Choose a construction project management system by starting with the coordination problems your team needs to fix, then testing shortlisted systems against real office and field workflows. Compare usability, integrations, implementation, licensing, and total contract cost—not just feature lists. There is no universal best choice, and current comparable prices are not established here; get quotes and verify the details for your own team and software stack.
Start with the work that is breaking down
Before booking demos, trace how a project moves through your company: from estimate and project setup to execution and closeout. Record where information gets lost, delayed, re-entered, or left out of view. Procore’s selection guidance recommends assessing company needs and assembling a buying team before choosing a system (Procore’s selection guidance, updated Dec. 10, 2025).

Look for recurring friction such as:
- Teams entering the same project information in multiple places.
- People working from superseded drawings or struggling to find the current specification.
- RFIs, submittals, or approvals that are difficult to track through to a decision.
- Project managers lacking timely visibility into commitments, costs, or schedule changes.
- Field updates, photos, or daily records that do not reliably reach the office.
- Closeout information that is scattered across messages, folders, and applications.
Prioritize problems by frequency, impact, and the roles affected. A system should address named problems in your workflows; a long feature list is not a substitute for that fit.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesDefine the workflows the system must support
Turn the problems you identified into concrete requirements. Procore’s buyer guide and product pages describe capabilities such as scheduling, RFIs, submittals, drawings and document control, daily logs, photos, cost tracking, reporting, and field-to-office coordination (Procore buyer’s guide; Procore product page). Use these categories to frame your questions, not as proof that a particular product will suit your process.

Separate requirements into three groups:
- Must have: workflows the team cannot run reliably without, such as controlled drawing revisions or a traceable RFI process.
- Important: capabilities that would reduce friction or improve visibility but have a workable current alternative.
- Optional: features that sound useful but do not solve a defined problem today.
For each must-have, write down who creates the record, who reviews it, who needs to see it, and what should happen next. This makes it easier to tell whether a demo shows a real workflow or merely a screen with the right label.
Test the system with the people who will use it
Include project managers, superintendents, and other likely users in demonstrations or a pilot. Give every vendor the same representative scenario and ask the team to perform tasks, rather than relying on a presentation. Procore describes mobile access to current drawings, daily reports, photos, RFIs, submittals, and schedules, as well as offline functionality; verify what is available in the proposed configuration and how it behaves for your users (Procore product page).

- Record a daily update and attach a photo using a mobile device.
- Create or respond to an RFI, then trace its status and approval history.
- Find a submittal and see how review and approval are recorded.
- Check a schedule change and determine who can see it and how it is communicated.
- If crews face unreliable connectivity, test a realistic offline task, then reconnect and check what syncs and whether any conflicts require attention.
Ask occasional users and trade partners to try the relevant tasks as well as frequent office users. Note where people hesitate, need extra training, or resort to a separate message or spreadsheet to finish the work. Do not treat a feature as usable simply because it appears in the demo.

Autodesk says its Forma construction offering has more than 400 pre-built integrations, while Procore reports over 400 out-of-the-box integrations. These are vendor-reported counts, not independent measures of integration quality or evidence that a specific connector is available, included, or suitable for your configuration (Autodesk Forma for general contractors; Procore product page). Make the vendor demonstrate your required connection rather than relying on a broad count.

Use a scorecard to make the decision
Build a weighted scorecard from your must-haves before vendor demonstrations. Choose weights that reflect your actual priorities; for example, a contractor with field connectivity problems may weigh mobile and offline usability more heavily than an optional reporting feature. Score each shortlisted system against the same scenario and keep evidence alongside the score.
| Evaluation area | What to verify | Evidence to record |
|---|---|---|
| Workflow coverage | Project controls, document revisions, RFIs, submittals, schedules, cost visibility, quality or safety needs, and closeout. | Whether the team completed each required scenario and what remained outside the system. |
| Field usability | Mobile navigation, offline behavior where needed, and ease of use for occasional users and trade partners. | Task completion, points of confusion, sync behavior, and user feedback. |
| Data and integrations | Connections to accounting, ERP, and other required systems; record ownership and error handling. | Demonstrated data flows, manual steps, failures, and unresolved configuration questions. |
| Scale and licensing | User, project, storage, and module terms as workload and headcount change. | Written terms and any thresholds, exceptions, or added costs. |
| Implementation and adoption | Configuration, migration, training, support, and internal effort to deploy. | Proposed responsibilities, timeline, services, and ongoing administration needs. |
| Total cost and contract | Current quote, renewal and expansion terms, and required services. | Comparable written quotes and contract details reviewed by the appropriate decision-makers. |
Autodesk University’s 2024 session description about Clancy & Theys Construction Company discusses future needs, stakeholder engagement, standardization, deployment, and buy-in as parts of software selection (Autodesk University session). Apply the same discipline in your own evaluation: involve affected teams, agree on how work should be standardized, and assess what adoption will require before committing.
For every vendor, record pass or fail against each must-have, user feedback, integration results, and open risks. If a critical workflow or connection cannot be demonstrated, treat it as unresolved—not as a capability to assume will work after purchase.
