A setting that turns off model improvement does not, by itself, prove that chats are not stored or reviewed. Until you understand the terms, leave sensitive details out.
Start with the exact app and account you use
“This AI app” can mean a consumer chatbot in a browser, a mobile app, a workplace assistant, an API integration, or an assistant embedded in another service. Those may be different products with different privacy terms. A paid personal subscription also does not automatically have the terms of a business or enterprise workspace.

Before reading the policy, record the product surface, account or subscription type, and country or region associated with the account. Check whether the assistant is provided directly by the AI company or by a third party using another provider’s model. For a work account, find out whether your employer or school administers it. The provider’s consumer privacy page may not answer questions about a separately governed workplace service.

Price is not a reliable shortcut. A paid personal plan may have different features from a free plan, but its price alone does not tell you whether prompts are used for model improvement, how long data is retained, or what access service providers may have. Likewise, do not assume that paying for a personal subscription gives it the data-processing commitments of an organization’s business agreement. Compare the actual terms attached to each option, and ask an administrator or provider about any plan-specific commitments you cannot find.
Check five separate parts of the data lifecycle
Privacy language is easier to evaluate when you follow a prompt from submission through eventual deletion. Keep the questions below separate: a provider may answer each differently.
1. What information does the app collect?
Look for the specific categories covered by the notice. Depending on the service, these may include prompts and responses, uploaded files or images, voice input, feedback, information from connected apps, account identifiers, and device or usage information. Do not assume that every AI app collects every category, or that a general statement about “content” clearly explains what happens to each kind of input.
Check whether the same rules cover an attachment, a voice recording, a pasted excerpt, and a thumbs-up or written feedback. If you connect another service, find out whether information from that connection has separate terms. The important question is what the provider says applies to the specific data you plan to submit.
2. Why does the provider use it?
Separate the purposes listed in the policy: generating a response, operating the service, safety and abuse prevention, product analytics, improving or training models, and advertising or personalization. A provider may need to process information to deliver a response even when it does not use that information to improve a model. A model-improvement opt-out is not necessarily an opt-out from all processing.
Read for exceptions involving feedback or a user’s settings. For example, a service may handle ordinary chats differently from chats or feedback that a user submits for review. Ask whether a control applies to future conversations only, to a particular product surface, or to all data associated with the account.

Be careful with broad phrases such as “improve our services.” Look for the surrounding explanation: does the policy say whether that means improving models, evaluating product performance, preventing abuse, or more than one of those purposes? If it is unclear whether a setting applies to feedback you submit, ask the provider or avoid sending feedback that contains sensitive material.
3. Who can access it?
Look for disclosures about human review, support access, contractors or other service providers, connected services, and legal or security-related access. A provider may say that some content is reviewed by trained people to assess safety or improve a service. Check which data, purposes, and circumstances the statement covers.
Also read what “de-identified,” “disconnected from your account,” or similar wording means in context. Removing an account association does not necessarily mean nobody can review the content or that it is immediately erased. If the policy does not describe who can access a category of data, do not infer that access is impossible.
4. How long is it kept?
Look for separate retention explanations for ordinary chats, deleted chats, temporary sessions, feedback, safety-flagged material, and information subject to legal or security holds. Ask whether deletion removes the active copy, whether backup copies remain for some period, and whether copies already reviewed or de-identified are handled differently. If the policy does not answer one of these questions, mark it as unknown rather than treating the deletion button as a complete explanation.
Be precise about retention numbers. A stated maximum for one type of reviewed chat is not the retention period for every conversation. A short retention period for temporary sessions does not establish that nothing is kept during that period.

Also distinguish keeping a conversation in visible chat history from retaining data for another purpose. Hiding a chat, deleting it from a list, or using an incognito label may describe an interface or a particular use, not necessarily every copy or processing purpose. Read what the provider says about active records, backups, and exceptions instead of treating these actions as interchangeable.

5. What can you control?
Find the account controls for model improvement, memory, chat history, export, deletion, and temporary or incognito chats. Find the provider’s route for submitting privacy requests as well. Menu names and locations can change, so use the current settings and help page for your product rather than relying on instructions for a different version or account.
If useful, test a setting with low-risk information first. Confirm that the account displays the setting as active, then check the policy to understand its scope and exceptions. A visible toggle tells you that a control exists; it does not by itself establish which data uses it covers, whether it affects past conversations, or whether other purposes remain.
Before relying on a deletion or export control, check what it promises to do. Export may give you a copy without changing retention. Deletion may remove information from an account interface while separate retention rules or legal and security exceptions apply. Memory controls may manage information used to personalize future replies rather than erase every prior chat. These are different jobs, so use the control that matches your goal and verify the provider’s explanation.

- Identify the service. Write down the app or product name, web/mobile/desktop/API/workplace surface, subscription or account type, and region.
- Open the governing disclosures. Read the current privacy notice and product-specific help pages while signed in. For a work or school account, ask the administrator which terms govern it.
- Map the data. Check whether the rules cover prompts, responses, uploads, voice, feedback, connected-app data, and account or device information.
- Map each purpose. Record separately the rules for responding, safety, analytics, model improvement, and advertising or personalization. Note any setting or feedback exception.
- Map access and retention. Check human review, service-provider access, and the retention and deletion rules for regular, temporary, deleted, feedback, and safety-related data.
- Locate and verify controls. Find model-improvement, memory, history, export, deletion, temporary-chat, and privacy-request controls. Confirm their scope in the help page or notice.
- Compare the terms with your use case. If a material question remains unanswered, do not use the app for that sensitive information until you get a clear answer or choose a less sensitive workflow.
A useful record is a short table of your own: question, policy answer, setting or page where you verified it, and any unresolved exception. That makes it easier to compare two plans without collapsing different issues into a vague “private” label.
For a practical comparison, use the same questions for each candidate rather than comparing slogans. Record the model-improvement default and the scope of any opt-out; human-review and service-provider access; retention for regular, temporary, deleted, feedback, and safety-related material; available deletion, export, and memory controls; and how terms differ across personal, enterprise, education, or API use. Add the intended region and data type. Keep security measures—such as a provider’s statements about protecting accounts or systems—separate from data-use controls. One does not answer the other.
Do not turn the comparison into a made-up privacy score. The official sources described here do not provide a comparable statistic measuring how well consumer AI apps protect prompts. A clear table of the terms and unanswered questions is more useful than assigning points to incomplete or non-equivalent disclosures.

What provider examples show—and what they do not
Provider disclosures illustrate why the distinctions matter. The examples below describe only the products and circumstances specified in the cited provider materials. They are not a ranking, do not establish which service is safest overall, and may change; check the current terms for your own account.

These examples come from Google’s Gemini Apps Privacy Hub, OpenAI’s privacy policy, and Anthropic’s help page. Treat each as a provider statement about its own specified products, not an independent certification or guarantee. No comparable official statistic establishes a cross-provider score for how well consumer AI apps protect prompts.

Use the answers you found to make a decision about the particular information and task, not just the app’s overall reputation. If the content would cause harm if exposed, retained, or reviewed, minimize it before submission. Remove names and account numbers, replace identifying details with placeholders, summarize rather than upload a full document, or use a workflow approved by your organization.
- Lower sensitivity: General questions or public information may be appropriate once you understand ordinary collection and use.
- Personal information: Consider whether the app needs the identifying details at all. Avoid sharing credentials, payment details, health records, or private documents unless you have verified that the exact service and account are approved for that use.
- Work or client information: Ask the administrator or provider for the terms and data-processing commitments that govern the exact plan. Do not infer that enterprise or API protections apply to a personal account.
- Unclear or incomplete terms: Treat the missing answer as a real limitation. Choose a less sensitive input or another approved process instead of assuming the most favorable interpretation.
Privacy settings cannot establish that a security incident or unauthorized access will never occur. The Federal Trade Commission, in its January 2024 technology blog post “AI Companies: Uphold Your Privacy and Confidentiality Commitments,” stated: “There is no AI exemption from the laws on the books.” That is U.S. consumer-protection guidance, not individualized legal advice, and it does not certify a particular app.
Recheck when the product or policy changes
Settings, retention terms, and product boundaries can change. Revisit the provider’s official pages when you switch from a personal account to a work account, use a different product surface, enable a connected app, or begin submitting more sensitive data. Check the date and scope of the latest notice, and confirm that a control is still active in the account you use.
Frameworks can help organizations structure this work but are not a substitute for checking the provider’s terms. NIST describes its AI Risk Management Framework as voluntary and intended to support trustworthy AI risk management across the AI lifecycle. Its digital-identity privacy guidance discusses general concepts such as retention-risk assessment, predictability, and manageable controls; it is not an AI-app certification.

Does an AI app use my chats to train its models?
It depends on the exact product, account type, settings, and provider terms. Look for model-improvement or training disclosures and check whether an opt-out applies to future chats, feedback, or only certain product surfaces. Do not assume a setting that stops model improvement also stops storage, safety processing, or human review.
Who can see what I type into an AI chatbot?
Check the provider’s statements about human review, support access, contractors and other service providers, connected services, and legal or security exceptions. Some providers describe review of a subset of content for safety or service improvement. A statement that content is disconnected from an account does not, by itself, mean nobody can review it.
How long does an AI app keep my prompts?
There is no single retention period that applies to all apps or data types. Is there a privacy score that shows which consumer AI app is safest?
The official materials cited here do not establish a comparable cross-provider statistic or score. Compare the same concrete items—model-improvement controls, access, retention, deletion and export, plan differences, and regional scope—and keep security claims distinct from data-use terms.

Check the exact account’s current terms for collection, model improvement, human access, retention, deletion, and exceptions before submitting sensitive information. Treat temporary labels and privacy toggles as scoped controls, not proof that data is never processed or retained. If an important answer is unclear, minimize the information or use a workflow approved for that data.
