How to Choose a Security Awareness Training Platform for a Small Business

Choose a security awareness platform around the behaviors employees need to learn, the way they report suspicious messages, and the records your business must keep.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose a security awareness training platform by starting with the behaviors your employees need to practice—not with a vendor’s feature list. For a small business, the right fit makes relevant training easy to assign, gives staff a clear way to report suspicious messages, and helps administrators track participation and act on reports without creating more work than the team can sustain. Compare content, practice, reporting, records, administration, integrations, privacy, support, and full cost. Training supports a security program; it does not replace email filtering, multifactor authentication, or incident response.

How do I choose a security awareness training platform for a small business?

Write down three things before looking at products: what employees need to learn, what they should do when they encounter a suspicious message, and what evidence your business needs to keep. Those answers turn a broad software search into a practical shortlist. A platform that offers many modules but does not fit your mail environment, reporting process, staffing, or recordkeeping needs may be harder to use than a simpler option.

The Federal Trade Commission (FTC) recommends regular staff training, updating it as risks and vulnerabilities change, and tracking participation. Its small-business phishing guidance also advises teaching employees how to avoid scams, considering simulations, and providing a way to report suspicious communications. NIST’s 2025 small-business phishing resource frames defense as a combination of technology, process, and people. It includes awareness training, a clear reporting mechanism, and meaningful metrics alongside technology measures such as filtering and multifactor authentication (MFA).

Use that framing to evaluate a platform as one part of a wider program. Training may help staff recognize and report threats, but software completion records or simulation scores alone cannot establish that a business is secure or that training prevented a breach.

Set your requirements before comparing platforms

Identify the decisions employees need to make

List the situations staff are likely to face: an unexpected invoice, a message asking for credentials, a link to a shared file, a request to change payment details, or a suspicious attachment. Consider which roles handle sensitive information, money, customer accounts, or administrative access. Training is more useful when examples and instructions reflect the decisions people actually make in your business, rather than teaching terminology without a clear action to take.

Decide what the employee should do if a message seems suspicious. For example, your internal rule might be to use a reporting button, forward the message to a designated address, or contact a named person through a separate channel. Choose a route your staff can remember and your team can monitor. If your process is not settled, define it before buying a platform; software cannot make an unclear response procedure clear by itself.

Specify participation and recordkeeping needs

Decide who must complete training, how often it will be assigned, how new starters will be included, and what you need to see when a course is overdue. The FTC advises tracking participation and suggests considering access controls for employees who miss required training. Any such control needs a clear, proportionate policy and should fit the employee’s role and your business obligations; do not assume every platform can impose or manage it in the way you require.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Identify which records matter to your business, such as assigned courses, completion dates, participation by group, or reports of suspicious messages. Ask whether administrators can export those records and whether the platform explains how its scores are calculated. Keep the purpose narrow: records should help you manage training and follow-up, not create an unsupported claim that a particular score proves a person or organization is safe.

What should I look for in security awareness training software?

Use the same questions for every provider. “Available” is not the same as “included,” and a feature listed on a marketing page may not work with your specific email, identity, or support setup. Ask for a demonstration of the workflow your business will actually use, then record the answer and any extra cost.

Decision area What to verify Why it matters to a small business
Training content Does the library address your common risks, staff roles, remote work, and current attack channels? Are the languages, formats, and accessibility options suitable for your employees? Relevant, understandable lessons are more likely to teach a usable response than generic material employees struggle to follow.
Practice and feedback Can you run controlled, authorized simulations? Can you assign follow-up learning, and does the platform track more than whether someone clicked? Practice can make the reporting and decision process concrete, but a click is only one signal—not a complete measure of risk or learning.
Employee reporting How does an employee submit a suspicious message? Can administrators see the report, review it, and follow the business’s response process? A clear, easy reporting route connects a lesson to an action and gives your team a chance to respond.
Participation and outcome reports Can you see assigned and completed training, overdue work, group-level results, and available exports? What do reported scores mean? Useful records help you identify gaps and document participation; opaque scoring can create false confidence.
Administrative effort How are users added and removed? Can you assign content, send reminders, and organize groups? How much time does reviewing reports take? A feature-rich product can still be a poor fit if a lean team cannot operate it consistently.
Integrations Does the product work with your email environment, identity or user directory, and reporting workflow? Which integrations are included in the plan you would buy? Compatibility affects both employee ease of use and the amount of manual setup your administrator must maintain.
Privacy and security What employee and behavioral data are collected? Where is data stored? Who can access it? What are the retention and deletion terms? These answers affect employee trust and whether the service fits your contractual, legal, and internal requirements.
Support What support channels and hours are available? Is onboarding included? Who helps troubleshoot configuration and employee reporting? A small team may need provider or managed-service help when it lacks a dedicated security administrator.
Total cost Compare pricing basis, minimum seats, billing period, onboarding, add-ons, renewal terms, and the staff time needed to run the program. An advertised starting price or trial may not reflect the cost of the plan, scale, and support you need.

Compare platforms using a small-business buying process

1. Write a one-page requirements brief

Record your employee count and groups, email and identity environment, training languages and accessibility needs, reporting route, required records, and likely administrator. Mark each item as essential or preferred. Include any contract, regulatory, or customer requirement you already know applies. This brief keeps the evaluation centered on your actual conditions instead of whichever product has the longest checklist.

2. Screen out mismatches early

Ask shortlisted providers whether they support your required user workflow and whether that support is included in the relevant plan. Confirm how they handle provisioning, employee reporting, exports, privacy terms, and support. If an essential answer is vague, unavailable, or dependent on an unbudgeted add-on, treat it as an unresolved requirement—not as a promise that the feature will work later.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

3. Demonstrate a complete employee-to-administrator workflow

Ask to see how an employee receives and completes an assigned lesson, how the reporting option appears in the employee’s normal workflow, and what an administrator sees after a report arrives. If simulations are part of your intended program, ask how they are authorized, controlled, followed by feedback, and represented in reporting. A demo should show the exact plan and configuration you are evaluating rather than a different tier or an idealized setup.

4. Estimate the operating cost, not just the license

Use the same employee count, billing period, and required features for each estimate. Add any stated minimum seats, onboarding fees, paid integrations, or reporting and support add-ons. Then estimate the internal time for setup, assigning and reminding, handling staff changes, reviewing results, and responding to reports. A lower subscription price may not be the lower-cost option if it depends on more manual administration, while a higher-priced plan may include functions your business does not need.

5. Check terms and make a documented decision

Review the service’s privacy, security, retention, deletion, renewal, and cancellation terms before entering employee information. Record the date and geography for any price or availability claim, since provider terms can change. Select the product that meets essential requirements with a manageable workflow and acceptable terms—not the one with the most features or the most impressive-looking score.

Use a comparison worksheet that exposes trade-offs

Keep one row per provider and record verifiable answers rather than impressions. If a value is unknown, write “not stated” and ask the provider; do not fill a gap with an assumption based on an advertised feature or starting price.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Field to record What to write down
Fit and pricing basis Suitable team size as stated by provider; per-user or flat pricing; minimum seats; billing period; date and geography of quoted terms.
Library and coverage Relevant subjects, role coverage, languages, formats, accessibility options, and how content is updated.
Practice and feedback Simulation options, authorization and control steps, follow-up learning, and the platform’s definition of each recorded outcome.
Reporting workflow Employee reporting method, administrator notification and review process, and fit with your internal response route.
Records and exports Participation fields, available outcome reports, export formats, score definitions, and record retention options.
Setup and ongoing work Provisioning, group management, assignment, reminders, staff changes, report review, onboarding, and estimated staff hours.
Integrations and support Email and identity compatibility, workflow connections, plan limitations, support channel and hours, and included assistance.
Privacy and full cost Data collected, storage location, access, retention/deletion, contract terms, license and add-on charges, renewal, and cancellation.

Use a simple pass/fail for essential requirements and a separate note for preferences. That makes it easier to spot a deal-breaker—such as no usable reporting route—without allowing a preference such as a particular lesson format to outweigh a basic operational need.

Free and lower-cost ways to start

A very small business may be able to begin with curated learning resources rather than buying a platform immediately. NIST’s NICE online-learning content page lists Wizer Security Awareness Training as free and describes videos, quizzes, employee progress reports, and certificates. That is the listing’s description, not an independent product assessment; check current provider terms, availability, and the actual features offered before relying on them.

CISA’s small and medium-sized business resources listing includes printable cybersecurity essentials and online training on device data protection and password managers. These materials can help start staff education or supplement a platform. They may not provide the assignment controls, participation tracking, simulations, or evidence workflow a particular business needs, so compare the resources against your recordkeeping and operating requirements rather than assuming they are a complete substitute.

If you start with free materials, assign an owner, set a recurring schedule, record participation in a controlled way, and tell employees how to report suspicious messages. Revisit the arrangement when staff count, customer obligations, attack patterns, or recordkeeping needs change. The decision to pay for a platform should follow from a real need for features or administration—not from the assumption that a paid tool automatically makes training effective.

How to evaluate vendor claims without treating them as endorsements

Provider pages illustrate possible feature sets, but their descriptions and prices are vendor claims rather than independent evaluations. Fortinet describes FortiSAT Cloud as a SaaS security-awareness and phishing-simulation service, with training modules, simulations, a reporting button, user and group management, dashboards, and risk scoring. Verify whether the particular functions fit your environment and are included in the plan you are considering.

HumanRisk Shield describes training, phishing simulations, and policy acknowledgements for growing businesses and managed service providers (MSPs), and displays an Essential price and a no-seat-minimum claim. Its own measurement approach should be assessed from its underlying methodology and trust and privacy documentation; a vendor-defined score is not a universal standard.

PhishSkill’s U.S. product page advertises simulations, training, per-user monthly Starter pricing, no minimum commitment, and a 30-day trial. These are its own marketing statements, not an independent price comparison or evidence that the service suits a particular business. Confirm current terms directly before relying on any displayed price, minimum, trial, feature, or availability.

None of these examples establishes a ranking. The relevant question is whether a provider can demonstrate your required workflow, explain its data practices, and give you a complete and current cost for your situation.

Privacy, legal obligations, and security fit

Employee training data can include participation, group membership, simulation behavior, and reports. Before adopting a service, ask who within your business and at the provider can access each type of information; where it is processed or stored; how long it is retained; and how deletion works when an employee leaves or the contract ends. Review whether the provider’s contractual terms fit your obligations. The available general guidance does not settle these questions for any individual vendor.

The FTC describes NIST Cybersecurity Framework (CSF) 2.0 as free, voluntary, and flexible, and advises businesses to understand and document applicable legal, regulatory, and contractual requirements and assess supplier risks. Which requirements apply depends on your sector, data, contracts, and location. A platform’s generic claim of framework or regulatory support is not proof that your business meets a specific duty, and purchasing training software does not by itself establish compliance.

Keep the platform connected to technical and operational safeguards. NIST’s 2025 phishing-defense resource places people, process, and technology together; its examples include awareness training and reporting alongside filtering and MFA. Set an internal response owner and escalation path for suspicious reports, and ensure the email and account protections needed by your business are considered separately. A lesson can teach staff to report a message, but your process must determine what happens after the report arrives.

Operate the program so training remains useful

Assign and update training on a schedule

Give each employee a clear assignment and due date, and make completion status visible to the person responsible for follow-up. Schedule training regularly and update material as risks and vulnerabilities change, consistent with FTC small-business guidance. Include new employees in the process and account for staff who miss required sessions. If you consider restricting access for overdue training, define the policy in advance and apply it in a way that is appropriate to the role and business context.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Make reporting simpler than guessing

Explain the reporting route in the training and make it easy to find when employees need it. Tell staff what happens after they report a message and whom to contact if the reporting option is unavailable. An easy, clear reporting mechanism is part of NIST’s process framing, and FTC phishing guidance likewise emphasizes giving employees a way to report suspicious communications.

Use results to improve the process, not to declare victory

Review participation and available outcomes to find practical gaps: a group that has not completed a lesson, a confusing reporting method, or a recurring question employees raise. Check what the platform’s score actually measures before drawing conclusions. A simulation click rate is a limited platform-defined measure; it does not, by itself, predict breach risk or prove that employees can recognize and respond to every threat. Pair results with the quality of reporting, completion, and follow-up rather than relying on a single number.

Common buying mistakes to avoid

  • Choosing by feature count: A long feature list does not tell you whether employees can complete the right lesson or report a real message using your workflow.
  • Treating a simulation score as a security rating: Scores use provider-defined methods and do not establish that a company is protected.
  • Assuming a trial or starting price is the total cost: Confirm seats, plan, billing, add-ons, onboarding, renewal, and operating labor for your use case.
  • Skipping privacy review: Employee behavioral information and retention terms deserve the same deliberate review as other supplier data handling.
  • Buying before deciding how reports will be handled: An alert has little operational value if nobody owns review, escalation, and response.
  • Assuming a platform makes you compliant: Applicable duties vary with sector, location, contracts, and data; verify them independently and document your requirements.
  • Treating training as a replacement for technical controls: Training should complement safeguards such as filtering and MFA, not stand in for them.

Make the decision against the work your team must do

A suitable platform for a small business is one the team can operate repeatedly: it teaches relevant actions, supports a clear reporting route, produces records you understand, fits your systems and privacy obligations, and has a full cost the business can sustain. If free materials meet your present learning needs and you can manage participation and reporting, they may be a reasonable starting point. If you need assignment automation, controlled practice, exports, or a more manageable reporting workflow, compare paid services against those specific requirements. In either case, keep training within a broader program of people, process, and technical safeguards.

Product prices and availability are accurate as of the date/time indicated and are subject to change. Any price and availability information displayed on Amazon at the time of purchase will apply.
