.
  • What leaves the device when AI is used? Find out whether the app sends a selected entry, a conversation, an audio recording, a transcript, or other context.
  • Who processes it? Look for named AI, speech, and hosting providers—not just a general reference to “AI.”
  • Can your content be used for model training? Check the policy for the app and the providers it uses.
  • How long is data kept? Separate the AI request’s retention from journal storage, synced copies, attachments, and backups.
  • What does deletion remove? Check whether deletion is immediate, whether there is a recovery period, and what the policy says about backups and third-party copies.
  • Can you export your writing? Confirm the export format and whether it preserves text, dates, images, audio, and other attachments in a usable way.

If an app does not explain an important point plainly, treat that as an unanswered question—not as proof that the practice is safe or unsafe.

Understand the encryption boundary around AI

“Encrypted” does not necessarily mean that no one or no system can access the text. Encryption in transit protects data as it travels; encryption at rest protects stored data. End-to-end encryption is intended to keep the service from accessing journal content under ordinary storage conditions, but an AI feature may need readable text to analyze it.

For example, Day One says its journals are end-to-end encrypted by default for supported versions and settings. Its AI documentation says that when a user invokes an AI feature, the content needed for that feature is temporarily decrypted on the device and sent over encrypted protocols to Day One’s servers and an AI service. The company says some models may instead run on-device. These are Day One’s statements, not an independent security audit; check the current documentation and settings for your version.

The practical question is therefore not simply “Is the journal encrypted?” but “Which content is decrypted, where is it processed, and by whom?” Prefer features that let you choose the specific entry or passage to analyze, and do not submit material you would not be comfortable routing through the providers named in the policy.

Check storage, sync, and account requirements

A local-only option can reduce reliance on an account and cloud sync, but it changes the recovery trade-off: if the device is lost or damaged and there is no separate backup, the journal may be lost too. Confirm whether local storage is genuinely optional, whether signing in enables a cloud backup, and how you would restore your entries after changing devices.

Day One says an account-free setup stores entries locally on the device and compares that arrangement to keeping a physical notebook. It also says journal data can be backed up to an account when a user signs in. That is a specific product example, not a feature that should be assumed for other apps.

Trace every AI input, including voice

AI processing can involve more than the text visible in an entry. Voice journaling may send audio for transcription, and dictation or voice conversations may create both audio and transcripts. Ask whether those are processed on-device or by an outside provider, whether transcripts are saved to the journal, and whether the audio has a separate retention policy.

Rosebud’s policy, surfaced as revised September 8, 2026, names OpenAI, Anthropic, Google, AWS, and Groq in connection with AI and language processing. It describes audio and transcripts being collected for voice journaling, dictation, and voice conversations, and says audio and text sent to ElevenLabs are covered by a Zero Data Retention agreement. That is a specific statement about the ElevenLabs route; it does not establish zero retention across all providers or end-to-end encryption. Check the live policy before relying on these details, since provider lists and practices can change.

Read retention and deletion terms literally

Retention statements often describe different things. A promise that an AI request is not retained after processing does not, by itself, explain how long journal entries remain in cloud storage, when backups expire, or what a speech provider keeps. Look for separate answers for each data type and each stage of processing.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Day One says AI requests are not retained after processing and that its providers do not use the content for model training. It also says closing an account starts a five-day recovery period, after which journal entries, attachments, and account data are permanently deleted. The cited account-closure statement does not establish when every backup expires or how copies held by every provider are handled, so do not interpret it as a blanket deletion timeline for all systems.

Test export before trusting an app with a long-term archive

Privacy includes the ability to leave. Before you move an existing journal into an app, make a small test entry, export it, and open the result in another program. Check whether dates, formatting, photos, audio, and attachments survive in a form you can actually use. If the export is incomplete or difficult to read, decide whether that limitation is acceptable before your journal grows.

Export capabilities vary, and the available product information here does not support a reliable comparison across apps. Verify the current export options directly rather than assuming that a service’s backup or sync feature gives you a portable copy.

Make a practical choice for sensitive notes

  1. Separate entries by sensitivity. Decide which notes are suitable for AI analysis and which should remain outside AI features.
  2. Try the app without importing everything. Create a test entry and inspect the account, sync, privacy, and AI settings first.
  3. Use AI selectively. If the app allows entry-level selection, send only the passage needed for the task rather than a broader journal history.
  4. Test voice features separately. Confirm whether recording, transcription, and saved transcripts follow different provider and retention rules from typed entries.
  5. Try an export and deletion path. Check both what you can take with you and what the app says account closure removes.
  6. Keep the most private writing out of the processing route. A paper journal is a straightforward option for notes you do not want an AI service to process; it is not a digital app with equivalent search, sync, or AI features.
