Choose Business Basic when browser and mobile Excel are sufficient, and consider Business Premium when security and device-management controls justify its higher price. Individuals and households should compare Microsoft 365 Personal and Family instead of defaulting to a business subscription. Your automation requirements must be assessed separately: a Microsoft 365 plan may include limited Power Automate use rights, but premium connectors, desktop automation and other capabilities can require additional licensing.
Start with the decision that matters: who needs Excel, and where will they use it?
Microsoft 365 plan selection is easier when you answer four questions before looking at prices:
As an Amazon Associate I earn from qualifying purchases.
- Does each person need the installed Windows or Mac Excel application, or are web and mobile apps enough?
- Will workbooks be stored in a shared cloud location so several people can edit the same file?
- Is the automation a simple cloud workflow, or does it require premium connectors, desktop control, attended or unattended runs, or another separately licensed capability?
- Does the organization need business email, centralized administration, device management or advanced threat protection?
The answers usually narrow the choice to one of three business plans, or to Personal or Family for non-business use. Price should be checked only after the edition, country and packaging are confirmed. Microsoft sells different variants by market, and Teams or Copilot availability can change the comparison.

Business plans compared for Excel
| Plan | Excel and Office apps | Collaboration and services | Organization controls | Best fit |
|---|---|---|---|---|
| Business Basic | Web and mobile Office apps; no installed desktop Excel in the retrieved comparison | Business email, cloud storage and browser-based collaboration | Business-oriented administration; fewer security and device controls than Premium | Teams that work in a browser or on phones and do not require desktop Excel |
| Business Standard | Desktop, web and mobile Office apps | Includes the services supplied with Basic, including cloud collaboration | Standard business administration | Small businesses that need installed Excel plus shared cloud workbooks |
| Business Premium | Desktop, web and mobile Office apps | Includes the services supplied with Standard | Advanced cyberthreat protection and device management | Organizations whose security or endpoint-management requirements justify the upgrade |
Microsoft’s Business plans FAQ describes Business Standard as combining desktop, web and mobile versions of Excel and the other core Office apps with the same services as Business Basic. The useful distinction is therefore not that Standard makes an Excel workbook more powerful; it supplies the installed application that Basic does not.
#1 Best Overall
Business Basic: browser-first Excel
Choose Basic when users can complete their work in Excel for the web or on mobile devices. It can be economical for light editing, review, data entry and shared workbook access. Test the actual files before committing: a workbook that depends on a desktop-only feature, local add-in or a desktop automation step can turn a seemingly adequate Basic deployment into a frustrating workaround.
Business Standard: the desktop Excel baseline
Standard is the straightforward baseline for a business team that creates or maintains substantial workbooks on desktop computers. It combines installed Excel with web and mobile access, so a user can work locally when needed and still participate in cloud coauthoring. It is generally the most balanced choice when the main requirement is Excel collaboration rather than advanced security tooling.
Business Premium: buy controls, not workbook complexity
Premium adds advanced cyberthreat protection and device management to the app and service set. Select it when the organization must enforce security or manage company devices centrally. A complex formula, large pivot table or elaborate workbook does not by itself require Premium; those are Excel workload questions, not the security and management capabilities that distinguish this tier.
Consumer plans: Personal or Family?
For an individual or household, compare the consumer subscriptions rather than assuming a business license is necessary. The US consumer comparison retrieved for this guide lists Personal for one person and Family for one to six people, with up to 6 TB of Family storage—1 TB per person.
| Plan | People covered | US price shown in the retrieved comparison | When it fits |
|---|---|---|---|
| Microsoft 365 Personal | One person | $9.99 per month or $99.99 per year | One individual using desktop, web and mobile Office apps |
| Microsoft 365 Family | One to six people | $12.99 per month or $129.99 per year | A household sharing the subscription and storage allowance |
Those are US figures captured from Microsoft’s consumer page, not a worldwide or permanent quote. Confirm the live price, tax, currency, renewal terms and included apps in your market. Consumer and business plans serve different administrative needs: Microsoft says business offerings add professional domain email, administrator controls and features intended to scale an organization.
How Excel collaboration actually works
A subscription alone does not make every workbook collaborative. Microsoft’s business comparison describes secure cloud storage and real-time coauthoring across devices through OneDrive. To make that useful, the file must be stored in an appropriate shared cloud location, and every collaborator needs compatible access.
Set up a reliable shared-workbook workflow
- Choose the file owner and location. Put the working copy in the organization’s approved OneDrive location rather than leaving the only copy on one employee’s computer.
- Share with named collaborators. Use the organization’s sharing controls and give people the minimum access they need. Do not distribute multiple emailed copies that later have to be reconciled.
- Open the cloud copy in the right Excel client. Browser and mobile users can use the web or mobile app; users who need installed Excel must have a plan that includes the desktop application.
- Test simultaneous editing. Have two licensed users change separate cells, check that edits appear, and verify how the workbook behaves when someone is offline or using an unsupported feature.
- Document ownership and recovery. Decide who can restore an earlier version, remove access and handle a departing employee. Collaboration is an operating process, not only a license feature.
Before promising a particular workflow, confirm the tenant’s sharing configuration and the exact license assigned to each person. A team can have the right plan on paper and still fail to coauthor if files remain local, external sharing is restricted or a collaborator lacks the necessary access.

Separate Excel automation from the Microsoft 365 plan
“Automation” covers several different workloads. Treating them as one feature is the most common licensing mistake.
Basic cloud flows
A basic cloud flow might watch for a new file, send a notification, copy data between supported services or run an Excel action in the cloud. Microsoft’s business comparison identifies Power Automate use rights for select business plans and describes cloud flows, but the comparison is not a complete entitlement matrix. Verify the exact plan, tenant and connector before deployment.
Premium connectors and paid capabilities
When a flow uses a premium connector or another feature outside the included rights, a separate Power Automate license may be required. Microsoft’s Power Platform Licensing Guide dated June 2025 printed these figures: $15 per user per month for Power Automate Premium and $150 per bot per month for Power Automate Process. They are values in that dated guide, not a current universal price promise. Check the current licensing terms and your region before budgeting.

Desktop automation
Desktop automation controls applications or a computer session rather than only calling cloud services. Determine whether runs are attended (a person is present) or unattended (the process runs without a user), which machines will execute them and whether the required entitlement is included or must be purchased separately. Do not infer desktop rights from the presence of Excel or from a cloud-flow allowance.

Excel actions and connector limits
List every connector and Excel action the proposed process will use. A flow that reads and writes a workbook in a supported cloud location is a different licensing case from one that reaches a premium data source, invokes desktop automation or operates across multiple environments. The retrieved Microsoft material does not establish a complete matrix for every commercial plan variant, so obtain a current, plan-specific confirmation before signing off on production use.
A step-by-step plan-selection method
Step 1: classify the users
- One person or household: compare Personal and Family.
- Business team with managed identities and business email: compare Business Basic, Standard and Premium.
- Mixed workforce: map each role separately; not every person necessarily needs the same app or automation rights.
Step 2: decide whether desktop Excel is mandatory
Ask users to identify the tasks they cannot perform in the browser: local add-ins, specialized file handling, offline work, advanced analysis or existing desktop-based procedures. If any role genuinely needs installed Excel, Basic alone is not the safe default for that role; Standard or Premium supplies desktop, web and mobile apps.
Step 3: design the collaboration test
Use a representative workbook, not an empty test file. Store it in the intended cloud location, invite the real roles, edit concurrently from desktop and browser clients, and test version recovery. Record unsupported features and decide whether they are blockers or acceptable exceptions.
Step 4: inventory the automation
- Write the trigger, Excel actions, data sources and outputs in plain language.
- Mark each connector as standard or premium according to the current Microsoft licensing documentation.
- Identify whether any desktop run is attended or unattended.
- List the people who build, own, monitor and merely use the flow.
- Request a current entitlement review for the exact commercial plan and tenant.
Step 5: assess organizational controls
Choose Premium when advanced cyberthreat protection or device management is an explicit requirement. If those controls are not needed, do not pay for Premium solely because a workbook has many formulas or a flow has several steps.
Step 6: verify market and edition
Confirm the billing country, currency, tax treatment, annual versus monthly commitment, and whether the offer is a Teams or non-Teams edition. Copilot packaging can also affect the plan presented to you. The retrieved prices are from US Microsoft pages and may not match your market.
Step 7: pilot before broad assignment
Assign the proposed plan to a small group, run the collaboration and automation tests, then inspect sign-in, sharing, flow-run history and recovery procedures. Expand only after the pilot confirms that every role has the app and automation rights it actually uses.
Current price reference and budgeting cautions
| Offer | Displayed price | Qualification |
|---|---|---|
| Business Basic | $6.00 per user per month, paid yearly | US business comparison; pricing and packaging can change |
| Business Standard | $12.50 per user per month, paid yearly | US business comparison; confirm edition and current offer |
| Business Premium | $22.00 per user per month | US business comparison; confirm billing commitment and market |
| Power Automate Premium | $15 per user per month | Figure printed in Microsoft’s June 2025 Power Platform Licensing Guide; not a current universal quote |
| Power Automate Process | $150 per bot per month | Figure printed in the same June 2025 guide; verify current terms |
Use these numbers as orientation only. A final budget should include the exact country, commitment term, tax, user count, Teams or non-Teams packaging, Copilot options and any separate Power Automate licenses. Do not assume that upgrading every Excel user to Premium is cheaper than licensing a smaller set of automation owners for the capabilities that require it.

“Basic includes Excel, so desktop users are covered.”
Basic includes web and mobile Office apps in the retrieved comparison, not the installed desktop apps. Move desktop-dependent roles to Standard or Premium, or redesign the process around the browser after testing.

Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →“The workbook is shared, so every automation will run.”
Sharing supports coauthoring, but flows still depend on connector rights, file location, permissions and the service account or user connection. Recheck each dependency in the pilot.
Best Value
“Premium is required because the workbook is complicated.”
Premium’s documented distinction is advanced threat protection and device management. Select it for those controls; choose the app tier and automation licenses based on actual workload requirements.
“A Microsoft 365 subscription includes all Power Automate features.”
It does not. Included use rights are plan- and capability-specific. Premium connectors, desktop automation and other advanced scenarios can require separate licensing.
“The US price applies everywhere.”
It does not. Microsoft’s retrieved comparisons are US pages. Recheck local currency, tax, commitment, Teams/Copilot packaging and availability at purchase time.
Optional Excel learning support
Readers who need structured Excel instruction may find Microsoft 365 Excel For Dummies by David H. Ringstrom useful; Wiley lists its publication date as April 21, 2025, with collaboration and automation topics among the contents. It is a learning resource, not a Microsoft 365 license, and it does not unlock subscription features.
Quick Recap
