What changes when you change the Outlook time zone
In Outlook, time zone settings affect how times are displayed and how some newly created events are interpreted. Depending on your setup, changing time zone settings may:

Prerequisites and what to check first
Before changing anything, confirm which Outlook app you’re using and whether your mailbox is hosted on Microsoft 365/Exchange. Also check these basics:

Change time zone in Outlook for Windows (New Outlook and Classic Outlook)
On Windows you’ll typically see two experiences: New Outlook (Microsoft 365 modern UI) and Classic Outlook. The settings live in different places, so choose the path that matches your app.
New Outlook for Windows (Outlook for Microsoft 365)
Use this when you see the New Outlook interface and the simplified settings experience.
- Open Outlook.
- Select Settings (gear icon in the top-right).
- Go to General > Time zone.
- Under Time zone, choose your correct time zone (e.g., (UTC-05:00) Eastern Time or a city-based zone like America/New_York, depending on what’s listed).
- Confirm the change and close Settings.
Classic Outlook for Windows (Outlook 2016/2019/2021 and many Microsoft 365 installs)
Use this when you see the traditional ribbon UI and options like Calendar settings in the File menu.
- Open Outlook.
- Go to File > Options.
- Select Calendar.
- Find the section labeled Time zones.
- Choose your Time zone from the drop-down.
- If available, set Show a second time zone and configure it, or leave it off if you want a single consistent view.
- Click OK to save.
If you travel often, consider enabling a second time zone for quick reference (for example, your home time zone plus your current local time zone).
Change time zone in Outlook for Mac
On macOS, Outlook typically relies on the time zone settings configured within Outlook and may also reflect macOS settings.

How to handle events when traveling (and what not to do)
When you travel, you want two things: your meetings should display correctly for your current location, and you shouldn’t accidentally double-convert times.
For your own meetings you create
When creating a meeting, verify the event time zone (if Outlook shows it). If there’s a “time zone” field for the meeting, set it explicitly to the intended zone.
For meetings you receive
Meetings typically come with time zone context from the organizer. If your Outlook time zone changes, Outlook should convert display time, but it can still look “wrong” if the meeting stored a fixed offset or an organizer set a specific time zone.
What to avoid
- Avoid changing time zones mid-meeting chain on a single device and then assuming everything will auto-correct across all devices instantly.
- Avoid “guessing” by manually editing the event time unless you confirm the meeting’s original time zone context. Manual edits can permanently change the stored time and confuse attendees.
Common problems and troubleshooting
If changing Outlook’s time zone doesn’t fix the mismatch, the cause is usually one of these: the meeting stores a different time zone, OS/system time zone differs, or Outlook is using a cached setting.
Problem: All meetings are off by exactly one time zone (e.g., 5 hours)
This is often a straightforward mismatch between Outlook’s selected time zone and your current location.

- Check Outlook’s time zone setting on the device you’re using (Windows/macOS/web).
- Verify your OS time zone is correct (Windows Date & Time or macOS Date & Time).
- Reopen Calendar after saving changes.
Problem: Only some meetings are wrong
Some meetings may have stored a specific time zone, while others convert from your mailbox/user settings.
- Open one problematic meeting.
- Look for time zone indicators in the meeting details (for example, a label next to the start time or a “time zone” field).
- Compare it with a meeting that shows correctly.
If the meeting shows a different time zone than you expect, fix it by contacting the organizer rather than changing your Outlook time zone again and again.
Problem: Recurring meetings shift after DST
Recurring events are sensitive to how the original time zone and DST rules were stored.
- Change your Outlook time zone to the correct zone for your current location.
- Check if the meeting is set to a specific time zone or “floating” local time (wording varies by Outlook and organizer settings).
- For persistent issues, ask the organizer to recreate or update the recurrence in the correct time zone context.
Problem: Settings change but don’t apply
This can be caching or a UI that didn’t fully save.

FAQs
Why do my meetings show different times on different devices?
Each device can end up with a different time zone setting (or rely on OS auto time zone). Also, meetings can store their own time zone context from the organizer. Check time zone settings on the web version first, since it’s often the most consistent.
Will changing my Outlook time zone automatically change the event time for others?
No—changing your display time zone usually doesn’t modify the organizer’s stored meeting time. It mainly affects how events display for you. If you edit a meeting, then you can change what’s stored.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Are all-day events affected by time zones?
All-day events can behave differently from timed meetings. In many setups, all-day events are anchored to a date rather than a specific hour and may still look “off” around time zone boundaries depending on how the event is stored.
How do I confirm the meeting’s original time zone?
Open the meeting details and look for time zone indicators near the start time. If the meeting shows a specific time zone that doesn’t match your expectation, ask the organizer to correct it (changing your local Outlook setting won’t always fix a meeting anchored to another zone).
Does daylight saving time (DST) affect Outlook time zone changes?
Yes. DST rules vary by region, so selecting the correct time zone (not just a raw UTC offset) is essential. If you pick the wrong zone with an offset, DST transitions can cause recurring meetings to shift.
Bottom Line
To change time zones in Outlook Calendar, set the time zone in the specific Outlook app you’re using (Windows, macOS, web, or mobile) and confirm your OS time zone is correct. If only certain meetings are wrong, the meeting may be stored with a different time zone context—then the fix is to adjust via meeting details or coordinate with the organizer.
When in doubt, start with Outlook on the web, verify one representative meeting, and then apply the same time zone policy to the rest of your devices.
