Start with the way your restaurant serves guests
A POS that suits a quick-service counter may be a poor fit for a dining room with courses, open checks, and tableside payments. Write down the steps from order entry to kitchen preparation, payment, and end-of-day reconciliation before booking demos.

Build a requirements matrix
Mark each item as essential, useful, or not needed. Add a note about how you will test each essential feature during a demo.
- Order entry: menu size, modifiers, combos, special requests, discounts, and menu changes.
- Service style: table maps, open checks, courses, bill splitting, tips, handheld ordering, or fast counter and pickup workflows.
- Kitchen: kitchen display screens or printers, routing by station, and how online orders reach the kitchen.
- Sales channels: in-house, online ordering, delivery, and contactless ordering.
- Operations: inventory and food-cost tracking, employee permissions, scheduling, reporting, and multi-location administration.
- Guest relationships: loyalty, guest data, and reservation tools if you use them.
- Connections and assistance: accounting, payroll, reservations, and other integrations, plus the support you need during service.
Do not assume that a feature mentioned on a vendor’s general product page is included in the particular plan, bundle, or market you are considering. Have the vendor identify the exact plan feature and any add-on charge.

Match the shortlist to your workflow
Vendor comparisons can help narrow the field, but they are starting points, not proof that a system is universally best. Square’s comparison guide was published December 11, 2025, and says the side-by-side information was gathered in June 2025; confirm current plans and features directly.
| System | Potential reason to evaluate | What to verify |
|---|---|---|
| Square for Restaurants | Square’s guide presents it as an option for varied restaurant types, with a free plan and paid upgrades. | Confirm the precise features and current processing charges for the plan being quoted. |
| Lightspeed Restaurant | Square’s guide describes detailed inventory and menu tools as potential strengths for complex menus or stock-heavy operations. | The guide flags a higher starting cost and learning curve; its comparison information dates to June 2025, so confirm current plans, features, and price directly. |
| Toast | Toast’s guide emphasizes full-service workflows, handhelds, tableside service, and kitchen tools. | Toast says its services may be used only on approved Toast hardware. Confirm the exact device setup, contract, and payment terms. |
| Clover | Clover’s restaurant page shows configurable register and handheld bundles and describes functions such as table management, online ordering, and menu controls. | Ask for the exact hardware and plan price, and establish whether the seller is Clover or a reseller and whose terms apply. |
| TouchBistro | Square’s guide characterizes it as a dine-in-focused option with an iPad interface and offline mode. | Confirm current device requirements, offline limits, included features, and add-on costs with the provider. |
These descriptions reflect vendor-published material, not independent hands-on testing. Use a demo of your own workflows—not a general feature list—to assess fit.
Calculate the full cost, not just the subscription
Request an itemized quote using the same assumptions for every vendor: location count, device count, monthly card sales, average ticket, and the share of payments that are in person, online, or keyed. Compare first-year and renewal costs separately, and include the cost of leaving if the agreement imposes one.

Costs to include
- Software by location, device, or plan tier.
- Card processing by payment type, along with any platform, gateway, PCI, batch, or statement charges.
- Terminals, handhelds, customer displays, kitchen displays, printers, cash drawers, and network equipment, including purchase, financing, or rental costs.
- Onboarding, installation, training, paid features, support, taxes, and contract termination or equipment-return obligations.
Toast’s pricing page, last updated August 20, 2026, says its displayed new-customer price applies to single locations, includes the first hardware-terminal subscription, and has additional device charges. Toast also says upfront hardware and implementation costs vary with the equipment package and installation needs, so request a quote rather than inferring a project total. It describes its payment role this way: “Toast is not a payment card processor, but it is a payment facilitator that partners with processors to offer card processing services.”
Square’s US pricing page, accessed October 4, 2026, lists the following location subscription prices. Processing fees vary by plan; check the live rate table for the plan and your transaction mix before calculating costs.
| Square for Restaurants plan | Monthly charge per location | Additional listed cost |
|---|---|---|
| Free | $0 | Not stated for Kitchen Display System on this plan. |
| Plus | $49 | Kitchen Display System app: $30 per device per month. |
| Premium | $149 | Kitchen Display System app: $20 per device per month. |
Square says restaurants processing more than $250,000 annually can discuss eligibility for custom pricing and processing fees. Its hardware options start at $59. Those figures are vendor-published US examples, not a like-for-like comparison with another provider; payment volume, rates, hardware, add-ons, terms, discounts, and taxes affect the actual quote.

Clover’s restaurant page presents selectable combinations such as a Station Solo, optional handheld Flex, optional Station Duo, cash drawer, and receipt printer, and directs buyers to contact sales for displayed configurations. Get the prices and contract terms for the exact bundle in writing.

Count every device the workflow requires, including kitchen equipment and network gear, then ask the vendor to confirm compatibility. Hardware policies differ: Toast says its services may be used only on approved Toast hardware, so do not assume a third-party tablet, terminal, printer, or accessory will work.
Ask what happens to orders and payments if the internet connection fails, whether the specific device and configuration support offline operation, and how transactions sync or settle when service returns. Square says offline payments are submitted when connectivity returns and may be declined if the device does not reconnect within 24 hours. Make sure staff understand the operational steps and payment risk for the setup you are buying.

Verify integrations, support, and growth needs
Check that the tools you rely on work with the proposed plan and in your market. Ask which connections are native, which depend on a third party, what each costs, and who provides support when a connection breaks. Toast says direct DoorDash, Uber Eats, and Grubhub integrations can route orders into its POS and kitchen display system; its online ordering software and payment-processing fees apply.
For staffing and support, establish how employees are trained, who can change menus or issue refunds, and what help is available during your actual service hours. Toast says Toast Care is included with its software subscriptions and available 24/7 by phone or web messaging; confirm the terms for the specific subscription you are considering.
Ask these questions before you sign
- Which items in our requirements matrix are included in this exact plan, and which require an add-on or higher tier?
- What is the full first-year cost and renewal cost for our locations, device count, and payment volume?
- What are the effective charges for card-present, keyed, online, and other payment types we use? Are there platform, gateway, PCI, batch, or statement fees?
- Who owns or finances the hardware, what is the replacement policy, and which devices and peripherals are supported?
- What minimum term, renewal mechanism, notice window, early-termination fee, and equipment-return obligations apply?
- What happens to orders and payments during an internet outage, and what steps are required to sync or settle afterward?
- Can you demonstrate our real workflow, including modifiers, split checks, refunds, tips, kitchen routing, online orders, and end-of-day reconciliation?
- Which integrations are native, which rely on third parties, and what extra fees or support boundaries apply?
- How will menus, employee records, customer data, and reporting history be migrated, exported, or retained if we leave?
- What support hours and response channels are included, and what help is available during a live service incident?
Ask for answers and relevant terms in writing. Individual rates, contracts, and implementation costs depend on the restaurant and offer; public vendor pages do not establish what a particular buyer will be charged.
