For a retail counter, compare the merchant-facing provider’s acquiring relationship, QR workflow, settlement terms, support and complete written costs—not just a “free UPI” claim. NPCI says merchants begin accepting UPI through an acquiring bank; the right fit depends on the agreement and the shop’s checkout needs, not on a universal provider ranking.
Start with the acquiring relationship
UPI acceptance is a merchant service, not simply a choice of which consumer payment app customers use. NPCI says a merchant starts accepting UPI by partnering with an acquiring bank that provides the UPI infrastructure. Depending on the arrangement, a bank or a merchant-facing payment aggregator may handle onboarding and support. Ask who the acquiring bank is, which party will manage your account, and who is responsible for transaction support. NPCI’s merchant FAQ and merchant QR guidance describe these roles.

Check eligibility and onboarding
Ask for the documentation list, expected risk review, and any shop-specific eligibility conditions before applying. NPCI’s onboarding guidance describes compliance and risk assessment, merchant identification, and configuration of details such as the merchant category code (MCC), UPI ID, account details and channel information. Confirm the registered merchant name and business category are accurate, and ask the acquiring bank to verify the MCC assigned to your shop. NPCI’s onboarding FAQ explains these checks.

Choose an acceptance workflow that fits the counter
NPCI lists four merchant integration modes: QR, intent, application-based and collect. For a straightforward in-person checkout, a merchant QR is the practical baseline to compare. It lets the customer scan and pay with a UPI app; a basic bank-acquired QR does not require a shop to adopt a payment gateway. Ask whether the offer uses a static or dynamic QR and whether it supports any additional workflow your business actually needs. NPCI’s integration guidance describes the available modes and QR information.
#1 Best Overall
- Convenient: Easy be adapted to use for websites, social media pages, payments such as PayPal, Venmo, Cash App etc.
- Usage: Take people to your social medias or get reviews from them or take payments directly with this QR code sign.
- Scenes: Perfect for pop up shop, salon and beauty, restaurant, barber, dentistry or any business.
- Customize: You can edit the text, font color, add photos and background color to match to your qr code sign! Fully customisable scan to pay sign.
- UV Print: the QR code is UV printed, does not come off easily.
A QR can carry merchant details, including the merchant UPI ID and amount, so the payer can see merchant information in the payment flow. NPCI’s June 2026 QR guidance says to include the line “Scan & Pay with any UPI app.” Keep consumer-side app choice separate from your provider decision: the merchant relationship is with the acquirer, while customers can use any UPI app supported by the QR. Get settlement and reconciliation terms in writing
Do not assume every provider sends money to the same kind of account or makes it available on identical terms. NPCI says the merchant receives funds immediately after the customer confirms payment into either a merchant pool bank account or the merchant bank account, according to the agreement. Ask the provider to state the destination account, whether a pool account is involved, when funds become available under your agreement, and how to reconcile payments against daily sales. NPCI’s merchant transaction FAQ
- Record the account that will receive UPI funds and whose name it is held under.
- Clarify the settlement timing and any agreement-specific conditions.
- Ask what settlement report or transaction details are available for matching against till records.
Plan for failed or disputed payments
Before staff accept payments, agree on a simple status-check procedure. Ask where to find the transaction reference, how staff should handle a pending payment, and how to escalate a disputed or apparently missing transaction. NPCI identifies the acquiring bank as the route for merchants to check transaction status or raise grievances. Get the relevant support channel and escalation process from your provider, rather than relying on a customer’s screenshot alone. NPCI’s merchant transaction FAQ
Separate UPI charges from optional service costs
The RBI publication in the source set states that from 1 January 2020 no charge, including merchant discount rate (MDR), applies to prescribed electronic modes including UPI and UPI QR. That policy baseline does not establish that optional provider services, hardware, rentals or other payment instruments are free. Paytm’s FAQ says QR UPI payments routed directly to a bank account are generally zero and advises merchants to confirm provider-specific charges. Request the current agreement and a written, itemised fee schedule; do not rely on a general “free UPI” message. RBI policy publication; Paytm’s merchant FAQ
Have the provider specify whether any of these costs apply:

A QR soundbox may help a busy shop where staff want an audible payment alert. NPCI’s June 2026 QR guidance includes soundbox layouts, establishing the category—not the features or superiority of any particular model. Check compatibility with your chosen acquirer, which payment modes it announces, connectivity and power needs, warranty, and total device and service cost before choosing one. A printed or displayed QR may be enough for a quieter counter. NPCI’s June 2026 QR guidance

Use a practical provider comparison
Compare offers on the same questions rather than on promotional claims. Fill this checklist from each provider’s written terms:
- Acquirer and merchant-facing party: Which bank provides acquiring, and who handles onboarding, support and any aggregator service?
- Eligibility: What documents, compliance checks and risk review are required?
- Acceptance: Is the QR static or dynamic? Are intent, application-based or collect workflows included if needed?
- Merchant setup: Is the business name correct, and has the acquiring bank confirmed the MCC?
- Settlement: Which account receives funds, is a pool account used, and what timing and reconciliation arrangements apply?
- Issue handling: How does staff check status, locate a reference and escalate a pending or disputed transaction?
- Total cost: What are the written charges for setup, subscription, rental, devices, connectivity, other instruments, taxes, cancellation or replacement?
- Hardware, if any: Is it compatible, and are its alert behavior, power, connectivity and warranty suitable for the shop?
Put UPI’s scale in context
NPCI reported 12,705.16 million person-to-merchant (P2M) UPI transactions worth ₹723,797.42 crore in August 2025. This is a historical monthly ecosystem figure, not a 2026 total or evidence that one provider is better than another. NPCI statistics; NPCI 2025 data
