Choose a data loss prevention (DLP) tool by first identifying the sensitive data you need to protect and the ways it could be exposed—such as email, shared files, cloud apps, endpoint actions, or removable media. Then match those workflows to the product’s actual coverage, confirm every required license, and decide whether your organization can operate and tune its policies. A DLP feature in Microsoft 365 or Google Workspace may be enough for some needs, but it does not automatically cover every device, app, or data path.
Start with the information and actions you need to protect
DLP is not just a checkbox or a single type of product. NIST’s CSRC glossary, attributing its definition to CNSSI 4009-2022, describes DLP as the ability to identify, monitor, and protect data at rest, in motion, and in use through content inspection and contextual analysis within centralized management (NIST CSRC glossary).

Turn that broad definition into a short list of concrete risks for your organization. For example:
- A staff member shares a customer file with an external recipient.
- Someone emails personal or financial details to an address outside the organization.
- A user copies sensitive content from an endpoint to an unapproved destination.
Write down the data categories involved, who handles them, and which actions should be allowed, warned about, or blocked. Microsoft’s planning guidance likewise recommends identifying stakeholders, defining sensitive-data categories, and setting goals before designing policies (Microsoft Purview DLP planning).
#1 Best Overall
- THREAT DETECTION – Stay one step ahead. Suspicious links, risky sites, viruses, and scams, caught automatically before they reach you.
- PERSONAL INFO PROTECTION – Keep your personal info safer. Identity monitoring watches for your exposed info and tells you what to do about it.
- SECURE CONNECTIONS – Just a few clicks, and your info stays protected on public Wi-Fi every time you connect.
- PERSONAL DATA SCANS – Take your info off the market. We’ll find your personal information on sites selling it, then guide you on how to remove it.
- SOCIAL PRIVACY MANAGER – Decide what you share. McAfee finds the privacy settings buried in your social accounts and fixes them.
Map where data lives and how it moves
Make an inventory of the locations and channels employees actually use: cloud storage, email, laptops, business applications, removable media, and any other relevant routes. Separate cloud-service controls from endpoint, email, and network requirements.
A control for files in Drive or SharePoint does not, by itself, establish coverage for every action on a laptop, every third-party application, or an unmanaged cloud service. Check each candidate against the specific locations and activities you need it to cover. Microsoft’s documentation distinguishes DLP locations and endpoint setup requirements; Google describes Drive and Gmail coverage separately (Microsoft DLP locations; Google Workspace DLP).
Compare candidates on the same requirements
Use one checklist for every option, including features already available in your current productivity platform. Compare the scope you need—not the length of a vendor’s feature list.

| What to compare | Questions to answer |
|---|---|
| Locations and channels | Does it cover the repositories, email, endpoint actions, and other routes in your data map? |
| Endpoint support | Which operating systems are supported, and what onboarding or connectivity setup is required? |
| Detection and actions | Can it identify the relevant data and apply the actions you need, such as alerting, warning, or blocking? |
| Licensing | Which plan or add-on covers each user, workload, and feature in scope? |
| Investigation and audit | Can the right staff see alerts, investigate incidents, and review what happened? |
| Operations | Who will write, test, maintain, and tune policies and triage alerts? |
| Work impact | Could the rules interrupt legitimate work, and how will users handle exceptions? |

Microsoft Purview
Microsoft describes DLP across Microsoft 365 locations, with endpoint coverage available after devices are onboarded. Its getting-started material lists Windows 10 and Windows 11, as well as recent macOS releases, for endpoint monitoring; onboarding and cloud connectivity are among the setup considerations (Microsoft Endpoint DLP deployment).
Rank #3
Entitlement varies by feature. Microsoft’s licensing table lists DLP for Exchange Online, SharePoint, and OneDrive in several plans, while Endpoint DLP is listed for E5 and specified Purview add-on plans (Microsoft Purview licensing). Verify the current entitlement for every covered user and intended workload rather than relying on a plan name or an older comparison.
Google Workspace
Google documents Drive DLP for eligible editions, with rules applying to My Drive and shared drives, and Gmail DLP for eligible editions, where messages and attachments are scanned against rules (Google Workspace DLP). This describes those services; it is not evidence of universal endpoint or third-party application coverage.

- ONGOING PROTECTION Download instantly & install protection for 3 PCs, Macs, iOS or Android devices in minutes!
- TOP-PERFORMING VPN Faster speeds, more server locations, and greater connection control to protect your privacy across all your devices, including Smart TVs.
- ADVANCED SCAM PROTECTION Help spot hidden scams online. With the built-in Genie AI assistant, you’ll never wonder if a message or email is suspicious again.
- REAL-TIME PROTECTION Advanced security protects against existing and emerging malware threats, including ransomware and viruses, and it won’t slow down your device performance.
- DARK WEB MONITORING Identity thieves can buy or sell your information on websites and forums. We search the dark web and notify you should your information be found.
Google’s Workspace pricing page labels DLP as an Enterprise feature, lists Enterprise as contact-sales, and states a 300-user maximum for Starter, Standard, and Plus (Google Workspace plans and pricing). Plan details and pricing are time-sensitive, so confirm the current terms before purchase.
Include the work required to run DLP
A tool is only useful if someone can deploy and operate its controls. Account for the time to translate risks into policies, test them, review alerts, investigate incidents, and adjust rules as workflows change. Microsoft’s guidance treats planning, alert investigation, and tuning as part of deployment, and notes that adopting DLP can change processes and user behavior (Microsoft Purview DLP planning; Investigate DLP alerts).

Before choosing a product, name an owner for policy changes and incident review. If no one has time to handle routine matches and exceptions, a broad set of blocking rules may create friction without delivering a control the organization can maintain.
Pilot policies before enforcing them widely
- Select representative data and workflows. Include normal work as well as the risky actions your policy is meant to catch.
- Run policies in an observation or test mode where available. Review what matches and which legitimate tasks could be affected.
- Investigate false positives and missed cases. Adjust detection rules and exceptions based on actual workflows.
- Enforce gradually. Apply disruptive actions only after the policy behaves as intended for the people and data in scope.
Detection is not guaranteed. Google’s Drive DLP FAQ says, “We can’t guarantee that all sensitive data will get caught and flagged,” and describes possible false positives, false negatives, and file types that are not eligible for scanning and evaluation (Google Drive DLP FAQ). That is a reason to pilot and tune any detection system, not evidence that another product detects everything.
Make the selection against your real scope
Choose the smallest viable option that covers the data paths and actions you identified, fits the licenses you can assign, and has an owner who can operate it. Native DLP may suit an organization whose needs stay within its current platform’s documented locations and eligible plans. If your requirements include endpoint or other coverage beyond those boundaries, confirm that a broader control is available and supported before treating the platform feature as sufficient.
