Crashes, No Sound, or Screen Glitches?
Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minuteWindows Errors? Fix Them Before They Spread
Repair common Windows errors and clear accumulated junk for a smoother, more stable PC - no reinstall needed.Free scan · no reinstallMoving your email to a new provider is safe if you treat it as five separate jobs: inventory where the old address is used, back up the old mailbox, move mail, contacts and calendar as separate checks, and keep the old address working while you update everything that depends on it. Only then should you consider closing it. “New mail is arriving” does not mean your digital life has transferred. Messages, contacts, calendars, filters, signatures and the logins tied to the old address each move differently, and some don’t move at all.
This guide is based on Google’s and Microsoft’s own support documentation. Every workflow below is labeled with the provider and tool it applies to, because there is no universal “transfer everything” button for every pair of providers. It does not draw on hands-on migration testing, so confirm on-screen labels in your own account, since provider interfaces change.

What to know before you start
- Back up first, and keep the backup untouched. Google says Gmail data can be downloaded as an archive, either to keep or to use in another service (Google Gmail Help).
- Contacts and calendars need their own checks. A mail migration that “succeeded” says nothing about whether your address book and future appointments arrived.
- Migration tools have documented limits. Skipped large items, duplicated contacts and overwritten calendars all appear in Google’s own tool documentation.
- Keep a route to the old mailbox. Some Gmail features that people use for exactly this purpose are being withdrawn starting January 2027 (details below).
- Never hand your password to an unfamiliar migration extension or service.
Step 1: Map everything that depends on the old address
An email account is more than a mailbox. It is often the identity other services use to recognize you. Before you export anything, write down where the address appears. This is practical advice rather than something a provider’s export tool does for you: the exports and migration tools in Google’s and Microsoft’s documentation cover mail, contacts, calendars and some settings, but none of them rewrite the address stored at your bank or your other accounts.
Where the address is used
- Sign-in names and password-recovery addresses for important accounts (other email accounts, cloud storage, app stores, social accounts, password manager)
- Banking, tax, insurance, utility and billing notices
- Subscriptions and online shopping accounts
- Work or school accounts that use a personal address for recovery or notifications
- Phones, tablets and other devices signed in with the address
- People and organizations who need to learn the new address
What lives inside the mailbox
- Folders or labels, including archived mail
- Sent mail and drafts
- Attachments you rely on as a document store (receipts, contracts, tickets)
- Contacts and calendars
- Aliases, filters and rules, forwarding, signatures, blocked senders and automatic replies
- Any separate app or client holding local copies of mail
A practical way to build the first list: search the old mailbox for words like “password”, “verify”, “receipt”, “invoice” and “welcome”, and note the senders. Each is a service tied to the address.

Step 2: Make a backup and check that it opens
Export the old mailbox and contacts before you change any account settings, DNS records or access. Then keep one copy untouched and work from a second copy or from the live accounts.
Gmail and Google Takeout
Google’s Gmail Help says Gmail data can be downloaded for an archive or for use in another service. According to Google, the export includes message content, headers, attachments, messages across multiple categories, labels or IMAP keywords, and selected settings. Two caveats from Google’s page matter:
- A work or school account may not expose all of this data, because the administrator controls what is available.
- Encrypted messages remain encrypted in the download.
Google documents cloud destinations for Takeout exports as well as downloading the archive. An external hard drive or USB drive is another optional place to keep a downloaded copy, which gives you an offline backup that doesn’t depend on any account. Google doesn’t recommend a particular drive, capacity or brand, and nothing in the process requires buying hardware. A cloud destination or an existing computer disk works too.

Check the archive, don’t just trust it
- Confirm the export finished and the file size is plausible for your mailbox.
- Open representative messages: an old one, a recent one, one with a large attachment, and one in an unusual label or folder.
- Open a few attachments to confirm they aren’t corrupted.
- Store the copy somewhere protected. A mail archive contains years of personal information, and password-reset links, so treat it like a sensitive document.
Step 3: Pick the migration path for your actual provider pair
The documented routes fall into three types. Which one fits depends on where you’re coming from and going to.
| Route type | How it works | Documented example | Main thing to check |
|---|---|---|---|
| Client sync | A mail app connects to both accounts and you copy or drag mail between them | Google says Gmail can sync with Outlook, Apple Mail or Thunderbird, and recommends “Sign in with Google” where the client supports it | Whether the client really copies the mail or only shows it, and that folders land where you expect |
| Provider migration tool | A utility reads an Outlook profile or PST file and writes into the new account | Google’s migration tool for Microsoft Outlook (Google Workspace) accepts an Outlook profile or PST source and offers “all data” or “new data” paths | Size limits, duplicate contacts, calendar overwrite (see below) |
| File export and import | You export a file, then import it at the destination | Microsoft documents Outlook import/export of email, contacts and calendars, including PST-based transfer and links to Gmail and Google Calendar paths; Google Contacts exports CSV or vCard | Field mapping and what the file format can’t carry |
The Google Outlook migration tool targets Google Workspace accounts, so it is relevant when the destination is a Workspace account, not for every move. Do not assume a feature described for one pair of providers exists for another.
Limits and risks in Google’s Outlook migration tool
- Size limit. Google’s Workspace Learning Center says the tool may skip messages and attachments whose combined size exceeds 25 MB, as well as attachments Gmail blocks. This is a limit of that tool, not a rule for email providers in general. Large attachments are exactly the items people tend to need years later, so check for them afterward.
- “Migrate all data” can cause damage. Google warns that this path can duplicate contacts and overwrite existing calendar data in the destination. If the new account already holds contacts or appointments, the “new data” path or a manual file import is the safer reading of that warning.
Protect your login
Google recommends “Sign in with Google” for compatible mail clients instead of sharing a Google username and password. It also warns that replacement services asking for your credentials or OAuth tokens can create privacy and security risks. Handing a mailbox login to an unknown migration site or browser extension gives it access to everything in the account, including password-reset emails. Prefer the provider’s own tools or established mail clients, use provider sign-in where offered, and revoke any access you granted once the move is done.

Step 4: Move contacts, calendars and settings on purpose
Contacts
Google Contacts supports exporting to CSV or vCard so you can add the contacts to another account. Microsoft’s Outlook guidance documents CSV transfer and notes that the Outlook Address Book can include directories beyond your personal Contacts list, so an export of “contacts” may not contain everything you see when addressing a message. After importing, check:

- Duplicates, particularly if you used a path that can create them
- Field mapping: phone numbers, addresses, birthdays and notes sometimes land in the wrong field or are dropped when moving CSV files between systems
- A few contacts with unusual characters in names
Calendars
Microsoft documents Outlook import/export for email, contacts and calendars, and Google’s Outlook migration tool can import all three types. Treat the calendar as a separate verification. Compare event counts and, more importantly, look at future events: recurring meetings, birthdays, appointments and reminders. Remember the overwrite warning above if the destination calendar already has data.
Settings that usually need to be rebuilt by hand
Google says Gmail exports include selected settings, but a destination service may not have an equivalent feature. Plan to recreate the following where you need them:

Gmail changes starting January 2027
If Gmail is on either end of your move, check this before relying on the old setup as a bridge. Google’s Gmail Help page, which was current as of 5 October 2026, says Gmail will end three features beginning January 2027, after a transition period in the second half of 2026:
- Gmailify
- Third-party POP fetching on the web (Gmail pulling mail from another account over POP)
- Third-party “Send as” (sending from another provider’s address inside Gmail)
Google says access through the Gmail mobile app and through third-party clients using IMAP or POP remains available. In practical terms, a plan that depends on Gmail on the web collecting your new account’s mail, or sending as your new address, should be replaced with a mail client or the new provider’s own interface. This is a future change attributed to Google, so reread the page for current dates and details before you rely on it.

Step 5: Run both addresses side by side, then retire the old one
Test the new account
- Send and receive with at least two outside addresses, including one at a different provider.
- Search for a handful of old messages and open their attachments.
- Check contacts and a few future calendar entries.
- Confirm that your recovery options (phone number, backup address) are set correctly on the new account.
Update the accounts that matter most first
- Password manager and the new account’s own recovery settings
- Other email accounts and cloud storage that use the old address for recovery
- Banking, tax, insurance and healthcare
- Work, school and government accounts
- Subscriptions, shopping, social media and devices
- Personal contacts. Send a short note from the new address, and consider an automatic reply on the old one if your provider allows it.
As each account is changed, you can use the old mailbox to catch the confirmation email. This is why the old address needs to stay active throughout.

How long to keep the old address
None of the cited provider pages sets a universal transition period. It depends on how widely the address is used and on the provider’s own account-retention rules, which you should read for your specific account, since inactive or closed accounts may be deleted. A sensible approach is to keep the old mailbox open until you’ve gone a full stretch with no meaningful mail arriving there, including the billing cycles of annual services, and until your backup has been verified.
Before you close it
- The backup opened correctly and is stored separately from the account
- Nothing important still arrives at the old address (check the inbox and spam folder)
- No account still uses it as a login name or recovery address
- You’ve considered whether the provider will let someone else claim the address after deletion, and what that would mean for any account still tied to it
If you only want to stop using the old address day to day, you can leave it open indefinitely at no real cost and use forwarding, where your provider supports it.
