Set a documented period for each meaningful log class, based on what the logs must help you do, how far back you need to investigate, applicable laws and contracts, the data’s sensitivity, and the cost of storing and retrieving it. Then make sure the rule covers exports, backups, and other copies as well as the original logs.
Choose by log class and purpose, not by a default number
Security investigations, customer audit evidence, operational troubleshooting, and temporary debugging are different jobs. A single retention period for every stream can keep sensitive data longer than necessary while still leaving important security events unavailable when needed. The UK National Cyber Security Centre (NCSC) advises SaaS users to decide where application logs will be retained and how long they will be kept; NIST describes log management as a lifecycle from generation through disposal. 1. Inventory the logs your app actually produces
List each stream, where it originates, who owns it, and whether it can be exported. Typical classes include:
- Authentication and authorization events, such as successful or failed logins and permission changes.
- Privileged or administrative actions, including tenant configuration changes and access to customer data.
- Security alerts and abuse-related events.
- Application errors, routine request or access logs, and infrastructure events.
- Temporary debug output, which may contain unusually detailed data and should not be allowed to persist by accident.
NIST SP 800-171 Rev. 3 gives examples of events organizations may select for logging, including password changes, privileged functions, failed logons or access attempts, administrative privilege use, and third-party credential use. The relevant event set depends on the system and its risks. NIST SP 800-171 Rev. 3

Minimize what you collect
Retention is only one part of the data lifecycle. Avoid putting passwords, session identifiers, or other secrets in logs. For sensitive fields that are genuinely needed, consider exclusion, masking, sanitization, hashing, or encryption. OWASP recommends controlled disposal of logs and their copies as well as careful handling of sensitive data. OWASP Logging Cheat Sheet
2. Define the job and lookback for each stream
For every class, write down who needs it, what decision it supports, and how far back that person must be able to search. Possible purposes include incident investigation, security monitoring, abuse response, customer audit evidence, debugging, and reliability analysis. NCSC says activity logs should be sufficient to investigate activity and rectify an unsanctioned change. PCI SSC describes the goal of its logging requirements as reconstructing who did what, where, when, and how when unexpected or unauthorized activity occurs. Distinguish immediate searchability from total retention. Responders may need recent events searchable at once, while older records might be retrievable from a protected archive if that access delay still meets the purpose and any applicable requirement. Decide this explicitly rather than assuming that an archive is equivalent to searchable history.

GDPR does not prescribe a universal log-retention duration
Where GDPR applies, Article 5(1)(c) requires personal data to be adequate, relevant, and limited to what is necessary, while Article 5(1)(e) says identifiable data should not be kept longer than necessary for its processing purpose, subject to the stated exceptions. The Regulation gives principles, not a standard number of days for SaaS logs. Apply the principles to the actual processing context and avoid collecting unnecessary personal data in the first place. GDPR, Article 5
PCI DSS is a scoped example, not a SaaS-wide default
The cited PCI DSS v4.0 SAQ D for Service Providers, dated April 2022, reproduces Requirement 10.5.1: retain audit-log history for at least 12 months, with the latest three months immediately available for analysis. This applies to entities within the relevant PCI DSS scope; it is not a generic benchmark for every SaaS app. Verify the current standard and your precise applicability with the responsible compliance professional before making a compliance claim. Do not assume SOC 2 sets a fixed duration
A generally applicable SOC 2 retention period is not established here. Check the commitments, control design, and audit scope that apply to your organization instead of treating an unsourced number as a SOC 2 rule.
4. Compare practical retention options
When choosing between candidate periods or storage arrangements, assess each log class against the same questions. These are decision criteria, not a formal scoring system:

- Usefulness: Can responders and engineers answer the questions they actually face over the required lookback?
- Availability: Is the data immediately searchable, recoverable from an archive, or available only through a provider request?
- Privacy and sensitivity: What personal data or secrets are present, and can collection or detail be reduced?
- Integrity and access: Can an administrator or compromised application credential change or delete the evidence?
- Requirements: Which law, contract, customer commitment, or scoped standard applies to this particular class?
- Lifecycle coverage: Will exports, backups, extracts, and temporary debug files expire consistently?
- Cost and operating effort: What do storage, retrieval, monitoring, and ownership require?
5. Document and implement the policy
Use a policy entry for each class so engineers and reviewers can see why its period exists and how it is enforced. Include:
- Event class and source system.
- Purpose and required investigation or troubleshooting lookback.
- Data sensitivity and any collection minimization or masking rules.
- Applicable legal, contractual, or scoped compliance driver.
- Retention period, storage tier, owner, and deletion method.
- Review trigger, such as a change in product behavior, customer commitments, or applicable requirements.
NIST’s log-management guidance includes storing, accessing, and disposing of log data; NCSC calls for decisions about both retention location and duration. A storage budget can help determine a tier or sampling approach, but it does not override a binding retention requirement or justify retaining personal data without a purpose. NIST SP 800-92 · NCSC logging and monitoring guidance
6. Apply the rule to exports, backups, and copies
If a SaaS provider’s native retention is too short for the documented need, export the relevant activity logs to a controlled external store or security operations center (SOC). Protect access, prevent unauthorized modification or deletion, and check that exported records can be retrieved and interpreted. NCSC specifically advises protecting activity logs against tampering and exporting them to secure external storage or a SOC when native retention is insufficient. NCSC logging and monitoring guidance
Include archives, backups, extracts, and temporary debug logs in the same lifecycle. OWASP states: “Log data, temporary debug logs, and backups/copies/extractions, must not be destroyed before the duration of the required data retention period, and must not be kept beyond this time.” In practice, define how each copy expires and verify the process rather than assuming deletion of the primary log removes every retained copy. OWASP Logging Cheat Sheet
7. Revisit the decision when circumstances change
Review the policy when incident-response experience shows the lookback is insufficient, the architecture or data collected changes, customer commitments shift, applicable requirements change, or storage costs materially alter the available options. NIST SP 800-171 Rev. 3 calls for organizations to specify event types and review and update those selections; NCSC recommends periodically exercising monitoring and detection tooling.
