How to Check Whether Your Medical Provider Uses Epic—and What Data It Stores

MyChart can be a clue that a provider uses Epic, but the office can confirm. Here’s what information may be stored, who operates the system, and how to review sharing access.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check the patient portal linked from your provider’s official website, or ask the office directly whether its electronic health record runs on Epic. MyChart is Epic’s patient portal, but some healthcare organizations use a different portal name, so MyChart’s presence—or absence—is not conclusive. Epic says its systems can manage information such as test results, medications, surgeries, address, and date of birth; the exact record depends on the provider. For questions about your own chart, sharing, privacy, or copies, contact the provider’s medical records department or privacy officer.

How to find out whether your provider uses Epic

  1. Visit the healthcare organization’s official website and look for “MyChart,” “patient portal,” or “Epic.” Follow the portal link from that site rather than relying on a generic search result.
  2. If the portal has another name, ask the office: “Does your electronic health record run on Epic, and what is the name of your patient portal?” Epic says organizations using its software likely offer MyChart, but may give the portal a local brand name. See Epic’s patient guidance.
  3. If certainty matters, get confirmation from the provider. MyChart is a useful clue, but a portal feature or a connection to a third-party app does not by itself establish which system a particular clinic uses.

What information may be in an Epic record

Epic’s patient guidance says a doctor’s office using Epic can store and manage health information, naming test results, medications, surgeries, address, and date of birth as examples. The information shown in a portal or made available for a particular purpose can differ by provider and account; these examples are not a guarantee that every organization stores or displays every category. Epic’s contact page describes the general record, while its patient resources show examples tied to specific features:

  • Third-party app access: Depending on the authorization, an app may retrieve categories such as lab results, allergies, medications, and immunization history. The categories and duration may be selectable. New information added to the record during the authorization period may also be accessible to the app. Epic’s patient-authentication guide explains the process.
  • Share Everywhere: A person receiving a temporary share code can see a subset of information from the patient’s MyChart account. Epic lists examples including medications, allergies, health issues, immunizations, care gaps, lab results, medical history, visit records, and code status. This is not described as access to the complete medical record. The Share Everywhere FAQ covers the feature.
  • Portal functions: MyChart can support appointment viewing and scheduling, test-result review, and messages to a care team. Which functions are available depends on the healthcare organization. Epic’s patient guidance describes MyChart as its patient portal.

Ask the provider about the contents of your specific chart, what is visible through your account, retention, restrictions on sensitive records, and how to request a correction. A general list of possible categories cannot answer those record-specific questions.

Who operates the system, and who can answer questions?

For patients’ medical information, the key distinction is between the provider’s clinical system and limited account information associated with a particular Epic service. Epic’s Mobile Application Privacy Policy for Patients, last updated August 12, 2025, says MyChart apps connect to systems operated and maintained by healthcare organizations. It says Epic does not receive or store copies of health or fitness data transmitted to those organizations through the apps.

  • Portable and Durable Design: Features a sturdy bookbound hardcover construction measuring 5-3/4 inches wide by 8-1/4 inches high, making it perfectly sized to carry to medical appointments while protecting your sensitive health information with 128 pages of organized record-keeping space
  • Convenient Access Features: Includes an elastic band attached to the back cover that keeps your place during use or securely closes the book when not in use, ensuring your personal health records remain private and easily accessible whenever you need them

The same policy identifies a separate case: MyChart Central accounts have limited personal information—including name, date of birth, and contact information used to link accounts—stored on Epic-owned servers in the United States. The policy statement about app transmissions should not be read as a claim about every Epic service or every data flow.

For what is in your record, how the provider shares it, how to obtain a copy, or how to raise a privacy concern, contact that organization’s medical records department or privacy officer. The rules that apply depend on your location and circumstances. Epic’s patient guidance gives HIPAA in the United States, GDPR in Europe, and the Privacy Act in Australia as examples; it does not establish which law applies to every patient. Epic directs patients to their healthcare organization for record-specific questions.

How to review or share access to your information

Third-party apps

  1. Create an account with the provider’s patient portal if you do not already have one.
  2. Review the app’s disclosures and terms before connecting it. Select the provider and approve access only if you want to proceed.
  3. Review the data categories and duration requested, where those choices are offered. Data added to your record during the authorization period may also be available to the app.
  4. To review or remove an authorized connection, use MyChart’s “Manage My Linked Apps and Devices” area. Available options may depend on the provider’s setup. See Epic’s patient-authentication guide.

Share Everywhere

Share Everywhere is a separate, patient-directed option: a patient can generate a code for someone involved in their care. The recipient uses it to view a temporary subset of information and may send a note back to the health system. Epic says it can be used with clinicians who do not have access to an electronic health record. The feature is not the same as ongoing third-party app access. Details are in the Share Everywhere FAQ.

What not to infer from a portal or app

  • No MyChart link does not prove that a provider does not use Epic; the organization may use a different portal name.
  • A MyChart account does not mean every possible health-data category is present or visible to you. Provider configuration and account access matter.
  • A third-party app connection is a separate authorization. Review what it requests and revoke access through the portal if you no longer want it connected.
  • Share Everywhere exposes a temporary subset, not necessarily the full chart.

Epic’s February 2, 2020 article on “Share My Record” and interoperability describes an older interface and should not be treated as current navigation instructions. For the temporary-code workflow, use the current Share Everywhere FAQ.
