How to Choose a Secure Messaging Platform for Your Organization

A practical framework for comparing secure messaging platforms: define your risks, verify controls and licensing, and pilot real governance workflows.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose a secure messaging platform by matching its verified controls to your organization’s data, threat model, legal obligations, and daily workflows—not by treating encryption as a stand-alone security verdict. Compare encryption scope and key control, identity and access, governance, data location, integrations, licensing, and administrative effort; then confirm the exact plan, settings, and contract before committing.

Start with the conversations and data you need to protect

Before comparing products, identify what people will exchange and who needs access. A platform used for routine team coordination has different requirements from one used for sensitive client discussions, regulated information, or legally significant records. Include messages, channel posts, shared files, calls, meetings, and communication with guests or external partners: controls may not cover every content type in the same way.

Write down the organization’s threat model and obligations. Consider unauthorized account access, lost or unmanaged devices, accidental sharing, insider misuse, legal preservation, cross-border data handling, and the ability to investigate an incident. Separate mandatory requirements—such as a specific retention or access policy—from preferences that can be traded against usability or cost.

Build a requirements checklist before vendor demonstrations

Use a common checklist for every candidate so a polished demo does not substitute for evidence about the configuration you will actually buy.

  • Encryption and key control: encryption in transit and at rest; end-to-end encryption (E2EE) for the communication types you need; key-management options; and recovery implications if keys or accounts are lost.
  • Identity and access: single sign-on (SSO), multi-factor authentication (MFA), conditional access, device controls, guest policies, role separation, and limits on administrator privileges.
  • Governance: audit logs and alerts, exportability, data loss prevention (DLP), retention schedules, legal holds, eDiscovery, and communication review. Ask which controls apply to chats, channels, files, meetings, and calls.
  • Data and legal scope: where tenant or workspace data is stored, whether processing crosses borders, what the contract commits to, and which certifications or regulatory claims apply to the service and your use case.
  • Operations and ecosystem: administrative workload, integration with identity and endpoint tools, partner interoperability, incident handling, and the ability to migrate or export data.
  • Cost and licensing: the plan and add-ons needed for each required control, feature boundaries, and ongoing administration costs.

Compare what the controls actually protect

Encryption is one layer of a platform decision. Microsoft describes Teams encryption in transit and at rest alongside identity, audit, retention, and information-protection capabilities. Slack likewise describes encryption at rest and in transit alongside key management and governance controls. Those vendor descriptions are starting points, not proof that a particular tenant has the right settings or that every feature applies to every message type.

Ask vendors to map each requirement to a feature, supported content type, configuration, plan, and contractual commitment. Distinguish encryption managed by the service from E2EE, where only the communicating endpoints are intended to hold the keys. Ask how access is recovered, what administrators can inspect, and what happens to records needed for compliance or incident response.

End-to-end encryption can reduce service-side visibility

E2EE can be valuable when the priority is preventing the service provider from accessing protected communication content. It can also limit service-side inspection and processing, which may affect recording, transcription, DLP, retention, or other workflows. Confirm the exact scope instead of assuming an E2EE label covers an entire messaging product.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For example, Microsoft’s Teams encryption guidance describes E2EE for eligible one-to-one VoIP calls and supported meetings when configured. In that described scenario, E2EE does not cover chat messages or shared files; protected media cannot be inspected service-side, and some recording, transcription, and related capabilities may be unavailable. Assess external and legacy communication segments separately, because protection may not extend uniformly across them. (Microsoft Teams end-to-end encryption guidance.)

Check governance, data location, and licensing together

Retention, DLP, legal hold, eDiscovery, audit logging, and communication review solve different problems. A platform may offer several of them without applying them to every type of conversation or file. Verify the relevant coverage, how administrators use the controls, and how records can be searched, preserved, or exported when required.

Microsoft’s Teams overview describes support for communication compliance, retention, DLP, eDiscovery and legal hold, audit log search, and Intune mobile application management. Microsoft also says the available information-protection capabilities depend on subscriptions and associated standalone licenses. Teams data resides in the geographic region associated with the organization’s Microsoft 365 or Office 365 organization. (Microsoft Teams security and compliance overview.)

Slack describes default encryption at rest and in transit, Slack Enterprise Key Management, audit logs, native and third-party DLP support, global retention policies, legal holds, and eDiscovery. It also describes data residency choices for a country or region for encrypted data at rest. Ask what data residency covers, what exceptions apply, and what the contract says about processing and lifecycle handling. (Slack security; Slack data residency.)

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Slack says access to customer data is restricted to service-operation needs and that technical controls and audit policies log access. Its described data return and deletion options and timelines vary by subscription and event, so procurement language should use the current contract and applicable plan rather than assume one universal timeline. (Slack security practices.)

Certifications and product claims are useful evidence to review, but they do not establish that your deployment meets every legal requirement. Microsoft lists ISO 27001, ISO 27018, SSAE18 SOC 1 and SOC 2, HIPAA, and EU Model Clauses in its Teams overview, while distinguishing certifications from regulations that require or recommend encryption. Slack says it can be configured for HIPAA compliance, including e-PHI. For either service, request evidence for the relevant scope and validate the configuration and contractual terms against your own obligations.

Use vendor examples as evidence, not as a winner list

The feature descriptions below illustrate how to verify claims. They are vendor-published descriptions, not independent comparative security tests, and they do not establish which service is right for a specific organization.

Area Microsoft Teams (vendor-described) Slack (vendor-described)
Encryption Encryption in transit and at rest; selective E2EE for supported calls and meetings when configured. E2EE does not cover chat messages or shared files in the cited scenario. (Microsoft overview; E2EE guidance.) Encryption at rest and in transit by default; Slack Enterprise Key Management is described. (Slack security.)
Governance Purview support described for communication compliance, retention, DLP, eDiscovery and legal hold, plus audit log search; available capabilities depend on licensing. (Microsoft overview.) Audit logs, native and third-party DLP, retention policies, legal holds, and eDiscovery are described. Confirm applicable plan and configuration. (Slack security.)
Data location Teams data resides in the geographic region associated with the organization’s Microsoft 365 or Office 365 organization. (Microsoft overview.) Data residency choices are described for encrypted data at rest; validate scope and exceptions. (Slack data residency.)

Run a pilot against real work and failure cases

A controlled pilot tests whether the promised controls work for the organization’s actual users and processes. Include representative teams, administrators, compliance or legal staff, and external collaborators where relevant. Test routine use as well as edge cases.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Configure identity and access: connect the intended SSO and MFA setup; test role separation, guest access, device policies, and account recovery.
  2. Check content coverage: test the message, file, channel, meeting, and call types users will rely on. For E2EE scenarios, confirm precisely what is protected and what recording, transcription, inspection, or integration functions are unavailable.
  3. Exercise governance workflows: apply retention and DLP policies, search audit events, and test legal hold, eDiscovery, communication review, and export with the relevant content types.
  4. Verify data handling: confirm the configured data location, cross-border processing implications, and the contractual terms for return, deletion, and lifecycle events.
  5. Test operations: involve administrators in incident handling, routine policy changes, partner collaboration, and migration or export procedures. Record manual workarounds and their owners.

Document the result for each requirement as verified, unavailable, plan-dependent, or unresolved. Do not treat an unresolved item as satisfied because it appeared in a product overview.

Make the decision and keep it reviewable

Select the platform that meets the organization’s mandatory requirements with an acceptable operational burden, after confirming the relevant plan, configuration, and contract. If two candidates remain viable, weigh workflow fit, integration, administrative effort, and total cost for the controls actually required—not just the headline encryption feature.

Keep the requirements and pilot findings as a decision record. Revisit them when the organization’s obligations, user population, threat model, product configuration, or licensing changes. Vendor feature pages can evolve, so revalidate material controls and contract terms rather than relying indefinitely on an earlier evaluation.
