Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →Choose an AI chatbot for confidential work by checking the exact product, account, plan, contract, retention rules, administrative controls, data location and connected features—not by relying on a brand name or a general promise that your data is “private” or “not used for training.” A consumer app, managed business workspace, API and agent connected to company systems may have different protections. Use sensitive information only in a service and configuration approved for that data class; if approval is uncertain, redact or withhold it.
First identify the service and account you would actually use
“Which chatbot?” is not specific enough to answer a privacy question. Record the product surface and account type: a personal consumer app, a qualifying work account, a managed business workspace, an API integration or an agent embedded in another service. Also note the plan, region, model and enabled features. The terms for one surface do not automatically apply to another—even when the same provider supplies both.

A personal account does not become a business-protected service because you use it for work. Confirm which agreement governs the account, and whether your organization has approved that exact service for the information you intend to submit.

Compare the protections that matter for your data
| Decision area | Questions to verify | Why it matters |
|---|---|---|
| Training and improvement | Are prompts, uploaded files, responses, feedback and connected data used to train or improve models? Does the commitment cover subprocessors and any third-party models? | A “not used for training” statement may apply only to specified products or features. |
| Retention and deletion | How long are prompts, files, responses, activity logs, safety-review records, feedback and backups kept? What exceptions apply, and what does deletion remove? | Exclusion from model training does not mean immediate deletion or no operational retention. |
| Identity and administration | Can administrators require SSO or MFA, assign roles, limit access, audit activity, set retention, apply DLP policies and control agents or connectors? | Controls must match your organization’s identity and data practices, and may vary by plan. |
| Location and legal terms | Which data-processing addendum applies? Where may data be stored and processed? Which regions, models and features are in scope? | Regional commitments and contract terms can have eligibility rules and exceptions. |
| Integrations and routing | Can the chatbot invoke web search, connectors, agents or another model? Which terms govern each path? | Connected features may involve separate processing or privacy terms. |
Ask for the applicable agreement and product documentation, not just a marketing summary. Check whether each promise covers the specific data types and features in your workflow. If a vendor does not clearly answer a material question, treat that as unresolved rather than assuming the most protective interpretation.

What major providers say—and what those statements do not establish
The following are summaries of provider documentation, not independent tests of every setup or a determination that a service is approved for your work. Scope depends on product, plan, configuration and contract; verify the current terms before relying on a claim.
OpenAI business products
OpenAI says organization data protections cover ChatGPT Enterprise, Business, Edu, Healthcare, Teachers and API, and points to product-specific retention information. Its business-data materials describe data-processing addenda, security certifications, eligible regional storage and processing, and administrative features such as MFA, roles and SSO; SCIM and role-based controls are available for some products. OpenAI separately describes an independent SOC 2 Type 2 examination for its API and ChatGPT business services, and ISO certifications for specified services. Check the scope and eligibility for the product and plan you would use; a certification is not blanket approval for every workflow.

Microsoft Copilot for organizations
Microsoft says organizational Copilot and Copilot Chat enterprise data protection is covered by its Data Protection Addendum and Product Terms, uses customer data as instructed, and does not use prompts, responses or Graph data to train foundation models. Microsoft also says applicable identity, permission, sensitivity-label, retention and audit policies carry through, with controls varying by subscription.

Microsoft describes Bing web queries as a separate service with different data-handling practices, and tells customers to review agent privacy statements and terms. Its Microsoft 365 Copilot privacy documentation says prompts and responses are stored as activity history, administrators can set retention, processing may route to other regions in some circumstances, and certain third-party models have regional-boundary exceptions.

Google Gemini for Google Workspace
Google says qualifying Workspace use receives Workspace protections: content is not human-reviewed or used for generative AI model training outside the domain without permission, and existing controls such as data-region policies and DLP apply. Google distinguishes this from Gemini used as an additional service without a qualifying Workspace edition, where consumer terms may apply and chats may be reviewed or used to improve services. Google also documents that administrators and file owners can restrict Gemini access, which follows users’ Workspace permissions.
Anthropic Claude
Anthropic’s consumer privacy documentation describes model-improvement settings. If improvement is enabled, chats may be retained in de-identified form in model-training pipelines for up to five years under the described consumer policy. The documentation also describes exceptions for flagged usage-policy violations and legal or policy needs, including retention of inputs and outputs for up to two years and classification scores for up to seven years. These are limits specific to the stated consumer policy and exceptions, not a universal retention rule for Claude or other AI services.

Anthropic says zero data retention is available for its API under an organization-level arrangement. In that arrangement, prompts and responses are not stored at rest after the API response returns. Other record types, sessions or tools may have different retention models, so confirm the arrangement and product scope with the provider.
Do not confuse training, retention and access
These are separate questions. A provider may exclude your content from foundation-model training while retaining conversation history, activity logs, safety-monitoring records or feedback under other rules. A retention setting may govern chat history without changing what connected tools receive. And an administrative control only helps if your plan includes it, an administrator configures it, and it covers the account and data involved.

For each product, find the rules for prompts, files, responses, feedback, logs, backups and connected data separately. Then establish what deletion does, whether exceptions apply, and who in your organization can access or administer the relevant records.
Check every feature that can move data elsewhere
List the features people will actually use, including web search, file uploads, connectors to company repositories, agents, plugins, feedback and model selection. For each one, determine whether it uses another service, model or provider and which terms cover that processing. An enterprise label on the main chat product does not, by itself, establish that every connected feature follows identical rules.
Pay particular attention to access permissions. A chatbot connected to company documents may surface information available to the signed-in user; overly broad repository permissions can therefore become a practical exposure even when the chatbot respects those permissions. Confirm that the underlying accounts and repositories follow least-privilege access.
Use this approval process before entering confidential material
- Classify the information. Decide whether it is public, internal, confidential, personal, regulated or legally privileged. Ask the responsible privacy, security or legal owner to interpret obligations when needed.
- Name the precise setup. Record the service, account, plan, region, model and enabled features—including mobile or browser apps, agents, connected data, feedback and web search.
- Review the controlling terms. Check the agreement and data-processing addendum for training use, retention by data type, deletion, subprocessors, breach handling, data location and legal exceptions.
- Match controls to the workflow. Verify identity controls, permissions, MFA or SSO, audit, administrator retention, DLP and access to connected repositories. Confirm the controls are included in the plan and configured.
- Pilot without sensitive data. Use synthetic or already-public material. Check administrator settings, logs and access behavior before allowing confidential inputs.
- Document the rule for users. State which approved service and account to use, what may be submitted and how to report accidental disclosure. Reassess when terms, plans, models or enabled features change.
When a chatbot is not approved, reduce what you disclose
If you cannot confirm that a service is approved for the information, do not paste the original material. Remove names, account numbers, identifying details, proprietary figures and unique passages; replace them with fictional values while preserving only the context needed for the task. Redaction reduces exposure but may not be enough for regulated, privileged or highly sensitive data, especially if the remaining details could identify a person or reveal confidential facts.
No vendor privacy page alone establishes that a chatbot is safe for every confidential task. Approval depends on the product scope, contract, geography, configuration, data category and your organization’s requirements. Treat claims such as “enterprise,” “encrypted,” “compliant” or “not used for training” as specific commitments to verify—not as a guarantee of zero risk.
