Choose a Notion alternative by deciding what “private” means to you, then matching that requirement to your workflow. Local storage, end-to-end encryption, self-hosting, offline access, and stronger team controls are different things; no one candidate is a universal upgrade. For a familiar pages-and-databases workspace, consider AppFlowy; for local-first, privacy-oriented knowledge management, consider Anytype; for collaborative documents and visual planning, consider AFFiNE. If your main need is a team wiki, look at Docmost or Outline.
What does “private” mean for your workspace?
Before comparing apps, identify the privacy or control property you actually need. “Private” can mean that files stay on your device, that a provider has less access, that only you can decrypt content, that you operate the server, or simply that notes remain usable without an internet connection. These are not interchangeable guarantees.

- Local-first storage: Notes are designed to live on your device, with syncing or backup handled separately. Ask how devices sync and how you recover data if a device is lost.
- End-to-end encryption: Content is encrypted so that the service provider is not able to read it under the system’s intended design. Check the current technical documentation and recovery model rather than inferring this from “encrypted” or “private” marketing.
- Self-hosting: You operate the service infrastructure, which can increase control over deployment and storage. It also makes you responsible for updates, uptime, backups, and recovery.
- Offline use: You can work without a network connection. This alone does not establish that data is encrypted or inaccessible to a provider when synced.
- Team administration: Sharing, permissions, and administrative controls determine who can see or change team content; they are separate from encryption and hosting.
What Notion says about its security
Notion says customer data is encrypted at rest using AES-256 and data in transit uses TLS 1.2 or greater. Its security documentation also describes AWS hosting, employee access for troubleshooting or recovery, and the use of third-party subprocessors. Those statements describe Notion’s stated security posture; they do not amount to a promise that only the customer can decrypt workspace content. Review Notion’s security and privacy documentation against your own requirements.

| Option | Consider it when | Check before choosing |
|---|---|---|
| AppFlowy | You want a familiar workspace built around pages, nested documents, and database-oriented work, with local-first or self-hosting options. | Verify the collaboration maturity you need, database views, import behavior, device support, and current hosting and plan terms. Its product claims are vendor-authored positioning, not an independent review. |
| Anytype | Local-first use and privacy-oriented data handling matter more than reproducing Notion’s page hierarchy exactly. | Make sure its object and type model suits you; also check sharing, sync and recovery, and current plan limits. Its model may take adjustment. |
| AFFiNE | Your work moves between collaborative documents and visual planning or whiteboards. | Check whether its canvas model fits your projects, how self-hosting would be operated, and whether the collaboration features you need are available in your intended deployment or plan. |
| Docmost | Your primary need is a self-hosted team wiki or shared documentation. | Confirm that a wiki covers your project and personal-note workflows, and verify current permissions and hosting details. |
| Outline | You want a polished, web-based team wiki. | The cited comparison reports a Business Source License caveat and no native offline mode. Check current license terms and product documentation before adopting it. |
| Notion | Its hosted collaboration and established workflows matter more to you than moving to another privacy or control model. | Review its current security documentation and decide whether provider access, subprocessors, and hosted storage fit your needs. |
AppFlowy’s description of its product is useful for understanding its intended fit, but it is vendor-authored. The comparisons from WorkTechJournal characterize their analysis as structural rather than long-term production use; the SoftAid comparison is another secondary overview. Treat feature, hosting, license, and plan details as changeable, and confirm them with the product’s current documentation.
How to compare the finalists
Once you have a shortlist, compare the same needs in each product. A privacy label or feature checklist will not tell you whether the app can support your actual workspace.

- Structure: Do you need nested pages, relational databases, formulas, rollups, or project views? Check the behavior you depend on rather than assuming a database-like screen works the same way across products.
- Collaboration: Decide whether you need shared pages, simultaneous editing, small-group sharing, granular permissions, or only personal sync. These collaboration models and their maturity differ among the options.
- Offline and devices: Confirm offline behavior on the specific devices you use, including what can be edited offline and how changes sync afterward.
- Portability: Test both export and import with real examples. A workspace can retain readable text while losing structured behavior.
- Operations: If you self-host, include deployment, updates, uptime, backup, and recovery in the decision—not just the initial installation.
Current prices and plan limits are not established here, so check each vendor’s current plan and hosting pages before committing. The same applies to feature availability, license terms, and supported devices.

- Export a representative section of your Notion workspace, including examples of the pages and projects you actually use.
- Import that export into one or two candidate apps and note any unsupported content or conversion warnings.
- Check page hierarchy, text, images, links, and attachments against the original.
- Inspect databases separately. Test relations, rollups, formulas, views, and permissions; these may require cleanup or reconstruction rather than transferring as working equivalents.
- Keep the original export until the new workflow works and you have tested how its data can be backed up and recovered.
This small trial distinguishes a readable copy from a usable replacement. In particular, do not assume that preserved text means a database’s relationships or calculations have survived.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. When a wiki is a better fit than a Notion replacement
For team documentation, the primary decision may be whether you need a wiki rather than a broad personal-notes and project workspace. Docmost and Outline are presented as team-wiki options, so assess them against shared documentation, permissions, and how your team expects to publish and find information. If you also rely on personal notes, project databases, or offline work, check those requirements separately instead of assuming a wiki will replace them.
